## **Minutes of the 2[nd] Exeter Scout Group Annual General Meeting Saturday 26[th] June 2021, Zoom meeting**

## **1. Welcome** ‐ by Andrew Turner 

Andrew welcomed everyone to the AGM.  He thanked everyone for their support and introduced Frankie Phillips as new Exec Secretary. 

Apologies had been received from Jackie Nankivell, Liz Foster, Elsa Burdett, Teresa Li, Izzy Hubbard, Elizabeth and Abi Nash, Harry Tamlin 

**2. Review of 2020 AGM minutes** 

Andrew thanked outgoing Secretary, Nicola Wilson, for preparing the minutes. There being no comments or amendments to the minutes, they were accepted as a true record of the 2020 AGM. 

## **3. Chair’s Report** – see attached report 

Andrew emphasised his thanks and praise to the Leaders for the great job they have been doing during the Coronavirus pandemic, under very difficult circumstances. He commented that it is remarkable that the Group has not seen a reduction in numbers of children or Leaders during this time. The programme of activities has kept children interested and having fun at times when it has been so different to normal. 

There are more people now on the Executive Committee with some changed personnel. Andrew expressed thanks and appreciation to Nicola Wilson in her role as Secretary for a number of years. He also thanked Jim Taylor for picking up the role of GSL and for recruiting more people to Executive Committee. 

Andrew expressed thanks to Rachel Whalen and Paul Banks for their work on the kitchen refurbishment, which looks amazing! 

Although Cathie Huddart was not on the Zoom meeting, Andrew thanked her for taking over as Treasurer and thanked Adam Coulson for all of his support.  Whilst we have done remarkably well as a group, we still need new Leaders and helpers, Andrew asked all to continue to be involved if they are able. 



## **4. Treasurer’s Report** – see attached report 

In Cathie’s absence, Andrew noted that we are in a financially sound position and grants have helped to fill any holes. Group funds remain at a reasonable level, even after the kitchen refurbishment, which received support from the CO‐OP community fund. 

## **5. Group Scout Leader’s Report** – see attached report 

Jim Taylor expressed thanks to all the Leaders who were able to keep going, and to parents for all of their support during lockdown. The census showed that numbers dropped by less than 10% over the year and now there is a long waiting list, with 38 due to start Beavers and 9 waiting for Cubs. 

Executive membership has been boosted with 12 more people, which enables the workload to be spread and a range of skills available. Additionally, there have been 8 new Leaders in the last 2 months. Overall, we are coming out of lockdown in a healthy position.

The Beaver Leaders had no further comments to add to their written reports. 

**7. Cubs Reports** – see attached report 

Clare Hubbard expressed thanks to the Leaders who have kept things going and also to parents, whose support and involvement in the Zoom meetings has kept activities going. Overall, it has been a really good year and the Zoom meetings were an enjoyable and interesting adventure. Cubs will be losing four Leaders but thanks to Jim Taylor, GSL, and Katie, Hathi, more new faces are joining the team. 

**8. Scouts Report** – see attached report 

Jon Thorne thanked all the Scouts Leaders and the Young Leaders for all that they have done to keep things going throughout the year. Andrew seconded thanks to the Young Leaders. 

## **9. District Update** 

Rhian Luxton expressed thanks for being invited and said that the Leaders have excelled themselves, particularly since the risk assessments have been such a lot of work to get back to face‐to‐face scouting. She remarked that it is great to have Jim Taylor in role as GSL and thanked him for all of the training that has been done. 

Rhian commented that the programmes in the Group, and the retained numbers, prove that a great job is being done, and there is continued supported from District.

## **11. Awards and mentions** 

Jim Taylor introduced the background to the Philpotts Award. This year, the decision was taken to give the Award to every Leader, Young Leader and Exec as a thank you to everyone for getting through the last few months. There is a replica woggle and badge for all and Rhian confirmed that the badges can be worn on uniform. 

Andrew said that the Award was well‐deserved as everyone has pulled together as a group. He expressed thanks to Jim for getting the awards produced. Jim said that he has done the Award Sheet all ready to hang in the hut. 

Andrew also thanked Nicola Wilson and Adam Coulson for their hard work now that they have moved on. Normally there would be a presentation and he hopes that they can be thanked in person soon. 

Jim reported that the first proper Leaders’ meeting in the hut will involve a take‐away paid for by  Executive Committee. 

