Chairperson 2023/2024 Year End Report
Hampton School Music Society (HSMS) is a registered charity, number 298391. HSMS assists and enables Hampton’s Music Department in a variety of ways, including the facilitation of music events, sponsorships, purchases, and supporting Hampton boys in their musical journey. Our activities and focus are guided by the HSMS Mission Statement: ‘Unlock the Musician Within’.
The charity is administered by an Executive Committee, whose members are either Trustees of the charity and/or Elected Officers. Executive Committee members, and Officers, are elected or reelected annually at the Annual General Meeting of the Society which is held between November and January. The HSMS Executive Committee is currently composed of five Trustees comprising the Director of Music, Chairperson, Treasurer, Secretary, and the Membership Secretary. At the January 2025 AGM it will be proposed to enhance the Events Secretary role, currently an Elected Officer, to a Trustee position also. The HSMS committee also includes two additional Elected Officers, that of Website Editor and Newsletter Editor. Overall then the committee is composed of 8 members, 5 Trustees and 3 Elected Officers (with a proposal to move to 6 and 2 at the January 2025 AGM).
The Committee meets twice per Hampton term (half-termly), to determine how best to support the Music Department and attendant initiatives to raise and allocate funds. Committee Members are invariably present at musical events throughout the year, supporting the Music Department, in conjunction with the Hampton Staff, through setting up venues, providing refreshments, coordinating fund raising initiatives, collating, and disseminating, performance reviews.

After more than 6 years of excellent service Anna Morrison stepped down from her duties as Treasurer immediately after the November 2023 AGM. The Committee is deeply grateful to Anna for her commitment, attention to detail, and for the strong working relationship that Anna established with the Hampton Accounts team throughout her time as HSMS Treasurer. We are also extremely grateful to Melissa Foux, who has been a core member of the Committee for many years and in many roles, for taking over from Anna as Treasurer. In addition to the added value that Melissa immediately brought to her new role, we would also like to extend our thanks to Amanda King – who was recommended by Melissa - for her role in independently evaluating the 2022/2023 HSMS accounts prior to our Charity Commission submission. Independent Evaluation was required as our 2022/23 t/over exceeded £30K. We were very fortunate to have Amanda’s guidance and advice which helped to ensure a fully compliant submission. Finally, I would also like to publicly acknowledge and thank Melissa for a very thorough Chairperson handover to me.
Events
HSMS Committee extend our thanks and congratulations to Mr. Roland and his team for a 2023/24 musical program of outstanding breadth and depth. Hampton musicians, ensembles, bands, and orchestras, of all stripes and experience levels, truly embodied the ‘Unlock the Musician Within’ ethos of HSMS throughout 2023/24.
The academic year kicked off with a fabulous Hampton/ LEH joint musical, “Little Shop of Horrors”, and ended with the traditional Summer Concert, showcasing the depth and breadth of Hampton talent. In between there were concerts for all genres (including classical, rock, jazz, chamber and choral); a piano masterclass; and opportunities for both junior and senior ensembles to perform at a range of concerts. In November, we helped celebrate St Cecelia’s day by hosting the annual blacktie dinner, at which there were solo performances from the school’s most senior musicians. Then, in March, our other ‘big event’ of the year, Jazz Café, was, once again, a sold-out show!
In addition, the HSMS committee raised funds, and / or promoted the HSMS membership benefits to existing, new, or prospective parents, throughout the year. This included our: Annual Welcome & Drinks reception at the autumn New Boys concert; Christmas Concerts year-end raffle; Summer Concert HSMS members reception; July New Parents and Pupils Welcome Event.
HSMS members have been fantastic in making themselves available for these events and we would like to take this opportunity to thank everyone who has volunteered during the year. I would also like to thank all the school staff who make these events happen, providing valuable performing opportunities for the pupils: the Music Department; the Events, Catering and Hammond Theatre teams, and the Keepers.
Income and Donations
Funds are raised primarily through subscription and the selling of refreshments at school musical events. Membership is available to families of current Hampton students and the subscription for this remains unchanged at £30 per annum. Once again, there was a healthy sign-up rate from parents of new pupils this year, hence total membership numbers remain strong. Full details will be available in the Membership Secretary’s report, to be presented at the AGM. My thanks go to the School Admissions team, who have helped us greatly with the administration regarding new members.
Net funds raised from membership and events has followed the pattern of previous years. Details of these funds will be available within the Treasurer’s report, which will be presented at the AGM. All funds raised are for the benefit of music at Hampton School.
Donations for the year 2023/24 were targeted in line with our aim of embedding a broad program of ongoing support to the Hampton School Music Department, alongside meeting ad hoc requests from the Director of Music. The 2023/24 donations included supporting musical trips for 1[st] and 2[nd] year pupils; ongoing support for the increasingly popular “Rare Beasts” program (for 1[st] Year aspiring musicians interested in taking up less popular instruments) and which now includes the full-time hire of a harp; ad hoc sundries, such as bow ties for the Hampton orchestra. HSMS also funds visiting musicians to perform all-day workshops and – diaries permitting! - an end of day musical recital: in this capacity we were delighted to be able to welcome the renowned classical pianist, Danny Driver, to Hampton. Finally, HSMS provided upfront funding support for the “Voices of Lions” tour at the Edinburgh Fringe (the tour taking place in August 2024, i.e. at the start of the 2024/25 accounting period for HSMS).
A schedule of donations will be detailed in the Treasurer’s report, available at the AGM. Committee are delighted to be able to provide ongoing support and funding to facilitate, and broaden, musical opportunities at Hampton.
The Society also funds the prizes associated with the Lower and Upper School Music Society cups, presented for service to music. These prizes are intended to recognize commitment to the department; perhaps a boy who may have put a lot of extra hard work with the Music Department, or who has regularly given time to help-out, as an accompanist, assisting with a junior choir on a regular basis, or helping above and beyond his usual duties. The highly deserving recipients of these awards are formally recognized at the year-end Hampton Awards.
Committee Activity
In addition to Mr. Roland’s great leadership throughout 2023/24, I would like to thank all members of the Committee for their hard work during the year:

