**Thruxton Memorial Hall Chair’s address 2025** ## **Welcome to the 2025 Annual General Meeting of Thruxton Memorial Hall thank you for coming.** ## **We have apologies from Pauline and Steve Broomhead, Keith and Anita Edwards.** ## **The Current Trustees are** Myself **Gill Odling Chair,** I was intending to step down as Chair this year but sadly it looks like I have to carry on. Next year though I will need someone else to take a turn. My jobs range from oversight of everything to dogsbody.. My main job is actually booking Clerk. **Graham Harris** : All things financial, provides floats, banks money, pays expenses, patiently explains!! Organises our sum up machines, applies for grants etc etc **Keith Edwards** Safety officer and Barman extrodinare **Louise Cushine** Thruxton Loves Cakes and supplies for the hall and has recently taken over the programming of the heating for the main hall!! **Nick Williams** who organises the cinema. Sadly we are loosing **Clare Oliver** who just finds herself too busy to contribute as she would like. Card and Flowers ## **Voting of Trustees** Gill Odling Proposer. Seconder. Vote Graham Harris Keith Edwards Louise Cushine Nick Williams ## **New Members** We are really grateful that **Kate Christie** has stepped up to take on marketing and management of the website. And We welcome **Kate Phillipson** who has agreed to join the committee. I have discovered that although most people have a fear of joining a committee.. If I offer people discrete jobs they are usually happy to help. ## So we have a number of co-opted members **Rob Oliver** took on responsibility for maintenance tasks last year continues to do the same. Many thanks are owed to him! **Richard Earp** has joined us this year, thanks. **Ed Chamberlain** is looking at and updating the Health and Safety file **Sally Haines** has helped us to write relevant policies in plain English **Bill Brewer** is looking at Grants for the Kitchen and maintenance of the building. **Pauline Broomhead** has agreed to be on a sub committee for the kitchen refurbishment. And of course **Pat Counsell** who does far more than just take the minutes for us. ## **Others** **Janet and Brenda** stalwarts of TLC **Sue King** for Programming the heating in the Machin room. **Martin King, Steve Counsell, David Cushine and Will Odling** for being ever present when there is help needed. People who use the hall are always very complimentary about it and thanks must go to **Alison** who has taken ownership of the cleaning and keeps the place beautifully. We really do appreciate the work that she does. Finally to all our partners who are often cajoled into taking part We really couldn't do it without you all. ## **Thanks to All** Please show your **Thanks** to all of these wonderful people who give up their time to help maintain this lovely old building. ——————————————————————————- ## **Lemon Booking** We bit the bullet and signed up for Lemon booking this year. All invoices for our new Financial year are now raised that way. Although there is a cost involved it has saved me hours of time and the best bit…. We can’t double book! I used to live in fear of doing that! I have a dream that we might also one day be able to link our heating to Lemon and that again would be one less thing to worry about…. ## **Marketing plans.** As I said earlier we welcome Kate Christie back into the fold, she won’t attend every meeting but will take responsibility for marketing the hall and keep an eye on the website to ensure that we are getting the best value from it. As well as the Halls for Hire website we continue to advertise on facebook locally, including sites that advertise village halls for hire more widely and using posters around the villages. Bookings have continued to improve this year, in addition to all the small local bookings the NCT are booking an increasing amount, but also this year… 5 weddings! We continue to keep the local hire rate as low as possible and only applied a small increase to the rates for external users. Electricity Charges, thank goodness did not go up as much as we feared. ## **People who use the Hall** **Thruxton Loves Cakes** will continue, its proved to be a wonderful meeting place, with between 20 and 30 people not unusual. A small group of diehards continue to come to the **Cinema** , making the decision to buy our own screen and run it ourselves means we keep the small amounts of money raised and we enjoy the fact that its just up the road. Sadly we couldn't find enough people to sustain the **fitness** class but we are still looking out for anyone who might like to run a class here. **Thruxton Threads** run by Kate Christie continues to thrive and is now booking several Saturdays in a year as well as their fortnightly meetings. **The Gardening Club** holds its monthly meetings in The Machin room. **Andover Ladies Choir** use this as their base. They are running their Christmas Concerts here this year so look out for the publicity. The new **Games Club** started by Marie and Bryan Dyke seems to be doing well with people turning up every week. The trustees have agreed to store the “ **Thruxton Archive** ” which comprises all sorts of historical papers, and data collected by Anne Mackenzie along with photographs kindly donated by Seema Borrett. After the success of **Thruxton Open Gardens** last year The Gardening club and The Hall are running it again this year as a joint venture on the 20th July. The Machin Room is been used regularly by **The Parish Council** and the **Gardening club** . ## **Plans for improving the hall/ facilities** As with all grade one listed buildings maintenance is our biggest expenditure. This year it was the turn of the Toilets to be decorated. We also upgraded the lighting in all the small rooms at the back so that they all work on sensors and turn themselves off when not in use. The extract fans in the toilets have also been replaced. Outside the laurels which had gone long past their pruning date have been cut back, perhaps not enough yet but we will wait and see what happens. This alongside a bit of hard work from volunteers, a great jet washing job from Hampshire Power Cleaning and a couple of planted pots gifted from Hilliers has made a real difference to the outside area. Thanks must go to Gary (Eales) who redid the white lines around disabled parking area ably assisted by Keith Edwards. The chairs which inevitably get a little dirty will all be cleaned this week. **Grants** If you were here last year you know that we have a problem with the pointing and crumbling bricks in the walls, this is not an urgent matter but Bill Brewer has kindly taken on the task of investigating a Grant from TVBC and finding someone who might be prepared to look at the job.. which actually seems harder than getting a grant at the moment.. ## **Potential Future costs.** We know that the roof is generally sound but the piece over this building which was not replaced when the upgrade was done is aging, we had to repair some of it last year but are hopeful that it will last a while yet. ## **Kitchen** Our big project at the moment is a new Kitchen. With Bill Brewers help we are hopeful that we can secure a grant from TVBC to add to the £5000 made at the Auction of Promises and John Davis’s bequest to fund most of the work. We are also grateful to have had a donation form the Fete committee. The current kitchen has been in since the 2004 and although it has done well is in need of replacement. We are aiming to make the kitchen more sanitary with stainless steel worktops etc as well as being more suitable for larger events. There will be a small slide show set up in the hall if you are interested in the plans. We are always looking for new Trustees, if you would be interested please speak to one of us after the meeting.