## **12. Forward Look** 

Andrew reiterated that hopefully things will become a bit more normal going forward for face‐to‐face Scouting.  He said the Group is in a strong position and the future looks bright, with the Switzerland Camp to look forward to and undoubtedly a very full programme. 

Th hut needs some work going forward, so that it remains useable, and work parties will need to be organised. 

Andrew is optimistic about the year ahead, to get people back together and doing all of the usual things again with camps, family camp, Caddihoe, fireworks and carols being planned. 



## **13. AOB** 

Andrew expressed thanks to Rachel Whalen for all that she has done in cleaning the hut. As she is now stepping down, there is a vacancy. Anyone interested in taking up the role of cleaning the hut should send a message to the group or contact Andrew. 

Sharon reported that recycling is ongoing and a collection appointment is needed. Even with the disruption of the year, about a third of the normal collection has been managed. 

The AGM finished with sharing of the video of highlights, showing amazing ingenuity and variety, and George was thanked for putting it together so well.

## **Chair’s Report 2021/22** 

At long last we’re able to welcome you all in person to our AGM – it’s been a long time coming.  When I last wrote my annual report, I wouldn’t have believed we would have another year where COVID had a major impact on our activities. All sections had to continue to innovate in order to provide a varied and fun programme for all our young peoIntrople.  Therefore, as usual, my first and biggest thank you is to the leadership team for their unstinting work throughout the year to keep things going. To say keep going is a bit of an understatement as the level of activity has been magnificent and speed of response to changing restrictions was truly impressive. 

As well as the leadership team, including assistants and young leaders, I would like to thank all members of the executive committee who have worked behind the scenes to make sure the logistics are in place to keep the group going. I would especially like to thank Cathie for keeping the finances in order, Frankie for keeping us organised, Teresa for coordinating hut use and Paul Banks for his generosity in providing meeting space amongst other things. 

Jim has continued to work wonders as Group Scout Leader including making sure COVID risk assessments were always up to date and being the driving force to establish our newest section – Squirrels – for 4- to 6-year-olds.  We’ve been able to do this thanks to Sharon taking on leadership as well as continuing with Beavers – thanks Sharon.  I’m also extremely pleased to welcome Jon as Deputy Group Scout Leader – he and Jim make a formidable team. 

We managed to carry out some of our regular group activities last year including the Carol Service and firework night at Caddihoe. We’re not sure if this event will take place this year as you may have heard that Caddihoe is currently closed but hopefully may be open again.  Regarding buildings we have not completed any major projects this year but have carried out various maintenance activities to keep the facilities suitable for use.  As mentioned over many years ideally, we would like to rebuild the hut but need someone to lead the project.  If you think you could help with this, please speak with me or any other committee member. 

We have had brilliant support for exec committee this year but there is always room for new people.  The more support we have the more we can do so if you’d like to join please speak to me, any member of the Exec Committee.  Alternatively, you can e-mail the group account (gsl@exeterscouts.co.uk). I feel I cannot finish this report without saying that last year was unusual but this coming year is likely to be very tough for some families.  As a group we will do all that we can to make sure Scouting remains accessible for all and we help members when we can. 

Finally, I’d just like to say one last thank you to everyone who has volunteered and helped throughout the year – parents, leaders, extended families and exec committee members.

## **GSL’s Report 2021/22** 

After a couple of false starts, it has been a welcome relief to all of our leaders to start getting back to face to face scouting.  It had been a long break for all of our children, in fact, some children went through Beavers and Cubs having only walked into the Scout Hut a handful of times! 

I continue to be inspired by our fantastic leaders and their dedication to delivering our first rate set of activities.  Our membership numbers are nearly back to pre-pandemic levels with all sections maintaining their numbers.  Interestingly we have also seen an increase in the number of girls joining which now represents nearly 30% of our overall number of children. Our numbers continue to be impressive and will can still boast not only being the largest and most active group in the Exeter District but also the biggest group in the County. 

Our Leader numbers have continued to grow, we have over 50 leaders spread between all of the sections helping to deliver our excellent program to our Children each week and with the inflated numbers we have even more fantastic ideas being bought forward which will keep our children engaged in all we do. 

