ANNUAL GENERAL MEETING – ASHINGDON AND EAST HAWKWELL VILLAGE HALL

11[TH] July 2025

The Chairperson – Lin Green opened the meeting at 7.30pm. Lin Green explained that the Annual Report and Accounts for the year ending 31[st] May 2025 were available to see on the Ashingdon and East Hawkwell Village Hall website.

Lin asked for a Proposer and a Seconder, to approve the minutes of the previous AGM. Pat Hennessy and Rose Bowers resolved that The Annual Report be accepted.

ANNUAL REPORT

  1. FIBRE installed and a LaRaWAN Aerial attached in exchange for 4 years free broadband.

  2. Main Hall painted and hygiene boards fitted in the foyer.

  3. Kitchen – following on from the complete renovation (with the exception of purchasing

  4. a few white goods ie a cooker and under counter freezer) we are very pleased to

announce that we have been granted a 5 STAR RATING.

  1. A rear lobby leak has been repaired and plastered. There are a few issues with

  2. a leak/flood in the ROR, the Ladies loo and disabled loo.

  3. Stage surround renovation – indecision regarding how to complete the under stage

  4. and surround, quotes varying from £1,254.00 to £4,000. The Committee agreed that the main hall floor is the priority and will be re varnished in August at a cost of £5,000.00.

  5. There have been a few changes within the committee. Difficulties at the beginning of

  6. the year resulted in losing some Trustees. Dave and Wendy Reed. Sadly David

  7. Catchpole and Carol Catchpole. The Committee would like to thank them all for

their support.

  1. Special thanks goes to David Catchpole for his ”can do” attitude to all things Hall related. Nicknamed Mr Fixit, if he couldn’t fix anything himself he would arrange for

  2. someone to quote for the jobs. He was a great Ambassador for the hall securing grants

and negotiating with various Utility Companies.

  1. Thank you to Hawkwell Parish Council for £1,000.00 grant towards redecoration of the main hall.

  2. Ashingdon Parish Council continue to support the hall. By way of editorials in their

  3. Newsletter and grants. £1,000.00 towards the re-decoration of the hall and £300 towards the VE Day celebrations.

FUND RAISING EVENTS HELD

  1. Christmas Craft Fair held in November raised £591.50.

  2. Lin’s Strictly Line in December raised £210.

  3. Angela Rippon’s Day of Dance in March raised £488.00.

  4. A Macmillan Coffee morning in September raised £265.00 for the charity.

  5. VE 80[th] Tea Dance in May raised £1,160.00 for the hall. The raffle raised £450.00

for the British Legion.

BOOKINGS MANAGER REPORT

Helen England the halls Booking Manager and Virtual Assistant gave her report.

  1. Helen is responsible for the power point operation on the projector screen.

  2. Helen constantly updates the website.

  3. At present the hall has 737 face book followers.

  4. Giggle Patrol, Helen produced a video of the group. Showing how very much

  5. It is enjoyed by all who attend. The Gigglers have been making craft items to

sell at the Christmas Craft Fair, to support the hall funds. They are all looking forward to their 1[st] Birthday party and Christmas Party.

  1. Asked by a member of the Audience why the hire charges were not increased.

  2. Helen replied that the hall is very much a community hall and therefore should

be affordable to everyone wishing to use it.

  1. Helen monitors all bookings carefully, making sure the hirers live in the catchment area.

  2. It has been agreed with the scouts that all the poppy wreaths will be recycled to save wastage.

FINANCIAL REPORT

The Financial Report was given by Peter Hennessy the Treasurer for the Hall.

Income for the year to 31st May 2025 £39,843.00 Expenditure for the year to 31[st] May 2025 £33,987.00

Nett surplus for year

£ 5,856.00

Peter also agreed that in line with a request last year, £7,000.00 has been transferred

to the Premium Account for hall repairs in particular roof repairs.

FORTHCOMING EVENTS

  1. A summer holiday tuck shop is planned to be open 3 to 4 hours a day. It

will be run by the Trustees and Volunteers.

  1. A VJ party on the10th August, from 2pm to 5pm. Tickets £10.

  2. Remembrance Sunday Service.

  3. Xmas Craft Fair. (all stalls sold out within 24 hours of advertising).

  4. In the coming year a booking for Yoga training will start, using the hall

all day on a Sunday.

Volunteer Carol Bibby apologised for being absent. Carol has agreed to be a Trustee and Deputy Chair for the coming year.

Volunteer Gary Bibby apologised for being absence.

All the Trustees and Volunteers had previously agreed to continue in post.
