## **INDEPENDENT EXAMINER’S REPORT TO THE TRUSTEES OF THE GERRARDS CROSS CE COMBINED SCHOOL PARENT TEACHER ASSOCIATION (“PTA”)** 

I report to the trustees on my examination of the accounts of the Charity (“the Trust”) for the year ended 31 August 2022. 

## **Responsibilities and basis of report** 

As the charity’s trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”). 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5) (b) of the Act. 

## **Independent examiner’s statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

- accounting records were not kept in respect of the Charity as required by section 130 of the Act; or 

- the accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

Structure, Governance and Management
The Charity is governed by its constitution dated February 2015. Trustees meet on a
quarterly basis to discuss plan and monitor the activities of the Charity. The Charity
has no employees, all events being organised by volunteers. New Trustees are
appointed from the parents and staff of the Gerrards Cross CE School.
Objective, Principal Act6vlty and Public Benefit Statement
The principal objective and activity of the Charity in the year under review was to
continue to Raise money for the Gerrards Cross CE School to enable it to continue to
advance the education of all the pupils attending. The Trustees confirm that they have
complied with their duty to have due regard to the guidance on public benefrt published
by the Charty Commission, in exercising their powers and duties.
Investment Powers and Pollcies
The Charity will seek to maximise the retum on cash balan￿$ by ulilising higher
interest bank accounts where appropriate. The Charity will not make any other form of
investment.
Reserves Pollcy
The Trustees considerthat a reserve in the region of£2,000, but not morethan £8,000.
is necessary to ensure sufficient funds are available to secure bookings or make
payments in advan￿ of events. In addition, the Trustees consider that the Charity
should hold sufficient funds to meet any needs of the school, which can, at the
discretion of the Trustees be used to fund expenditure by the school of up to £40,000.
The level of reseples is considered by Trustees at their quarterly meetings.
Analysis of Income Gènerated
Most of the income generated came from events held in the year with £0.52 from
interest on deposits and £217.41 from Amazon Smile. All events were supported well
by members of the school community especially after the restrictions in the 2 previous
years.
The remainder of the Trustees, Report provides a brief financial overview of all activity
organised this year.
Online Sales
The current PTA introduced the Strip8 platform which enable online sales which has proved
very successful and much more convenient for parents. There is a small fee for using stripe
and fees can be seen for every single payment on the event breakdown sheets.

Post Covid Events re-introduced
The following events had to be Can￿lled due to Covid in Year ending 2020 and
2021, fortunately in the current tax year we were able to re-introduce them:
Christmas Fair
Quiz night
Lent Fair
Summer Social
Party in the Playground
Recycllng
This year the PTA raised £265.80 (YE 2021.. £244.75) which was slightly more than
previous year. The recycling bin arrangement has enabled the PTA to continue to raise
funds without any active involvement.
Fantasy Foothall L•ague
This covers 2 seasons (2021 and 2022) where entries and income were reflected in
the previous year's accounts (YE 2021). In this tax year there was a refund made and
prizes purchased for the student and parent winner categories. Therefore, there is a
debit of £18.75 for this event.
Due to significantly redU￿d interest in the previous year, the current PTA decided not
to run this competition for 2022-2023 season.
Quiz & Curry Night
This event raised a great profi't of £2565.77 (YE 2020.. £2115.02). For the first time this
was held at the Gerrards Cross Memorial Centre which was a great venue for such an
event. Mr Arnold, a teacher from school, was the quiz master and kept the parents
entertained. The PTA hereby records its thanks for MrArnold and all those who helped
make the event a huge success.
Christmas Cards
Christmas cards raised £995.24 (YE 2021: £935.84). The online sale of Christmas
cards continues to be very well re￿iVed and this year we slightly increased profits too.
Second Hand Unlform Sale
2 second hand uniform sale events were held (Sept 21 and May 22), and they proved
very popular with parents and raised a considerable amount of funds £695.14 (YE
2021.. £834.77) for the PTA.
Christmas Falr
Christmas Fair raised £7585.06 (YE 2020.. £6164.44). Whilst the PTA continued with
the usual activities, we introduced the concept of a Christmas village, and sales of new
items such as hot chocolate and gonks. The Christmas village involved local small
suppliers setting up stands and selling their items (such as jewellery, gift hampers,