I was over the moon when we were told that 2[nd] Exeter was going to be allowed to launch the first Squirrel Drey in Exeter.  This means that as a group we now provide weekly activities for children from 4 years old to 14.  We launched Squirrels after Easter with just 12 children and it has been well received by our Parents, (many of which stay to help out each week).  The team has also been bolstered by three new Leaders who have joined Sharon Tamlin to help run the new section.  Their enthusiasm is contagious and the ideas they are coming up with are excellent.  We will soon expand the Squirrel's numbers so keep your eye out for their bright red Jumpers! 

Looking forward, we are about to embark on an ambitious plan to re develop our Scout Hut. We have plans to Carpet and re decorate the Scout hut over the Autumn Half Term but the building itself, while fit for purpose 50 years ago could do with being bought into the 21[st] Century.  While we are great at keeping the children occupied, we do lack any construction and planning knowledge and could do with some help fundraising to reach our goal. 

Can you help us plan to deliver a new Scout Hut? 

Whether it's experience of the Project Management or Building industry or maybe some assistance in writing grant applications to help raise the money to deliver a new building for our children I would love to talk to you.  It would be amazing to not only help deliver a building that suits our needs now but also allow us to deliver scouting for years to come.

We had our first squirrel meeting on the28th April 2022. 

During this meeting we learnt our Hello song- 1 2 3 who are we? We also learnt about Sam the squirrel who lives on Brownsea Island. The Squirrels then coloured in their own Squirrel to add to a large tree college of the Squirrels in their Dray. 

This term, the Squirrels are working towards their ‘let it grow activity badge’ They Have planted Petunia plants and nasturtium seeds in the big tubs outside our scout hut. The Squirrels also planted sunflower seeds. These seeds the Squirrels have taken home. To look after, and to watch the sunflowers grow. 

The Squirrels have done a bug hunt around Heavitree Park. Tried worm charming. (No worms popped up).  Shook a bush to see what insects were living there. Then drew brilliant big bugs with chalk on the path to make everyone smile that saw them. 

The Squirrels joined in with the Beaver scouts on the JOTT (Jamboree on the trail) walk around Ashclyst forest.  While the squirrels were walking, they were looking out for different leaves to tick off on their leaf finder’s activity sheet. 

With the Queen’s Platinum Jubilee coming up, the Squirrels each coloured in a picture to create a large bunting to decorate our Scout hut in celebration. The squirrels also learnt about our Queen. That our Queen has had 30 corgis in her lifetime, with her first corgi being called Susan. 

The rest of the term the Squirrels will explore and enjoy outside activities. Maybe have a camp fire, with singing and Smores.

## **Beavers Report 2022** 


This year the two colonies are working together as one.  We are still Wednesday and Thursday Beavers, just one programme. 

The Beavers have enjoyed numerous activities over the last couple of terms. 

- Bell boating on the Great Exeter Ship Canal. 

- Tracking in Mincinglake Park. 

- Cycling at Hamlin Lane Park (JPL) 

- Scooby doo activity day. Beavers enjoyed cooking, making a game and various other activities with a Scooby doo theme. 

- Singing together at our carol service. 

- Beavers in space virtual camp organised by Hertfordshire Beavers. I understand nearly 2,000 beavers zoomed in to see and hear some amazing Space related talks and activities. 

- We visited the Harry Potter library (The Exeter and Devon Institution). Here the Beavers learnt about books that were hundreds of years old. The Beavers were also allowed to turn the pages on these really old books. 

- Learning about Pancake Day by cooking mini pancakes over a tea light. Lots of fun and laughter pancake racing. 

- The Beavers had fun programming a leader and pixel art for their Digital maker stage 1 badge. 

- The Beavers learnt about Healthy eating and the importance of exercise. 

- An Easter Trail. The Beavers had to find bunnies with different letters to crack the code. Each Beaver was given a chocolate Easter egg and a special beaver Easter badge. 

- The Beavers have enjoyed toasting marshmallows and making Smores. For some Beavers, their first experience of singing silly songs around the camp fire. 

- This term saw the Beaver scouts join together with Exeter district for the first time in three years. Marching together down through Exeter High Street, followed by a service in the Cathedral. For St Georges day. 

- Every beaver enjoyed the evening at Clip n climb. 

Beaver District event JOTT. (Jamboree on the trail) saw nearly 100 beavers (and squirrels) walking around Ashclyst Forest. Earning the Beavers a staged hike badge. 

A big Thankyou to Naomi. (Was a Beaver Mum, now a scout Mum) for coming in and sharing her experience of being part of the Cabin crew on Concorde. For part of the Aircraft Stage 1 badge, as always, making and flying paper planes is great fun. 

