ANNUAL GENERAL MEETING

Held via teams on 10[th] May 2022

The meeting opened at 6.27pm

The meeting was opened by Group Chairman, Simon Harper who welcomed everyone and thanked everyone for coming particularly the district representatives Emma Buckett and Mike Hughes. Simon explained that the review/AGM is required as 2[nd] Aldershot Scout Group are a registered charity and we therefore have to comply with the Charity Commission’s regulations and that the Executive Committee members are Trustees. He also explained the copies of documents provided.

MINUTES OF PREVIOUS MEETING

The minutes which had previously been circulated electronically were agreed by all.

ANNUAL REVIEW

The group now has 84 members and is yet again a victim of its own success as we have many on the waiting lists of each section. The hut is used every week night by beavers, cubs, scouts, rainbows, brownies and guides and also during the day the British Legion and Rushmoor Borough Council for elections.

We now have an active support unit with several members and we welcome anyone who would like to join. Hut renovations have continued and we feel that we now have one of the best facilities in the District. The Executive Committee have met every other month throughout the past year and provided support for the leadership team.

SECTION REPORTS

The Beaver, Cubs and Scout sections gave reports on what they had been up to in the last year.

GSL’s REPORT

Having been GSL for just over seven years since October 2014, this will be my final report in the role. Well, the year 2021, was another year of change. We started the year back in a COVID Lock down with Scouting continuing virtually, as was schooling. After Easter we were back with face to face meetings across all sections but these had to be on reduced numbers to ensure we could meet safely and remain socially distanced. However, come July we were back camping with the Cubs and Scouts enjoying a fabulous, if sometimes wet camp, at Bentley

Copse. As the year ended there were fears of further lock downs due to the Omicron variant, fortunately these lock downs were not required.

Even though it was another strange year we have still achieved a huge amount as a Scout Group. Our Facebook page shows how busy it has been with a number of highlights including the 100 KM Relay to mark the 100th year of the Royal British Legion, who we are of course affiliated with, the Cub and Scout Camp in Summer, our beer festival, the Christmas Fayer, a number of activities such as caving, shooting, climbing, archery and crate stacking at Run Ways End, the Group BBQ, the Remembrance Service in Municipal Gardens, JOTI with the Scouts and a Virtual Easter Quiz. These are just a few events and does not include the majority of the weekly sectional meetings.

A huge thank you must go out to the leaders who adapted so well to the ever changing restrictions to ensure the Young Members continued to receive a great Scouting experience in a challenging environment. The way the leaders have continued to adapt has been phenomenal and it’s been great to see members across all sections continue to earn their awards and badges.

Thanks also to the Executive Committee who have continued to ensure the Scout Group remains in great shape and ensure the leadership team can lead. Over the past year they helped out greatly by agreeing to considerably increase each sections annual budget for activities. This ensured that the children that have missed out on so much over the past couple of years could do some extra adventurous activities and made the return to Scouting with limited numbers at the Scout Hut a lot easier for the leaders as we were able to split the groups if required.

The fundraising activities that were put on, initially virtually and then our more traditional ones as we returned to face to face help to keep the cost of Scouting down for our members. They also help to ensure we can continue to make improvements to the building whilst keeping the equipment up to date and safe. We have our next fundraiser on Saturday, our fantastic cocktail night, with a few tickets left at £6, which includes your first drink. Such is our reputation on our fundraisers we have people traveling from Scotland to attend the cocktail night and have had someone from Holland regularly attend out Beer Festivals. These attendees haven’t had any links to the Scout Group but have come along as friends of people that are involved and had such a great time they want to return. If you are able to support these events please do so, I’m sure you’ll really enjoy yourselves and want to return to the next one.

The Scout Hut continues to remain in great shape. It is a fantastic facility and one of, if not the best in the District, it’s something we are rightly very proud of. We have plans to improve it even further by transforming the area at the back. This will make it safe and usable by all whilst further improving everybody’s Scouting experience.

As a Scout Group we are all volunteers and enjoy giving up our time for the weekly meetings, camps etc. We are also lucky enough to be supported by our own Active Support Unit, 2ASU. 2ASU members give up their time on an occasional basis and is organised by Justin Dupe, JD. Examples of how they assist are occasionally helping at meetings, helping with the setting up and striking of camps and helping with our hut maintenance days. If you are interested in finding out more about 2ASU please speak with either JD, myself, Mick or Simon.

Whilst speaking of those that support the team at the 2nd , I must also thank all the families, partners, children of the adults who support the Scout Group. They allow them to do their Scouting and spend considerable time away from them in doing so.

As I was reflecting on my time as GSL I have been so very lucky to be supported by such a great bunch of Leaders, Young Leaders, Exec Members, 2ASU supporters, parents and of course the Young People themselves. There have been so many highlights and great memories over the years and I really can’t think of one “top” moment. The lasting memory that I will take though was at the camp fire on the final night of last years summer camp. Whilst the Cubs and Scouts were camping on the same site we didn’t do any joint activities, COVID rules kept changing what we could and couldn’t do so it was easier to stay separate. However, on the last night we all came together for a big Group camp fire. All 19 Cubs, 20 Scouts and the leaders were singing, shouting and jumping around having a fantastic time together. This was almost unreal following what we had all been through and showed what a great team we are throughout the Scout Group along with why the things we do in Scouting are so worthwhile.

As I sign off, I would like to thank you all for your support over the years. We have been a great team and I know we will continue to be so, of course I’m not going far and look forward to seeing the Beavers that are playing outside becoming Cubs in the future. I am very grateful to Mick for becoming Acting GSL whilst we continue to hunt for his/my replacement and know that we will all continue to support him as you have supported me.

ANNUAL REPORT

The Annual Report has been prepared in accordance with Scout Association regulations. The budget was approved by all Executive committee members.

TREASURER’S REPORT

The Treasurer briefly explained the accounts and the main income and expenditure. The rent and capitation we have to pay has increased and therefore the subs may well have to be raised in the future. He also confirmed that the accounts had been scrutinised by Barry Gilmore. There were no questions raised from the accounts.

The Beavers then performed a poem.

APPROVAL OF GSL’S NOMINATION OF CHAIRMAN

In accordance with regulations, Simon stepped down as Chairman but was nominated by the GSL. All were in agreement.

PRESENTATIONS

Presentations of 5 year’s service award were made to Vicky Gear, Chris Wren and Simon Harper, 10 year’s service awards were presented to Martin Gear and Caroline Mills, 15 year’s service award was presented to Leigh Jones, 20 year’s service awarded to Mick Mills and 30 year’s service was awarded to Lisa Jones by the District Commissioner, Emma Buckett. Emma said that it was lovely to come to a group that is so well supported. She thanked all volunteers and that she was impressed that the group had bounced back so well after Covid.

The Farthing-Jones trophy was awarded to Simon Harper.
