11[th] April 2022 ORC Chairman’s Report – 2021-22

Good evening everyone and welcome to our Overton Recreation Centre Annual General Meeting for the period 2021 and many thanks for the time you have set aside to be here. I must say it’s good to be back to our normal timetable of events with the AGM occurring in April. It’s time for me to share my annual report where I will review some of the things that we achieved during the last year, look at our key challenges and how we have dealt with them, then convey what plans we have set in motion for 2022. I will leave it to our Treasurer, Colin Phillimore to provide the detailed information of our finances afterwards.

Our activities continued to be dogged by interruptions from the Covid pandemic which naturally affected usage so we were unable to organise any fund raising events. And at the same time we continued our policy of not charging levies ...........until we felt it was appropriate to do so. Whilst this meant there was pressure on our finances our finances planning team (Thank you Colin, Anna & Richard) had forecast this and laid the necessary plans. The good news also was that we managed to attract financial support in the form of grants from the local authorities (thank you John Mitchell).

As the year progressed there were some green shoots of recovery – the tennis club built their very own new club house and we installed a new fence; the cricket club engaged the local youth community with their ECB supported All Stars programme which had up to 60 children playing at a time; the golf club achieved their best ever membership numbers of more than 275.

When we set out into the year we knew we had to be cautious and that the focus needed to be on maintaining and developing the playing facilities. With this in mind we purchased a new John Deere multi purpose tractor mower which has had positive results.

We help provide some of the best value for money facilities in the county according to BDDC. With such a wide variety of activities in play continuously we sometimes experience differences of opinion. Thankfully we are always willing to engage, discuss and discover the compromise that will move things forwards which is sound management practice. And for which I am grateful.

As we continue to move out of the pandemic sports and recreational activities are returning to normal but Covid has made its impact on our finances so we have had to be cautious again with plans for 2022. Our focus will be on maintaining our facilities and machinery again – replacing old equipment with new where appropriate. A new cricket club house will appear in the near future but largely at the expense of the cricket club thanks to their fund raising efforts.

The success of the ORC as we all know is largely due to the continuous efforts of a large number of dedicated and hard working people most of whom are volunteers. Our management committee of more than twelve people who meet every month to discuss relevant matters keep their clubs engaged in

developments. And of course there are a few people who are worthy of a special mention:

The Grounds Team – Kevin Ratcliffe dedicates his time every day to making our facilities as good as they can be every day – ably supported by John Bird at Berrydown and now Dave Pyle at Town Meadow.

Membership & Prize Draw – every month we see Emma and her team manage the prize draw effectively and efficiently distribute the winning monies of £2050. Incidentally the membership has grown to its highest numbers in spite of Covid – with numbers reaching 3500 (approx 1800 people)

Many thanks to Dennis Rowles who continues to provide energy and support for the variety of projects that are necessary to maintain the three sites we operate

And of course this organisation couldn’t run without the careful stewardship and treasury management of our friend Colin Phillimore – who does a great job almost on a day to day basis of making sure we remain a viable business.

Finally it’s important to understand and remind ourselves that as a charity we have an obligation to set aside a fund of money which is ring fenced - £75,000 – for stability and financial security.

2022 appears to be a year when clubs and societies will return to some semblance of normality. We will see a strong return of sports and activities as well as some additional fund raising from weddings and the Scarecrow Festival. Suffice to say all the volunteers that continuously put their hard work into making things happen for their clubs should be amply rewarded by the enjoyment of all their participants – sometimes a thankless task but hugely rewarding and satisfying.
