Chairman’s Report November 2021
After to disruption and concerns experienced during the Covid the hall is returning to more normal operations and most regular users are back.
I wish to thank all the members of the Management Committee and other volunteers for their hard work throughout the year and for coping with the measures to safeguard visitors from Covid 19.
It is a pleasure to be involved with this fine team of dedicated people who all take on responsibility for the management of the Hall and give their time to keep it in good condition. We also record our thanks to our local borough and county councillor, Cllr. David Drew and the Chilbolton Parish Council for their support and contributions. Thank you all.
During the year regular service, cleaning and maintenance has continued so that the hall is in good condition. The checks on the heating system, emergency lights and fire extinguishers are up to date.
The floor coverings in the entrance hall and kitchen have been replaced as has the carpet in the Durnford room. These were becoming somewhat worn after so 20 years of use. Thank you to Kate Ballard and Liz Blakemoor for organising the smooth changeover.
The sound / public address system has been improved by purchasing a Bluetooth unit and special equipment to enable combined zoom and in person events as for the U3A meetings.
The hall is well equipped for presentations and seminars and for hirers who wish to connect their personal sound equipment.
The accounts for the year to 31[st] March 2021 show a profit for the year and a healthy bank balance. The management committee offered regular hirers and rent free period until end October to assist them to get started again. A sincere ThankYou to Liz Blakemore for her careful management of our finances and to Mike Croston who audited our accounts. In spite of the Covid 19 shut down and the consequent minimal income but ongoing expenses our finances have remained healthy due to survival loans received from the Government via Test Valley Borough Council.
As usual special thanks go to Beryl Lawrence who keeps a close watch on housekeeping, to Kate Ballard our busy bookings secretary / cleaner and to Wendy Fakes who keeps our agendas and minutes in a most professional way.

CHILBOLTON VIiLAGE HALL AccoufiTs 2020121 INDEPENDENT AUDIT REPORT I have carried out a validation of the Chilbolton Village Hall fvnds for the financial year 2020121 which included= l. A sample check of Income raised through the letting of the Willage Hall facilities; 2. A sample check of expenditure Incurred on behalf of the Village Hall- 3. Validation of the financial documentation to the accounting records maintained through an extel spreadsheet,. and 4. Validation of the income and expenditure anatysis used in the Annual Statement of Receipts ènd Payments, together with a reconaliation to the bank Statements. The Village Hall achieved a trading surplus of £10,779 during 2020121. an increase of £6.EQ5 compared with the previous financial with the help of Government funded grants to deal with the adverse financial impact of the COVID pandemic. The Willage Hall had available bank baknce5 totalling £45,346 on the 31° March 2021. My audit has not included the income and expenditu of the l(X) Club. which operates separately and made a surplus of £308 in 2020121. No donation to the Willa8e Hall funds was made during the financial year by the IC(I Club. Details of the l(M) Club receipts and payments are noted as part of the attached Chilbolton Village Hall Accounts. where it can be seen that the ILYJ Club had retained funds of £l,11)4 available on 31 March 2021. My observations on significant income & expenditure variations during the 2020121 financial year, cOMpad with the previous financial year are induded in the attached ReiptS & Payment5 Accounts Statement. I confirm that the attached Receipts & Payments AccoLFnts statement provides an atturate representstion of Chilbolton Village Hall Accounts for the yearending 31° March 2021 and the value of available bank balances at that date. ,'bio / ) Mike Croston.
