Trustees of The Allardice Hall Parkham Minutes of the Annual General Meeting February 9[th] 2022

Election of Officers
Chair. Tony Lang proposed Pauline Sargent, seconded by Richard Brooke. Unanimously agreed.
Vice Chair. Tony Lang proposed Nick Day, seconded by Richard Brooke. Unanimously agreed.
Secretary. Tony Lang proposed Richard Brooke, seconded by Emma Beer. Unanimously agreed.
Richard Brooke made it very clear that he would be very pleased to serve but for the next twelve months only.
Treasurer. Tony Lang Proposed Penny Oldham seconded by Richard Brooke. Unanimously agreed.
Chairs Report.
Tony Lang thanked Richard Brooke, Penny Oldham, Margaret Clark and Jo Lewis, our very efficient cleaner, for all their help in the last year. He also thanked all members of the committee for their support to him as chair for the last year and for the last 40 years. He pointed out that he joined the committee at the age of 19, some 60 years ago! In that time the hall has enjoyed a good top table which has been supported by an outstanding committee always ready to improve and keep the hall up to date. During the last 40 years the main hall has been extended, the kitchen and toilets have been changed the small hall has been added, the kitchen extended and the layout changed 2 or 3 times.
Tony welcomed Pauline Sargent as the new chair, the first lady to hold the post. He was confident that Pauline would receive the full support of the committee and in standing down as chair he gave his very best wishes for the future of The Allardice Hall
Secretaries Report
Another year gone in the life of the Allardice Hall. Built originally in 1957 the hall is 65 years old!!
We continue to be in a very strong financial position thanks to the excellent work of our treasurer, Penny Oldham. No grants have been missed, records are kept immaculately and accounts presented for audit. We should not underestimate how many hours are required to complete these tasks. Thank you Penny.
Since the last lockdown we have gradually returned to near normal, and most activities and bookings have re commenced. Risk assessments have been completed to make sure that we have complied with current regulations, many of these have been to do with cleaning and we have been very lucky indeed in having such a diligent cleaner. Thank you Joe. Thanks also to Nick Day for his work on the risk assessments.
We have three new trustees since the last AGM. Welcome to Zak representing the new theatre group, to Sue representing the WI and to Joe Lewis our cleaner. There have been few changes to the fabric of the hall but following successful grant applications by Emma Beer for funds the new hearing loop will be installed very shortly. I am also meeting a contractor who I hope will be able to renovate the main hall floor. We have been talking about this for the last few years and have identified this as an important project the floor has been looking in poor condition and has become quite slippery at times.
Discussions about the new public open space are reaching an interesting stage with the steering group coming up with some innovative and interesting suggestions. They are very keen to work in tandem with the hall management. Solving the car parking issues will continue to be a considerable challenge. The future of the second public open space behind the small hall is still unresolved. One of the pre COVID activities that has not resumed is bingo. Trustees felt that this is not appropriate at the moment and a decision on whether to resume has been delayed until the COVID situation is clear. It was with some regret that the trustees were told that Margaret Clark had decided that she did not wish to continue to run the bingo sessions, if indeed they ask started again. It would be very remiss if me if I did not pay tribute to Margaret who has been involved in running the Allardice Hall bingo sessions for some 40 years. The amount of money raised by these events is incalculable. Our very grateful thanks Margaret. I hope we can now look forward to getting back to a fully normal operation and to moving forward in the next year of the life of the Allardice Hall.

Treasurers Report
The accounts have been prepared with Thomas Westcott accountants and were presented by the treasurer, Penny Oldham to the trustees for agreement at the AGM. The accounts were agreed by the meeting and signed by the incoming Chair Pauline Sargent.
The report in PDF format will be attached to the minutes for circulation to Trustees.
The treasurer was thanked unanimously by the trustees for the exceptional job that she had done.
