Chair Martin Day opened the meeting by welcoming everyone present.
2. Apologies

3. Approval of last years AGM minutes
The minutes of the last AGM held on 15[th] July 2023 were presented. Pupsi Phull seconded and approved with a show of hands.
4. Governance topics
A: It was proposed to adopt the Policy, Organisation and Rules as published by the Scout Association, which can be reviewed on their website. This was seconded by Nick Mann and approved by a show of hands.
B: The groups financial year document was published
C: Agree the number of members that may be elected to the Trustee Board – quorum was proposed at 9 (key roles and leaders), with agreed number of 1/3+1 of attendees for a vote. Seconded by Nick Mann and approved by a show of hands.
D: Agree the quorum for each of the Group Scout Council (including this AGM), meetings of the Group Trustee Board, meetings of any sub-committees. Quorum for the AGM set at 10, seconded by Pupsi Phull and approved. Trustee Board meetings set at 4, seconded by Pupsi Phull and approved.

5. Review of the Previous year
Chair introduced volunteers to present their annual reviews.
Group Lead Volunteer Pupsi Phull reviewed the last year of scouting at 1[st] Burnham & Hitcham Scout Group. See attached GSL Report 2023-2024.
Section reports of the past year were read out by the section leaders and are attached to these minutes. The scouts video review can also be seen on their Facebook page.
The full treasurer’s report is attached to these minutes which have been independently examined by an appropriate party and approved at this AGM.
Pupsi as interim treasurer presented the treasurers report. It was proposed to increase termly subs from £45 to £48.
This was seconded by Martin Day and approved by a show of hands.
6. Appointments
Group Lead Volunteer Pupsi Phull officially stepped down at this AGM.
Vicky Palmer agreed to take on the role of Group Lead Volunteer. Approved by a show of hands.
Vicky nominated Martin to continue as Group Chair of the Trustee Board. Approved by a show of hands.
Richard Fewkes was nominated to be elected Group Secretary. Approved by a show of hands.
Keyur Kanabar was nominated to be elected Group Treasurer. Approved by a show of hands.
The group Trustee Board will comprise of the current leaders: Jo Ford, David Brind, Lynda Kelley, Richard Palmer and Marcus Comfort.
Group Lead Volunteers nomination to the Group Trustee board, Jennie Phelan.
Trustee Board will select appropriate independent examiner.

The Group Lead Volunteer received nominations from all sections for the award of the David Barnes shield and Scout of the year:

After much consideration and discussion between Pupsi and the Leaders, is was announced that Aofie Comfort was the winner of the David Barnes shield and Scout of the Year 2023/2024. Congratulations.

District Commissioner, Nick Man, gave thanks to all the volunteers and presented the following awards Jim 5yr and 10yr award, 5yr awards to Chris, Claire, Karen, Tony, Richard and Victoria. 15yr award to Sharon, 20yr award to Jo

Martin thanked the group leaders and volunteers for their valuable contributions to the local community. They work tirelessly and professionally to offer wonderful experiences and life skills for our young people. He also thanked Pupsi for the group accounts which he has produced as interim treasurer.
The full treasurer’s report is attached to these minutes which have been independently examined by an appropriate party and approved at this AGM.
Pupsi as interim treasurer presented the treasurers report. He highlighted the shortfall between income and spend over the past year. Key points raised were that the termly subscriptions we receive as a group are currently at £42 per young person per term. As a group we don’t receive 100% of these funds due to costs from the scout association and OSM(online scout manager). The group gets on average £37 per young person per term. Equally we had a large number of events, trips and camps last year, as well as the cost of everything rising dramatically. Our savings are still healthy but it is not sustainable to over spend like this year on year. This year there are fewer of the large scale activities planned however the rising costs need to be addressed. It was proposed to increase termly subs from £42 to £45. Pupsi highlighted that this still represents tremendous value for money for our young people, when you consider the amount of activities that take place week in week out. This was seconded by Martin and approved by a show of hands.
6. Appointments
Pupsi nominated Martin to continue as Group chair of the Exec Committee. Approved

The election of group treasurer is still outstanding. Pupsi is still standing in, but a plea is made to parents and helpers and an advert will go into the Burnham round and about.
The group Trustee Board will comprise of the current leaders Jo, David, Lynda, Karen and Marcus.
Still outstanding to be nominated is the scrutiniser/independent examiner.