homemade items) in exchange of a monetary donation to the PTA or a prize for the
raffle. This was a well-attended event and overall, there was a great festive spirtt.
Easter Egg Hunt
Given the success of the Easter Egg Hunt in YE 2021, the easter egg hunt was put on
again over 2 days. Families purchased tickets and were given a map and clues for
letters to look out for in the local area and make us the Easter related word. The egg
hunt ended wrth each child receiving a milkshake and easter egg from the very popular
Fego's which was paid for in the ticket cost. This event raised £300.33 (YE 2021-
£461.61}. We suspect this was more Suc￿3sful in the previous yearwhen holidayslget
aways were still restricted due to Covid.
Lent Fair
The profit this year was another record of £2175.85 (YE 2020.. £361.62-cancelled due
to Covid, YE2019'. £1,787). The PTA prodU￿d a record number of Easter Hampers
for the event because of generous hamper donations from parents.
81g Night Out (Previously Summer So¢iallBall)
The PTA renamed the Summer Social (which replaced the annual Ball) to 'Big Night
Out, given that it was the first school 'Big Night Out, following Covid. It was held at St
James Church centre. The Trustees would like to record their sincere thanks for their
support for the use excellent facilities. The event was an informal night out including
DJ, entertainer, food & drinks and an auction. It was a successful event and raised a
record profit of £9219.35 (YE 2019- £7415).
Party in Playground
Party in Playground raised a healthy profit of £3,664 (YE 2019.. £5,123). This event
was the same format as previous years with some additions such as Silent Disco,
Strike a Light machine and inflatable darts. A large volume of second hand books were
not sold at the PIP and the PTA held a book sale afterschool a few days later, this
raised an additional £48.18.
Whilst income was slightly higher this year, the expenses were significantly higher
than in previous years. There are a couple of points to note regarding this..
1. The PTA decided we wanted to adopt a more environmentally friendly approach
instead of buying lots of cheap plastic throwaway tOy5. This year we
approached prize giving on Stamps point basis. The children had to collect 5 or
more stamps to be able to win better and envifonmentally friendly prizes. Due
to it being the first year, we purchased excess stock (more than double what
was required) as we were unsure about quantities and starting from scratch we
needed maximum amount of prizes. We have over 700/0 of prizes remaining
which will be used at the Christmas fair, and the next Paty in Playground as
agreed with the new incoming PTA. We bought prizes that would not date
therefore can be used in the future. Also, this year we bought a large quantity
of reusable bags for purchases bought by parents and children. We did not sell

as many of these as we expected but we bought with the prospect of selling
them at futu￿ fairs. The prizes and bags expenses have therefore been split
be￿een Party in Playground and Misc expenses.
2. We tried a few new initiatives this year with hiring a silent disco for children and
parents as well as Strike a Light game and inflatsble darts. Unfortunately, these
incurred more expense than profrt.

Donations
This year the PTA re￿iVed donations or sponsorship for specific events, such as
Christmas fair. and these have been detailed in the breakdowns of the relevant events.
The Trustees would like to take this opportunity to thank 811 those individuals, who
through their dedication and hard work have made all these events memorable and
successful.

Analysis of Donations
Our events raised £27,496 of which a total of £18,148.80 was donated back to the
school, which paid for items set out on page 3 of the financial statements. A one-off
donation was also made to St James Church where the Big Night Out (parents, annual
social event) event is held.
Financial Surnmary
INhilst the PTA has made a larger donation to the school this year, with covid
restrictions having been lifted the PTA has managed to maintsin a healthy balan￿ of
£44,232.11 which remains at the year-end for future activities and for the school to
spend.
Bank Accounts
At the beginning of the tax year, the PTA held 3 accounts: 1 Lloyds TSB and 2 HSBC
accounts. Both HSBC accounts were closed due to introduction of monthly charges
that PTA wanted to avoid. The balance from both the HSBC accounts1£11.617.75)
was transferred to Lloyd's account on 17112121.
