REPORT OF THE TRUSTEES FOR THE YEAR ENDED 30TH SEPTEMBER 2024
The trustees present their report and financial statements for the year ended 30th September 2024. The registered charity number is 302802 and the principal address is Meopham Village Hall, Wrotham Road, Meopham, DA13 0AT.
Membership
The charity is administered by the Trustees and representatives of clubs and other organisations that use the hall and grounds forming a Management Committee.
The Trustees who acted during the year were :

At the Annual General Meeting held on 16th November 2023 both Roy Lingham and Trixie Leyshon retired as Trustees and Clare Bourke and Victoria Morris were appointed.
Aims and Performance of the Charity
The object of the charity is the provision and maintenance of a village hall for the use of the inhabitants of Meopham.
There are currently over 30 local groups regularly using the hall. In addition it is also used for one-off bookings and the grounds house the local tennis, table tennis and country clubs. Unfortunately the Meopham Players have recently disbanded and we have therefore lost one of our longest serving users.
Despite higher expenditure in the year with additional repairs required, especially to the caretaker's cottage, an unexpected modest surplus was generated. However, in the current year further expenditure will be required to the cottage. In addition the fixed rate deals for light and heat end during the year which will result higher energy costs. As a result the Trustees will have to carefully consider the timing of other necessary expenditure. Both halls are in need of redecoration, with the main hall requiring additional expenditure once the Players remove their equipment. This expenditure is planned to be spread over the next two years.
The Trustees remain mindful of the age of the building and the need to update the facilities and consider the current level of funds as necessary for these purposes.

Responsibilities of the Trustees
The Trust Deed requires the Trustees to prepare financial statements for each financial year in such manner as the Charity Commission may require.
The financial statements are presented on a receipts and payments basis as permitted by the Charities Act 2011.
The Trustees are responsible for keeping accounting records which disclose with reasonable accuracy the financial position of the charity and contain entries showing from day to day all monies received and monies expended by the charity and the matters in respect of which those transactions took place and also contain a record of the assets and liabilities of the charity. The law also sets out the Trustees' responsibilities for the preparation and content of the Report.
The Trustees are also responsible for safeguarding the assets of the charity and ensuring their proper application under the Trust Deed and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
The Report was approved by the Trustees on 21st November 2024 and signed on its behalf by Keith Fuller.

INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF MEOPHAM VILLAGE HALL REGISTERED CHARITY NUMBER 302802
I report to the trustees on my examination of the accounts of Meopham Village Hall ("the Trust") for the year ended 30th September 2024.
Responsibilities and basis of report
As the charity trustees of the Trust, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ("the Act").
I report in respect of my examination of the Trust's accounts carried out under section 145 of the Act and in carrying out my examination I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner's statement
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe in that in, any material respect:

accounting records were not kept in accordance with section 130 of the Act or
-
the accounts do not accord with the accounting records.
I have no concerns and have come across no other matters in connection with my examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
