Structure, Governance and Management
Governing Documents
The Group’s Governing documents are those of The Scout Association. They consist of a Royal Charter which in turn gives authority to the Bye Laws of the Association and The Policy, Organisation and Rules of The Scout Association.
Consttuton
The group has fully adopted The Scout Association model constitution in 5.4 of Policy, Organisation and Rules.
Trustee Selecton Methods
The trustees are appointed in accordance with the Policy, Organisation and Rules of the Scout Association.
Governance
The Group is managed by the Group Trustee Board, the members of which are the ‘Charity Trustees’ of the Scout Group. The Trustees are responsible for the good governance of the group, the safety and safeguarding of the group and complying with legislation applicable to charities.
The Trustee Board meet bi monthly.

Scouting exists to actively engage and support young people in their personal development, empowering them to make a positive contribution to society
Actvites
14[th] Aldershot Scout group has weekly meetings in term time for Squirrels, Beavers, Cubs and Scouts and additional events organised by the group and district teams.
Squirrels meet on a Thursday evening, Beavers meet on a Tuesday evening, Cubs on a Monday and Scouts on a Friday. In addition to these weekly meetings we have held numerous camps and sleepovers, hikes, adventurous activity days and attended district events.

Achievements and Performance
Group Annual Report
Good afternoon everyone,
It is an absolute pleasure to stand before you today at our Annual General Meeting. Your continued support and dedication have been the backbone of our achievements over the past year.
I would like to extend a warm welcome to all Young people, parents and members who have joined us today. As parents you are part of our scout council and your support this year has been fantastic.
As we reflect on the past year, we can take great pride in our accomplishments. We have opened a squirrel drey, the first in Aldershot and it has been an amazing success. The Young people across all four sections of the group have armfuls of badges and most are achieving the top awards in their section.
I would like to thank Cesar for all his hard work as treasurer. We’ll hear more about the accounts in a moment but we are in a healthy financial position and have been able to complete some much-needed maintenance on the buildings as well as supporting the leaders to provide excellent scouting for all the Young people in our group.
Looking ahead, we are filled with optimism and excitement. We have a number of group camps coming up this year. The first of these is to Garners field, just outside of Farnham in two weeks time.
We have been looking at renovating the outside space. We would like to add a garden where the YP can grown their own. And make the campfire area a more inviting area than it currently is. We would also like to give the hall a lick of paint.
Thank you to all our leaders and volunteers. Whether you are a leader, team member, parent helper, come with us on walks, camps or days out. Thank you so much. We are all volunteers and the young people really do benefit from everything you do.

Financial Review
I would like to say a big thanks to Claire and the group for allowing me to be here today and supporting me during this period of just over a year as the group’s treasurer. Thank you.
We managed to accomplish so many things this year that I am already concerned about what I am going to present next year!
Reflecting about the Financial Year of 2024 I think the biggest accomplishment is the shift to electronic payments. The existing way to keep track of finances was just not fit for purpose and because of that we had nearly 1/3 of the sub payment behind.
Everything money related was manually handled and events such as camping, meetings, etc. had to be manually accounted for and in many times the group made a loss just because we didn’t properly track the payments.
Since April/2024 all payments (income or expense) are tracked and accounted for by OSM and around 95% of the payments are cashless. I would love that to be 100% and we are working towards it.
As an outcome of “OSM-first” I am pleased to confirm that 100% of last year’s subs and activities have been paid off.
With a steady cash-flow the trustees board could plan and execute the much-needed hut maintenance: We started with the new flooring, replaced the heaters, replaced some of the building doors and among other things we spent over £12500 in building maintenance, a massive increase over the £800 spent in 2023.
We were also able to buy more material for the weekly meetings, between the sections (Squirrels, Beavers, Cubs and Scouts) we spent £1600 in 2024 over £600 in 2023. This is it, more stationery, easter eggs, cooking ingredients, etc. I am going to work with the leaders so that in 2025 we could invest even more on our weekly program.
I was successful in applying for 2 grants from Rushmoor Borough Council. We have received a total of around £1700 which we used to buy 10 new tents, heaters, table and chairs and camping equipment.
On top of that I have also managed to back-claim 4 years of GiftAid from HMRC, a total of nearly £7000! Thank you very much to the parents who signed up for it a couple of months ago. It was well worth it!
All in all, the total income was £41758.73 and £45510.34 expenditure, closing the year with a loss of £3751.61. The loss is well within our safety margins and expected given the amount of work we have done this year.
The financial report has been scrutinised and signed off by an independent person.
I would like to finish by once again thanking the board for supporting my work, the leaders for their amazing work with the young people and the parents who support us making the payments!
