## **Chairs Annual Report** I am Jacob Woodfield, the Chairperson of this committee, and it has been my privilege to serve in this role since the previous AGM on November 15, 2022. I am pleased to report on the progress we've made over the past year. We've devoted considerable time to building and enhancing our operational processes, such as ensuring timely deposit returns and fairly attaining quotes for essential works, amongst many others. One of the core drivers of the year has been our commitment to bringing Spencer's Wood Village Hall into the 21st century. We've equipped the hall with new features like speakers, Wi-Fi, electronic blackout blinds, and improvements to our hire's access processes. For a comprehensive list of all the work carried out, I invite the treasurer to provide a detailed account later in this meeting. But the journey doesn't stop here; we have more projects in the pipeline, including sound control for the Wellington Room and the replacement of old doors. We are also working on modernising both the website and even the domain name - These endeavours will ensure that our hall remains a valuable and modern resource for our community. Let us not forget the lifeblood of our hall - our repeat hirers. We owe them a debt of gratitude for their continued support. To further support them, we will soon distribute leaflets to all local homes within the RG7-1 postcode. These leaflets will show the repeat events taking place in the hall and our outreach will ensure our events continue to flourish. The Repair Cafe and the Market have flourished and continue to grow in popularity each month. These initiatives not only provide crucial services to our community by fixing household items, but also support local small businesses and help to bring more people to the hall each month. As we look forward to the upcoming year, we are excited for both the challenges and the successes awaiting us. I am confident that we will continue to thrive and serve our community. On a more personal note, l'd like to express my genuine gratitude to every person sitting with me at this table tonight. Your dedication and hard work are the driving force behind our successes, and your presence here is greatly appreciated. Thank you for your attention, and I look forward to the rest of the AGM. 10/11/23 ## **Spencers Wood Village Hall Treasurer’s Report FY 2022/23** I am Chris Baker; the Treasurer of Spencers Wood Village Hall and I have the pleasure of delivering the Financial Report for the financial year 2022/23. After the challenges of the covid pandemic followed by the cost-of-living crisis brought about by the war in Ukraine I am pleased to report that Spencers Wood Village Hall revenue actually increased in round figures from £32k to £39k, an uplift of just under 18%. The largest contribution to the Village Hall’s revenue came from both long term users of the hall, (clubs and groups) and short term users, parties, training, AGMs from local residents associations – £33.7k. The fund-raising activities along with the repair café and Farmers Market contributed to just short of £5k. The hall operating costs increased from 9.5k in FY21/22 to 20.4k in FY22/23 and uplift of about 53%. The largest costs were in cleaning just under £5k which included cleaning of the hall, grounds maintenance and window cleaning, Gas supply that was just short of £3.5k and operating licences which were just under £2k. At the close of the year our Profit and Loss showed an operating profit of just over £20k. At year end we had cash funds of £58,391. As well as operating the hall, the management committee agreed to some major capital expenditure to preserve the hall for the next 15-20 years. This expenditure included the installation of a new central heating system, restoration of the main hall floor and roofing repairs to the main hall and the flat roofs on the extensions. As well as the capital projects we have introduced the following: 1. Xero Accounting Software 2. Internet connectivity and a mesh network 3. Black out blinds in both the Wellington room, Kitchen, and the Main Hall We have not increased the hall rates this year; any financial growth will come via increased occupancy. We are already seeing new classes starting in this financial year, we have 2 confirmed new classes and a 3rd that is almost over the line. In summary I believe we are financially sound and will continue to be so in the coming year.