Melissa Foux. As noted above Melissa moved from Chairperson to Treasurer. We are especially grateful to Melissa for securing the services of Independent Evaluator Amanda King with whom we successfully submitted the 2022/23 Annual Submission to the Charity Commission. Melissa will present the 2023/24 Full Year finances at the AGM.

Stuart Skeffington: Stuart provided excellent support and guidance as Secretary throughout 2023/24. The HSMS Constitutional changes that we will propose at the AGM have been instigated by Stuart. Many of you will have met Stuart at our various HSMS events throughout 2023/24.

Parthiv Kumarswami : Continued support throughout 2023/24 on the membership front. Parthiv brings a much appreciated ‘can do’ attitude to our committee meetings, including keeping on top of membership admin even when being half-way around the world! A Membership Secretary’s report will be available from Parthiv at the AGM.

Muninder Walia: Many thanks to Muninder for the energy, enthusiasm, and good ideas that she brings to HSMS Events. Events, in addition to the membership fees, are a key source of revenue for HSMS. Muninder has forged strong relationships with the Hampton Staff which is a crucial ingredient in ensuring that our events run well and to budget.

Robert Hawker: Robert’s partnership with the Music Department resulted in 3 high quality and packed 2023/24 HSMS Newsletters. These newsletters, which are available on the website, truly demonstrate the scope, ambition, and inclusivity of Music at Hampton.

Graham Thomas: Graham continued as Website Editor. Graham also serves HSMS, and Hampton School, further his very active involvement with the Fitzwygram Foundation.
Looking forward
The Committee is running well and will continue to support and nurture Hampton musical development, under the guidance of Mr. Roland, for the 2024/25 academic year. At the conclusion of the AGM, we anticipate being able to announce a replacement for Robert as Newsletter Editor. In addition, we will need to find a replacement as Treasurer for Melissa Foux who will leave the committee at year-end after many fantastic and greatly appreciated years of service.
As you will see from Melissa’s financial report at the AGM, our balance sheet is encouraging and provides an opportunity to make another significant and meaningful contribution to the Hampton Music Department in 2024/25. In addition, the Committee is actively brainstorming ideas that might help to ameliorate any negative impacts from the new VAT imposition on Private School Fees and which, unfortunately, includes Music Lessons. On the administrative front we also need to continue maximizing Microsoft-365 efficiencies and ‘One Stop’ consolidation.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31 / 07 / 2024.
Responsibilities and As the charity's trustees, you are responsible for the preparation of the basis of report accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent I have completed my examination. I confirm that no material matters have examiner's statement come to my attention in connection with the examination which gives me cause to believe that in, any material respect:

the accounting records were not kept in accordance with section 130 of the Charities Act; or
-
the accounts did not accord with the accounting records; or
-
the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

Only complete if the examiner needs to highlight material matters of concern (see CC32, Independent examination of charity accounts: directions and guidance for examiners). £81k of the £89k cash held at year end is held by the school. I have been unable to check any transactions to the school bank account or confirm with the school that it is holding £81k on behalf of HSMS.
As suggested last year this issue could be avoided if HSMS settles with the school at year end ie if the school is holding cash on behalf of HSMS at year end that it transfers to HSMS at year end or as a minimum, HSMS gets the school to confirm in writing the amount it is holding on HSMS’s behalf at year end.