Chairmans report
The Group continues to function well with great leaders and strong finances.
Over the past year, all sections have enjoyed excellent programmes, camps and activities. Which have been organised by the fantastic leadership team.
I was lucky enough to attend the 2023 Summer Cub Camp in Jersey, where I saw first-hand the dedication the adult volunteers and leaders gave to deliver a truly memorable trip for the young people.
The Scout group has not been represented at local community events in Burnham as much as we would have liked. This is due to volunteer recruitment difficulties.
Key tasks for the year ahead is to onboard the new treasurer, updating bank accounts and work on claiming gift aid. Also to get more fundraising volunteers on board, to lead events and promote the Scout group in the local community.
I would like to express my thanks and gratitude to all the adult volunteers and leaders who work tirelessly and so professionally to provide all of our young members with the life skills experiences they so much enjoy.

MAJOR ACTIVITIES AND ACHIEVEMENTS IN THE YEAR
All sections have been very active providing a wide range of activities and experiences for the children.
We have 120 young people on the roll with a good gender mix across all sections. We currently have a significant number of young people of Scouting age on our waiting list. Despite all the other distractions for our young people, Scouting still remains
Transport
The minibus usage was has improved and help supports the running cost of the minibus. We are confident that going forward its usage will continue to benefit the scouting community and support our activities.
Fundraising
Fundraising efforts from the group totalled over £2,375. At all these events parental support is a necessity and we need to keep actively fundraising to help raise funds to provide for the varied programme we want to lay on for the children. We have lots of ideas, but need parents to come forward, to make them a success.
Subs are £45 per term, which changed from September 2022 from £42. This generated £12.8k in 2022 vs Capitation and running costs of £15.7k. This deficit was managed through historic grants and fundraising. In the current economic climate Scouting still provides fantastic value for money.
As declared the group was very active in relations to outdoor activities and camps to ensure that the Young people who were impacted through the lower activity during COVID was over indexed. This is the reason why there was a known deficit for this year as the group subsidised more activities to reduce the surplus. However, this will be scaled back to normal levels over the Scout Hut
The Scout Hut was not used for events during the year due to COVID-19 restrictions.
Camps and activities
All sections remained active throughout the year. COVID-19 restrictions meant camping activities were sporadic and the Scout Hut could not be used for face-to-face Scouting activities, however, all section were able to continue delivering regular activities . We are ever thankful for Leader, helpers and parents for their efforts to run such a varied and exciting programme during the exceptionally difficult circumstances faced during the year.
Subscriptions
Subscriptions are expected to increase this year to £48. Capitation and fixed costs have increased during this period and therefore there is a requirement to increase subscriptions to cover this shortfall. Subscriptions are collected via OSM for a
The Group is a trust established under its rules which are common to all Scout Groups and Districts.
Trustees are appointed in accordance with the Policy, Organisation & Rules of The Scout Association.
The accounts have been drawn up on the receipts and payments basis which is consistent with the previous year. The accounts have been created from the electronic banking records for each of the sections and the respective leaders' records. When able to, the sections' physical receipts and printed bank statements will be checked against the accounts submitted.
The group bank accounts' printed statements and receipts have been Independently Examined.

Wolverine Beavers Annual Report - July 2024
What an incredible year it has been for the Wolverine Beavers! This year brought us countless opportunities to discover and learn new things. We are proud to announce that 10 Beavers achieved their Bronze Award and successfully swam up to Cubs. Our biggest challenge in the year to come will be recruiting new Beavers, as our colony is now down to just 11. We will work on this throughout the year and try to build the group back up.
This year, we were fortunate to host visits from several amazing groups, including:

A fencing champion who taught the Beavers the skills needed to master the sport.

A Scottish dance troupe who taught the Beavers (and even some leaders) some new moves.

The Theatre Manager from Wexham Park Hospital, who delivered an amazing first-aid session for us.
Our adventures also took us to remarkable places, including:

An escape room where the Beavers used their problem-solving skills to help us escape.

