## **Yealmpton Community Association Annual General Meeting – 16[th] September 2025**

## **4. Chairman’s Report** 

DC acknowledged everyone’s efforts around the table who continue to support and grow the YCA through their various projects, clubs and volunteering. 14 years ago when DC first joined the YCA Committee, the only role of the YCA was to manage the Community Centre & its lettings. It has since grown and he is pleased with everyone’s efforts in supporting our organisation’s mission of helping create a connected community. 

Looking forward, we’re committed to enhancing life in Yealmpton and strengthening our community. We’ll continue to explore new opportunities that address our residents’ needs and interests. 

We do face challenges, in particular finding volunteers as a lot of the burden does seem to fall on a few shoulders.  Hopefully, people will see the help and assistance the YCA provides and offer their help to relieve some of this burden. 

Finally, I appreciate the hard work of our volunteers. Your commitment helps us create a better future for Yealmpton. As we move forward, let’s continue to work together to achieve our goals.

## **5. Treasurer’s Report & approval of accounts to 31[st] March 2025** 

Our 2024-25 accounts have been examined by our auditor, Tony O’Neil.

The main points for comment are: 

In the year 2024-2025 all projects operated within agreed budgetary limits. The Charity remains solvent with a surplus for the year of £9154 and an overall bank balance of £56,841. Mention should be made concerning the Yealmpton and Brixton Community Friendship Project which has been very successful in raising funds hence a year-end balance of £17041 which is up £8161 from the previous year. 

Overall, the Charity has managed to maintain a relatively healthy financial position despite the difficult economic climate during the year.

Having been examined by our auditor, the full set of accounts for 2024-2025 will be filed with the Charity Commission together with our Trustees’ Report **Action TM**

DC will not be standing as Chairman next year, this highlights the need to recruit additional YCA Committee Members.

Tony O’Neill to be appointed as the Independent Auditor, proposed DC seconded TM.

## **8. Open Forum** 

It was noted that energy should be focused on recruiting younger members of the Community to the YCA Committee/becoming a YCA Trustee – promoting the benefits of being part of a local charity, having a say in the future of the Community Association and taking an interest in local matters. 

Representatives from the YCA projects and groups (Men’s Shed, YBCFP, Badminton, Table tennis, Yealmpton Press) provide valuable support to the YCA. Future members will include Mahjong & Pickleball. 

JM introduced herself as a previous Chairperson of the YCA and wanted to express concern over the condition of the Great Hall curtains. SP is aware of the situation and will be having a meeting with the new headteacher in the new school year. The YCA are responsible for the curtains. 

KB requested an update on MUGA use for the Community. CH summarised a new gate was installed in the YCA carpark for out of school hours community use. The school open the gates every evening & weekend and lock them again at the start of a new school day. BB applied for funding for new equipment, but this was put on hold due to a change in headship. BB reported the tennis nets are now derelict and stored in a shed not fit for purpose. Court markings on the MUGA are now gone. A new MUGA entrance sign has been installed on the access gate in the YCA carpark. 

CH confirmed conversations have been ongoing regarding the resurfacing of the MUGA, with a surface that would be more suitable to a broader range of sports and safer for the user. This is to be progressed with the new head from September. 

GC suggested quantifying what new equipment is required, BB agreed to do this.

KB commented that Yealmpton should be looking to hold similar events to Newton Ferrers, Noss Mayo, Ermington, Modbury etc. SP advised this is possible, as demonstrated with our YCA Badminton & Table Tennis Clubs, Yealmpton Village Archive, Bee Wild, Mens Shed, Yealmpton Press and our new Mahjong & Pickleball Clubs – however it requires volunteers to step forward on behalf of the YCA to run them. SP confirmed Tony Christie will be performing in the Great Hall on Saturday 8[th] November, with a further 2 more music events already booked in for 2026. 

SP suggested changing the format of next years AGM, to try and encourage more people to attend and to also showcase what the YCA provides to the village. It was proposed to run an ‘open day’ type event, where all our groups, clubs, projects ,Trustees & Committee Members were on hand for an afternoon/evening of showcasing what we offer. We could serve light refreshments and encourage people to come along and talk to us about volunteering with us, joining the Committee or to simply understand a bit more about what we do. **Action SP**

The charity's trustees are responsible for the preparation of the accounts. The charity's trustees
consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the
Charities Act) and that an independent examination is needed.
It is my responsibility to:
examine the accounts under section 145 of the Charities Act,
to follow the procedures laid down in the general Directions given by the Charity Commission
(under section 145(5)(b) of the Charities Act, and
to state whether particular matters have come to my attention.
Basis of independent examiner's statement
My examination was carried out in accordance with general Directions given by the Charity
Commission. An examination includes a review of the accounting records kept by the charity and a
comparison of the accounts presented with those records. It also includes consideration of any unusual
items or disclosures in the accounts, and seeking explanations from the trustees concerning any such
matters. The procedures undertaken do not provide all the evidence that would be required in an audit,
and consequently no opinion is given as to whether the accounts present a 'true and fair, view and the
report is limited to those matters set out in the statement below.
Independent examiner's statement
In connection with my examination, no matter has come to my attention
which gives me reasonable cause to believe that in, any material respect, the requirements:
to keep accounting records in accordance with section 130 of the Charities Act; and
to prepare accounts which accord with the accounting records and comply with the accounting
requirements of the Charities Act
have not been met; or
2. to which, in my opinion, attention should be drawn in order to enable a proper understanding
of the accounts to be reached.
