Minutes of Annual General Meeting 2026 held at Southbourne Village Hall on 28 Mar

1. Introduction. David Roy welcomed all to the AGM. He highlighted it had been a good
year, with 30 regular groups, including a notable increase in the use of the Sutcliffe
Room for evening language classes. Unfortunately the Baby Clinic was to move to the
library due to inability to access the Sutcliffe Room with a double buggy. This is
regrettable but it was agreed that the investment required was not cost-effective. when
the option to leave buggies in the kitchen was rejected.
2. Thank Yous. Some complimentary comments were read regarding the hall from the
regular groups, with particular praise for Kathryn who continues to go above and
beyond,
3. Reappointment of Trustees.
David Roy asked if all trustees wished to be
reappointed for another year, all agreed.
4. Treasurers Report. Juslin Wilkins delivered the treasurers report. which indicaled Ihat
income had been approximately £34500 at the year end, which was an increase of
£4500 on the previous year. with expenditure also being increased, mainly due to staff
cosls of £15500, £4000 increase on the previous year. The maintenance has been
another large expenditure of £10000. This left the Hall, wilh a healthy £16000 in
Savings and £21000 in the Current Account at the Year End in Sep 25, which is a
sound position for the future.
5. Malntenance Report. lan Le Poidevin thanked the Chair, David Roy, for his
leadership and support in the maintenance. The aim of the maintenance has been to
ensure that the hall is safe and sustainable and maintainable. The main expenditure
has bee on replacing the electric lighting that was tripping, and also setting the heating
into zones. The TV has been replaced and it is recommended it is just moved as
required between the Sutcliffe Room and the Hall rather than purchasing an additional
TV. The garden has continued to improve under Stephen's care. There has been
conlinued painting an decorating and some artwork for the Sutcliffe Room. The
electronic lock continues to be a success, with only failure being when the batteries
needed replacing. The Reporting process seems lo be working well too. For future the
recomrnendation is that Ihe CCTV needs replacing, and polentially a telher for the TV
in the Sutcliffe Room to ensure cannot full over.
6. Future Actions. David highlighted that we are engaging with Mindworks a Marketing
Agency to look to get a greater profile of the hall. The White Lines are due to be painted
in the car park, and the tree trimmed. The Spring and Summer Fair are in the diary and
advertised.

7. Questions. Ruth Heelan discussed possible use of an art competition to get people to
come to the hall for the fairs, which the trustees will take for discussion, and also
highlighted Ihat if there were any complaints of the hall then il would be on the
Southbourne Community Facebook page which she runs, however there hasn't been
any.