The local Tesco Superstore, which provided some great insights into how important recycling is.
-
Dorney Wood campsite, where they learned about fire starting and fire safety.
-
The Hindu Temple in Slough, where we learnt all about the Hindu faith.
-
Taplow Lake, where the Beavers challenged themselves in three-man canoes.
Furthermore, our Scout hut became a hub of excitement as our Beavers engaged in a variety of fantastic activities. We learnt about riding a bike safely, the wonders of the universe, skipping, Parliament (we even drew our own Big Ben), as well as making rafts from spaghetti and other brilliant activities. The Beavers also indulged in numerous arts and crafts activities, always displaying immense enthusiasm and enjoyment.
Two particular highlights of the year were our sleepover at Gulliver's World, where our Beavers had an unforgettable time and represented the Scout group admirably (although there was lots of screaming on the rides). Additionally, we also attended the Beaveree, which is an amazing festival for Beavers at the PACCAR campsite. The Beavers all pushed themselves and did some amazing activities, and I think all came away with two new idols in the BMX stunt riders.
As always, we try to ensure that we support our local community, and this year has been no different. The local Care and Share project in Burnham is an incredibly important resource for those who have fallen on difficult times. Our Beavers supported the initiative by doing chores at home to earn some money, which we then used at the local Morrisons to buy items to create a food parcel for the Care and Share project. We also supported the elderly residents at Burnham Lodge care home; the Beavers visited them on World Book Day dressed as their favourite characters and read their books to them. It was a truly heartwarming moment which you could see meant so much to the residents, however, Suresh did steal the show with his Sherlock Holmes outfit.
We awarded numerous badges throughout the year, shared countless laughter-filled moments, and revelled in the growth of our Beavers. As we anticipate the summer break, we eagerly look forward to another incredible year ahead.

