Management Committee report

Overview

It has been a interesting year for the Hall with activity growing once again as the pandemic restrictions are reduced with some old groups returning and a number of new groups being established, important repairs and improvements to the fabric taking place and a stable financial position being achieved. This would not have occurred with the tireless work of volunteers along with the support of the Parish Council.

Governance-

The Management Committee has met on a regular basis since the last AGM in May last year in the last 12 months to, review operational management issues such as lettings, maintenance and financial matters.

Finances

The Treasurer will give an update on the accounts at the AGM which have been audited by Barry Reeves, the honorary Auditor and circulated in advance but in brief thanks to the Covid grants received in the year we are currently in a sound financial position.

There are two principle concerns, firstly that although lettings income is growing it currently is insufficient to cover outgoing and maintenance and there is a reliance on grant aid.

Secondly the surveyors report commissioned by Perranuthnoe Parish Council indicates that there is costly structural work required to the Hall over the next few years and a joint strategy with the Perranuthnoe Parish Council to source external funding will be needed

Maintenance/ Fabric report

A number of matters have progressed since the last AGM

Storage in the Hall has been reorganised with notices indicating the number of tables and chairs in the meeting rooms.
New notice boards have been installed in the Foyer
The CCTV has been installed and commissioned and the monitoring equipment is held in the Parish Room
The extractor fan has been replaced in the kitchen
A grant application has been made to the Screwfix foundation for approximately £5000 for repairs and improvements. Unfortunately, this was unsuccessful so the Management committee will have to review the next step
A grant application has been made to Cornwall Community Foundation to match fund some sports equipment
A request has to made to the Lions for help towards replacing one of the Cookers

Risk Assessment/Health and safety

Health and Safety inspections continue to be carried out on a least a monthly basis.
Jim Blain continues to check the Fire Alarm on a weekly basis and the lighting on a monthly basis.
Funders have suggested we review our safeguarding policy adopted in 2018 and subsequently reviewed
Another Pat testing day for Hall is arranged in conjunction with the Parish Council on Friday 29[th] April. We are notifying Hall users with a view to bringing their equipment along and benefiting from getting testing undertaken at a low cost.

Lettings Update

Hall is continuing to increase with bookings.
All weekday evenings remain booked with new groups and individual lettings increasing
The lettings process has been thoroughly reviewed to ensure users are aware of H +S and other requirements
Alan Kirby is assisting with updating the website and options for utilising the Facebook page
Other matters
An on-line meeting is taking place with Cornwall Council staff to identify what options are available in relation to the wind turbine
Many people help towards keeping the hall up and running. Special mention must go to Brian, Roger and Jim for their help week in and week out and to Jackie for her work on the accounts

I have examined the books and supporting documents for the year ended 31st December 2021 and I can confirm that the receipts and payments and balance sheet is a true and accurate representation of the financial position of the Hall's accounts (subject to the notes below regarding Covidl. Although the Hall is a registered Charity I no. 300588) the independent examination has not been carried out under regulatory guidance as the level of activity of the Hall does nol require it. It should be noted that the year ended 31st December 2021 was again affected by the continuing problems with Covid. In particularthe accounts show Cornwall Council grants of £18,263.79.
