Report of the Trustees and Financial review - year to September 2020
The committee members of the Whitchurch village hall have pleasure in presenting their report for the year to September 2020, together with the accounts for the period.
The year’s activities
As a result of the present Government restrictions income from both day to day activities and fund raising events was down by over £5,000. We did however benefit from a £10,000 business support grant from Dorset Council.
Bar takings obviously took a huge hit, down to £599 from £3,116. Pre-school continue to use the hall as the sole user during the restrictions and have recently started paying the monthly rent following a 6 month holiday (3 months £1050 refunded and 3 month break).
The last event to take place in the hall was the ever popular Farmhouse Breakfast raising £1510 after expenses at the beginning of the year.
Significant maintenance work included repairs to the tarmac at front of the Hall and installation of sound panels to improve audio quality for the Film Club. We have also added a new shelter building in playground area to take advantage of the lovely views over the Marshwood Vale.
Financial review
Donations received included £2,458 from Char Valley PC for the sound panels, £610 from the 100 Club and £10,000 business support grant.
Donations made during in the year included £300 to Weldmar Hospice and £267 to the Bridport Breast Cancer Group.
Thanks to the Business Support grant we have boosted our overall funds by approx. £5,000 to £35,686.
We are therefore in a good position to progress other improvements including a new audio visual system which will help the Film Club and other functions that would benefit from audio visual presentation.
The team
Philip Page, as Chair, would like to thank every member of the committee for their hard work during the year – too many to mention individually, but special thanks to Chris Hawkins who continues to spend a lot of time either working directly on the fabric of the building or keeping an eye on other people who are. Also, as ever, a special thanks to Mel Wright, our caretaker, who keeps the hall in such good order.

Respective responsibilities of the trustees and examiner
The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed.
It is my responsibility to:

examine the accounts under section 145 of the Charities Act,
-
to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the Charities Act, and
-
to state whether particular matters have come to my attention.
Basis of independent examiners statement
My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view, and the report is limited to those matters set out in the statement below.
Independent examiner’s statement
In connection with my examination, no material matters have come to my attention which gives me cause to believe that in, any material respect:

accounting records were not kept in accordance with section 130 of the Charities Act or
-
the accounts do not accord with the accounting records
I have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
