## **TRUSTEES’ REPORT** 

## **FOR THE YEAR ENDED 31 AUGUST 2025** 

The trustees present their report and the financial statements for the year ended 31 August 2025. 

## **Structure, governance and management** 

The Charity is governed by its constitution dated February 2015. Trustees meet regularly to discuss, plan and monitor the activities of the Charity. The Charity has no employees. All events are organised by volunteers. New Trustees are appointed from the parents of the Gerrards Cross CE School. 

The following persons served as Trustees during the year ended 31 August 2025:

## **Objective, principal activity and public benefit statement** 

The principal objective and activity of the Charity in the year under review was to continue to raise money for the Gerrards Cross CE School, to enable it to continue to advance the education of all the pupils attending. The Trustees confirm that they have complied with their duty to have due regard to the guidance on public benefit published by the Charity Commission, in exercising their powers and duties. 

## **Investment powers and policies** 

The Charity will seek to maximise the return on cash balances by utilising higher interest bank accounts, where appropriate. The Charity will not make any other form of investment. 

## **Reserves policy** 

The Trustees consider that a reserve in the region of £2,000, but not more than £8,000, is necessary to ensure sufficient funds are available to secure bookings or make payments in advance of events. In addition, the Trustees consider that the Charity should hold sufficient funds to meet any needs of the school, which can, at the discretion of the Trustees be used to fund expenditure by the school of up to £40,000. The level of reserves is considered by Trustees at their quarterly meetings.

## **Analysis of generated income** 

The majority of the income generated in the year came from events held. All events were well supported by members of the school community. 

The remainder of the Trustees' Report provides a brief financial overview of all activity organised this year. 

The following events were run in the year:

- Two crafting events 

- Santa letters 

- Refreshments sale at Cross Country 

## **Quiz Night** 

This event raised a great profit of £4,249 (YE 2024: £4,828). The event was held in the Gerrards Cross CE School hall and Mr Arnold, a teacher from the school, was the quiz master and kept the parents entertained. The PTA hereby records its thanks to Mr Arnold and all those who helped make the event a huge success. 

## **Christmas wreath making workshop** 

A Christmas wreath making workshop was held in the Gerrards Cross CE School hall and was led by a local florist, Say It with Flowers. The event raised £330 (YE 2024: £224) and was a wonderful festive evening that was enjoyed by all who attended. 

## **Christmas Fair** 

The Christmas Fair raised £5,132 (YE 2024: £10,055). Whilst the PTA continued with the usual activities, we also continued the concept of a Christmas village that was introduced in 2022. The Christmas village involved local small suppliers setting up stands and selling their items (such as jewellery, gift hampers and homemade items) in exchange for a monetary donation to the PTA. This was a well-attended event and overall, there was a great festive spirit.

Christmas cards raised £579 (YE 2024: £694). The online sale of Christmas cards continues to be very well received. 

## **Lent Fair** 

The profit this year was £1,297 (YE 2024: £1,142). The PTA produced beautiful Easter Hampers to be raffled off for the event, which was made possible because of the generous hamper donations from parents. 

## **Easter Egg Hunt** 

Given the success of the Easter Egg Hunt in prior years, the event was put on again over two days. Families purchased tickets and were given a map and clues to lead them to letters, put up around the local area, and identify an easter themed word. The egg hunt ended with each child receiving an easter egg from JJ Toys, a local business. The PTA would like to record its sincere thanks to the owners of JJ Toys for their support with this event and their help with making it such a great success again. This event raised £832 (YE 2024: £790). 

## **Party in Playground** 

Party in Playground raised a healthy profit of £3,517 (YE 2024: £3,482). This event was the same format as the prior year and included a petting area, a talent competition and an arts and crafts competition judged by the Head Teacher, Mrs Flower. 

The PTA continued to adopt a more environmentally friendly approach, using the reusable plastic cups purchased in 2023. Customers who purchased drinks paid a deposit for each cup, which was then refunded to them upon returning the cup. 

## **Second Hand Uniform Sales** 

Three second hand uniform sale events were held at school (Sep 24, Mar 25 and May 25). As with prior years, the sales proved to be very popular with parents and raised £913 (YE 2024: £808) for the PTA. 

## **Legoland** 

Following the success of the Legoland tickets for the inset day in September which was introduced in the prior year, the event was run again in the current year and raised £2,269 (YE 2024: £3,715). 

## **Summer Social** 

The Summer Social event introduced in the prior year was held again in the current year. The event was held at a local business, Syrup, and a Silent Auction was added to the event, which gave all parents at the school the opportunity to bid for items that had been donated to the auction by parents or businesses. This was a very popular addition to the Summer Social and, including the Silent Auction, the event raised £2,340 (YE 2024: £709).

During the year, the PTA also ran a Break the Rules Day (£826), a Spring and Valentines bake sale (£362), Frozen Friday (£140), a refreshments sale at the school Family Cross Country event (£149), received donations from a local business Letters from Santa (£140) and two crafting events for students at the school (£127). 

## **Donations** 

This year the PTA received donations from parents totally £1,096, as well as donations and sponsorship for specific events, such as Christmas Fair and Frozen Friday. The Trustees would like to take this opportunity to thank all those individuals and businesses who, through their dedication and hard work, have assisted with making all these events memorable and successful. 

## **Analysis of Donations** 

Our events raised £24,179, of which a total of £35,452 was donated back to the school, which paid for items set out on page 3 of the financial statements. 

## **Financial Summary** 

The PTA has ended the year with a cash balance of £34,582.

## **INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF THE GERRARDS CROSS CE SCHOOL PTA** 

I report to the Trustees on my examination of the financial statements of The Gerrards Cross CE School PTA for the year ended 31 August 2025. 

## **Responsibilities and basis of report** 

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”). 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5) (b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

- accounting records were not kept in respect of the Charity as required by section 130 of the Act; or 

- the accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
