## **Trustee’s Report 2023** 

We are pleased to say that over the past year the Hampshire Federation of Young Farmers Clubs has grown yet again. We had a target of reaching 250 members and together we have smashed it closing with over 300 members signed up. 

A large proportion of the developing membership is down to the brilliant club officers we have within county that are attracting new members due to their brilliant programmes and club efficiency of communication. 

We, however, would like to think that at least some of the increase in membership may also be attributed to the great success of many of the county competitions. 

In January 2023 we started the competitions year off with County Speaking competitions. The Junior round at Brockenhurst YFC Hall was a particular success with many members much improved on there first attempt in 2022. The public speaking is a brilliant way to build confidence in your own ability and flourish despite being outside of their comfort zone. When I interviewed Gemma Hobbs for member of the year in January the only comment, I gave her was to look up and meet her interviewer in the eye rather than stare at the desk. Later this year Gemma Hobbs filled in for her Club Chair Honor and chaired the Beaulieu YFC AGM and she did not look down at her paper once. It is little successes like this that prove the value of the public speaking competitions. We also had success higher up the ranks with both Honor Humble from Beaulieu and Kyle Hill from Stockbridge progressing to compete in National Public Speaking finals. 

In February 2023 Charlie Tibble (Alresford), Ryan Whitewood and Kingsley Hollis (IOW) attended the NFU Conference hearing updates from some of the main 



stakeholders in the agricultural industry. They even first hand experienced the drama of farmer questioning of the secretary of state for DEFRA. 

Peter MacPherson, Silas Lawson and Lucy Bailey also organised a fantastic Apres Ski Party kindly hosted by Sam Burge raising a total of £810 for county. Well done to all three in their hard work making it happen! 

In March 2023 we hosted our county farm skills day which was generously hosted by Crawfords at their Ropley depot. It was an absolutely brilliant day filled with digger driving, farm safety, welding, brick laying and so much more. Thank you to all of our judges for making it happen and thank you particularly to James Parrett for allowing us to use his truck. Made a particularly brave endeavour since it was used in our blindfolded 4 x 4 reverse challenge. I cannot thank Crawfords enough for their support hosting what is undoubtedly the best competitions day in the Hampshire YFC Calendar. 

In April 2023 we hosted our stockjudging competition at Sparsholt. Thank you must be extended to Sparsholt College for allowing us to use the premises and particularly to Ed Sibley acting as my Sparsholt College liaison to make sure everyone was on the same page. Thank you again to all our judges for enabling the event and particular thanks to Stuart Morgan for allowing some outside the box thinking when judging our beef competition made up of in calf heifers. It certainly added an extra level of difficulty to the competition. Particular congratulations to our members from SEH, Alresford and Brockenhurst for progressing to the area competitions hosted at the South of England Show. 

In May 2023 we were able to host our summer competitions at a county level for the first time in over 5 years. This was kindly hosted at the Petersfield Growmore Revival 



event with winners from the county round going on to place at area in the rock painting, the fascinator and the recycled metal sculpture rounds so particular congratulations to Laura Baty (SEH), Eliza Bailey (SEH) and Charlie Tibble (Alresford) for their brilliant entries in those classes respectively. We hope to revive this as part of the county calendar from now on and hope it will only grow from here. 

In June 2023 we also hosted the South East Area round of the Fence Erecting competition again kindly hosted at Sam Burge’s farm. Despite not competing together as a team previously to the day I am delighted to say our team won at the South East Area round. Congratulations to Ed Bartlett from Alresford, Kingsley Hollis from the IOW and Ryan Whitewood from the IOW. Target is to smash it at National next year lads so best get practicing. 

In tandem with hosting the South East Area fencing we also hosted the South East Area hockey round at Sparsholt College on the same day. Unfortunately, despite a tight game, we succumbed to the greater ability of Buckinghamshire but a great game was played none the less. 

In July 2023 the New Forest Clubs banded together to put together a brilliant stand in the Farming Experience Zone at the New Forest Show. I am always extremely impressed by the comments we receive into Hampshire about the efforts at the New Forest Show with Beaulieu, Brockenhurst and Avon Valley doing a brilliant job showcasing the best of our organisation. This year it included a try your own brick laying area, a dress up photo booth and a mini rally circuit just to name a few with brilliant engagement across the 3 day show. 

Despite a tumultuous and long harvest for many the September show season also went brilliantly with good comments and brilliant interaction at both the Alresford and 



Romsey shows. Special thanks must go to Romsey for hosting a brilliant stand despite coinciding with one of the hottest days of the year. 

September also signals the start of the new YFC year and despite the less than exciting start of online safeguarding training clubs all bounced back with more energy than before with everything from bowling to fire safety talks occurring across the county. County staff and volunteers were busy attending AGMs and are delighted to see some brilliantly organised clubs across Hampshire. 

National Young Farmers Week spearheaded October 2023 with a brilliant week of meetings across Hampshire including a talk and tour at Wildflower Turf, Tug of War as well as the brilliant President’s Quiz hosted by Avon Valley and culminating with the Oktoberfest Social kindly hosted at my parent’s residence. Top tip: if you want to use your own family barns to host a party ask your parents after a couple of glasses of wine. It works a treat! 

We have also already hosted our Dynamo Cricket and Mixed Volleyball competition for National Sports this year and cannot wait to improve ready for the South East Area Competitions in spring. The young Stride’s are unbelievable cricketers with some of our senior members struggling to keep up with their skill set. 

In December we have already had the well-attended Junior social at Brockenhurst and cannot wait to keep going with a jam packed and most importantly fun year of competitions and social events again in the New Year!

I report to the charity trustees on my examination of the accounts of Hampshire County Federation of Young Farmers' Clubs (the Trust) for the year ended 31 October 2023. 

## **Responsibilities and basis of report** 

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act'). 

I report in respect of my examination of the Trust's accounts carried out under section 145 of the Act and in carrying out my examination I have followed all applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the Trust as required by section 130 of the Act; or 

2. the accounts do not accord with those records; or 

3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

## **1. ACCOUNTING POLICIES** 

## **Basis of preparing the financial statements** 

The financial statements of the charity, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention. 

## **Income** 

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably. 

## **Expenditure** 

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, **it** is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. 

## **Tangible fixed assets** 

Depreciation is provided at the following annual rates in order to write off each asset overs its estimated useful life. 

Computer equipment - 20% Straight line Equipment - 18% Reducing balance 

## **Taxation** 

The charity is exempt from tax on its charitable activities. 

## **Fund accounting** 

All funds are unrestricted and are available for use in accordance with the charity's objectives. 

## **Pension costs and other post-retirement benefits** 

The charity operates a defined contribution pension scheme. Contributions payable to the charity's pension scheme are charged to the Statement of Financial Activities in the period to which they relate.

## **1. ACCOUNTING POLICIES** 

## **Basis of preparing the financial statements** 

The financial statements of the charity, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention. 

## **Income** 

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably. 

## **Expenditure** 

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, **it** is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. 

## **Tangible fixed assets** 

Depreciation is provided at the following annual rates in order to write off each asset overs its estimated useful life. 

Computer equipment - 20% Straight line Equipment - 18% Reducing balance 

## **Taxation** 

The charity is exempt from tax on its charitable activities. 

## **Fund accounting** 

All funds are unrestricted and are available for use in accordance with the charity's objectives. 

## **Pension costs and other post-retirement benefits** 

The charity operates a defined contribution pension scheme. Contributions payable to the charity's pension scheme are charged to the Statement of Financial Activities in the period to which they relate.