Maple Beaver Report 2024
The first part of this report is virtually identical to last year, but is equally as applicable. The social impact of Covid is still being reflected in the behaviour of the Beavers. Many of the beavers still find it difficult to listen to instructions, although the beavers are much better at team working and playing together compared to last year. The kindness the beavers continue to show to each other is heart-warming. They are all very pickily! Some more pickily than others - but that is what keeps the Leaders entertained – we never know what will happen or be said.
We have tried to present the beavers with a wide range of experiences which are new to them, a personal challenge for them to overcome – like stroking a snake, but also some familiar food–based celebrations like the inevitable Christmas, Easter, Bonfire Night and Pancake Day, a few life skills, such as road and fire safety, introduction to 1[st] Aid, how to tie knots in their shoe laces and even morse code, map reading, compass skills, fire-lighting and putting up tents. We have introduced the beavers to games no longer played at school such as rounders and skipping, bounced on the nets at Black Park and gone for several ‘Walks with a purpose’.
Additionally, District and County have arranged some fantastic events, the recent Beaveree at Paccar, and the sleepover at Gullivers.
The leaders would like to thank the young leaders, for their support, energy and enthusiasm to help us run the beaver sessions and the parents that have helped and supported us, without whom, we could not offer such a wide range of activities for the beavers – thank you. Please may we also express our thanks for the silent support from the executive committee, who provide and maintain a facility in which to hold the weekly meetings and manage funds to pay for events and items used to deliver the programme. Jacala Cubs Annual Report 2024
Over the past year this group has grown and moved forward.
Camping
During the review year the group attended a couple of camps
Jersey and Paccar which all that attended gained skills for life and for many of the group it was first time camping away from home.
Learning how to walk a trail while blindfolded, laser tag, pasta making, bread making and bad signing.Thank you to all for organising the camps.
During the winter term 2023 I tock the rains for the group, during this time we have grown from 14 cubs to 24 cubs and the feedback from parents is that everyone looks forward to Mondays.
We have given out over 100 badges during this report period, this includes 3 Chief Scout awards which at the start of 2024 all wished to work towards too.
Activities during this period
Eton Natural history museum, which again the cubs loved and feedback from the POC was positive, and he has never given out so many activity leaflets to a group
Langley fire station, Where the cubs learned all about fire safety, what not to do and what to do. Red watch were fantastic, they even got a go on most of the equipment including playing with the hoses. I did step back a bit just in case.
Out on the water at Taplow lake, for some fun on the water. I think the water level dropped after the cubs had been in the water given how wet they all got
Visits to cherry orchard, Dorney wood, Burnham Park Hall, Jubilee river which also included a chippy walk, what each poopy means and why we remember.
The cubs also prepared an evening snack for parents on one evening.
Karate instructor attend one of the evening to demonstrate skills and teach some basic moves. To be honest he was great but scared all the leaders, was great with the cubs and all paid great attention (did ask if he wanted to be a leader).
We have done others but these are the ones that stand out
My recommendation for cub of the year would be Kyra Parris, she has always turned up on time and in full uniform, help set up the start of the evening by folding the flag without being asked, helping new cubs settle in. Kyra enthusiasm to tackle any activity, help leaders and others is great. She listens to all instructions and ask questions when not sure. This award is well deserved.
Lastly would like to thank Karen, Conor, Pammi, Rose and Tom for their support, ideas, enthusiasm they all bring week in week.
Looking forward to the rest of the year.
We are looking at other activities for the remaining part of the year as we approach the darker nights. This may include special guest, outings and learning more skills for life.
Greybrother Cubs 31.3.2023 – 31.3.2024
Greybrother Cubs had a joint Cub camp with Jacala in July at PACCAR activities include tie-dying T- shirts, making pasta for ravioli & making their own woggles. Cubs tried out caving, tomahawk throwing, lazer tag & a number of wide games. For many the camp will be remembered for the thunderstorm overhead on the Friday night.
In August Cubs from both Greybrother & Jacala flew to Jersey for summer camp. We visited Jersey zoo, Elizabeth Castle & the amazing maize. Cubs played crazy golf, went rock pooling, walked to the lighthouse in the sea at low tide & played in the sea a various beaches. A great time was had by all that attended.
Cubs have visited White Waltham aerodrome, the Synagogue at Maidenhead, the driving range at Wexham Park golf club & water activities at Longridge.
Greybrother Cubs have worked towards badges with backwoods cooking, geo-caching, knot tying, emergency aid, a science evening, pancake cooking on tins, a fitness evening, money skills, hikes & a number of wide games.
Thank you to all Leaders & Parents for their help & support over the past year.
Scout Section 2023 to 2024 Section Report
So, another Scouting year is done.
And as always was full of fun.
Summer camp was in Brockenhurst in the New Forest.
Upon arrival the zip wire was our first test.
Jo then led us on a wet hike.
Then off to Beaulieu for some amazing cars and the odd bike.
Paultons park was wet but oh so fun.
Even though it was so wet and there was no sun.
The week ended with a trip to Brownsea Island.
Before swimming fun in Splashdown which was so grand.
We then set a new B and H camp record.
As we packed away in heavy rain, dropping more rain than in a ford.
The end of 2023 was busy again.
We did fun games nights, cooked, and hiked again in the rain.
Swimathon helped raised much needed money.
While our panto and some of our skating was so funny.
We loved the carol night, and a lot of noise was made.
And we were so proud to represent the Group at Remembrance Parade.
We did panto performance number two.
With the care home in Burnham loving all that we did do.
Feb Freezer was great as it is every year.
Although the leaders say it gives them great fear.
The activities are great and so much to do.
While the mud is aplenty and thick and sticky like glue.
We were put through our fitness paces.
Before what three words took us to many local places.
A great disability night where we learn some amazing skills.
Before a hike in the wet with the usual fun and thrills.
Expedition was being prepared.
Our older ones were brave and not getting scared.
They completed this in April time and soon reported back to everyone.
It was great, tough, and so much fun. Our weekend camp was held in Phasels Wood. It was so fun, and the Cresta Run was so good.
We cooked on fire and the activities were so much fun.
While we learnt a lesson in laces being untied and not to run.
We were back in and on the water at Taplow Lake.
Before some incredible recycled models, we did make.
We played golf at Wexham Park but did not get a hole in one.
And we did gardening, singing, and dancing for Burnham Lodge, which was so fun. There is so much more that our Scouts did do.
But if we went through it all we would be in 2032.
Two hundred and eighty-three badges have been given out since the last AGM and now. Aoife, Connor, Hannah, Henri, and Samuel achieved their Gold Award, so take a bow. So, thank you as always, to the Scouts, their parents, and leaders too.
