Trustees Annual Report 1 August 2020 – 31 July 2021

Boxted Village Hall is a charity which aims to maintain and operate a space for community events held in Boxted, Colchester. It receives most of its income from letting fees and expends money on maintaining, running and operating the hall safely and legally. The sole Charity Trustee is Boxted Parish Council. The sole Trustee considers that the activities of the charity meet the public benefit test.

For much of the financial year the Hall was not available for hiring due to Covid19 restrictions. The charity’s much reduced hiring income of £2,998 was supplemented by £22,622 Covid19 grants from Colchester Borough Council which aimed to make up for lost income.

The charity started the year with a balance of £50,376.50 and finished with £60,270.25.

As Covid19 restrictions have been lifted we have seen bookings return by regular groups and ad-hoc hirers. We anticipate a healthy hiring income in 2021/22.

In expenditure terms, over and above the usual running costs, we were able to purchase new fire-resistant stage and window curtains. We were successful in securing a £2,000 grant from the Community Initiatives Fund which contributed towards the new curtains. We needed to replace the external oil storage tank when the hot weather created a split in the aging plastic casing (£2,328).

The Trustees are confident that the Hall is in good repair with all the required health and safety inspections being carried out.

The broadband provision is still welcomed by hall users and we hope to investigate improving the sound quality in the Hall.

The recent independent examination of the accounts shows finances are being managed well.

Our bookings, and more general, support from the Community Halls in Partnership Charity is working well and we express our thanks for their friendly and professional service.

The Trustees are confident that the aims of the Charity are being met and that the Charity is well placed to continue.

Examiner's Report to the trustees of Boxted Village Hall (Registered Charity No. 301258)

I report to the trustees on my examination of the accounts of Boxted Village Hall for the year ended 31[st] July 2021.

Responsibilities and basis of report

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner’s statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. accounting records were not kept in respect of the Trust as required by section

130 of the Act; or

  1. the accounts do not accord with those records.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