For the Jubilee, each Beaver (and Squirrel) coloured in a picture to create a large bunting. This can be seen hanging on our scout hut. 

The rest of this term the Beavers will be spending lots of time exploring and enjoying the outdoors.

## **Cubs Report 2022** 


We’ve seen some normality return slowly over the last year while the country comes to terms living with Covid. Starting with alternate weeks of Face to Face and on Zoom for the cubs. 

We have maintained our numbers at 24 each night, that has included some new Cubs from the waiting list as well as linking Beavers. 

To help get the Cubs back on track with their badges we hosted a Cub Activity day last July focusing on their Outdoor Challenge with pioneering, putting up tents and fire lighting. In October we finally took the Cubs on a residential to Beam House, having postponed it several times since planning it for Oct 2020, the Cubs got to try lots of adventurous activities including the muddy challenge course climbing, high ropes, wide games and Archery. In February we had a Princess Bride sleepover, which saw us sleeping in tents inside Alphington Scout Hut, the Cubs tried fencing, made mini balistas, learnt first aid and solved puzzle trails and of course had a camp fire . The Cubs behaviour on these Nights Away has been brilliant. 

It was great to have the Christmas Carol Service again this year and the Cubs did an amazing performance of their songs as usual with Feliz Navidad and Revvin’ Reindeer. 

We’ve kept as much of Cubs outdoors, with Cycling, water activities, firelighting and shelter building at Caddihoe. We also had a trip to ibounce and monitored the changes of the trees and plants in the cemetery through autumn into winter for the Naturalist badge. In the Spring Term we worked with the Cubs to complete the new Money Skills badge. 

We continued to see Cubs achieve their Chief Scout Silver Award with 9 this year with 224 challenge and activity badges all together. 

We have had a change in the Leadership team, with Ikki going off to University. We also said goodbye to Raksha, having moved back home to London at the start of Lockdown, Raksha had been able to continue helping at Cubs until we were back face to face full time. We have also said goodbye to Baloo and Jacala. Chil has decided to take a step back but is there is we need her.  We have welcomed Kaa, who is studying at Exeter Uni, Kimon and Tabaqui, Cub Dads. 

After Christmas was difficult so many Cubs impacted by Covid, but it feels like we are now getting back to normal. 



## **Scouts Report 2022** 


Summer term last year we were finally able to start returning to something resembling a more normal programme. We started the first half of term at half capacity with 2 patrols meeting each week, but by the second half of term we were all back together again and took advantage of the light evenings and good weather with plenty of adventurous activities including kayaking and Stand Up Paddle boarding, fire lighting, and exploring Ashclyst forest and Haldon forest. At the end of the Summer term we bid farewell to our largest cohort yet as 16 Scouts moved on to Explorers! But it is great to see several of them back in the group as young leaders through-out the various sections. 

Unfortunately COVID restrictions meant international camping was still a no go, so our planned summer camp to Kanderstag International Scout Campsite in Switzerland had to be delayed for a year, but we look forward to that this coming summer. However, domestic camping was finally given the green light, so after nearly 18 months we were able to have our first camps, all be it a little closer to home, over the summer holidays. With a camp at Cheriton Bishop and some wild camping on Dartmoor. In the middle of that we enjoyed a days cycle down the Exe Estuary to Exmouth, where the Scouts enjoyed an ice cream before cycling back to Exeter. 

We sadly bid farewell to our Wednesday Scout leader Jon over the summer, who stepped down after 8 years at the helm of Wednesday Scouts. But the Scouts loss was the groups gain, as Jon has taken up the role of Deputy Group Scout Leader. It was a privilege to be able to present Jon with his Chief Scouts Commendation for Good Service for hie tireless work in ensuring we were able to offer online Scouting during COVID, before he took up his new role. 

With a renewed thirst for nights away after an 18 month drought we enjoyed a hammock camp on Dartmoor at the start of the Autumn term, and at the end of term we head to Torquay for a Christmas camp where we enjoyed lasertag, bowling, and swimming before heading back to the site for Christmas dinner for 50! 

After Christmas we travelled in good numbers again, when we headed to Wellington to take over FlipOut for the night, enjoying some exclusive bouncing time before settling down for a nights sleep on a trampoline. 

There is much to look forward to with our postponed trip to Switzerland this summer, which preperation for Haarlem Jamborette 2023 is already underway too. And plently of activities and camps closer to home too!
