## **1 Opening and confirmation of quorum** 

Imke Siegerist welcomed all present and online participants and assumed the chair. She opened the meeting by confirming that the assembly was not (yet) quorate.

The minutes of the 2024 congregational meeting were adopted unopposed and signed by Pastor Halfmann.

There were none. 

## **3 Pastor’s Report** 

The full text had been sent in advance as follows: 

This is already the third year running that I am writing a report to the annual church meeting. Looking back at my earlier texts, it became clear to me that I could not simply carry on in the same way. Too much has become even more difficult, even more demanding and overwhelming. For this reason, I would like to share my thoughts with you below, in the hope of opening up a conversation.

1) Where I experience **spiritual community as a source of strength** and perceive its **outward impact** Where our sowing is bearing fruit: 

- **Canterbury** : The monthly discussion group is stable and is even growing. We meet there with 12-15 women aged between 50 and 90 to talk about the **major biblical and theological questions** – and we do so in a very personal way. One example was when we watched the film _God on Trial_ and spoke about God in the presence of suffering. This is a community that has grown over time, in which conversations over coffee and cake are deeply nourishing. 

- **Guildford** : Our large family group is lively and sustains itself well. People look forward to meeting four times a year – even though many are not official members of the congregation. The **family-friendly service** is attended by **several generations** . The vividly told Bible stories engage both children and parents. The musical accompaniment comes from within the families themselves – as does the catering afterwards. 

- **Haywards Heath** : The group has grown. People who previously travelled to Sevenoaks are now finding their way there, as well as some younger individuals who have heard about the bi-monthly service. We are never fewer than 10, and numbers are tending more towards 20. There is a high level of **appreciation for the sermon and the service** , and, of course, for the **fellowship** afterwards, where we share joy and sorrow. 

- **Bonhoeffer church** : Above all, the **choir** is a great enrichment. The Bonhoeffer Cantata, which Frederick Brandes composed this year for the 80th anniversary of Bonhoeffer’s death and the 150th anniversary of the German Church Sydenham, is a lasting testament to his work in our congregation, even though he is now leaving the choir. His baptism in May was a blessing for him and for us as a congregation too. I am pleased to say that a new choir director has already been found: Anian Wiedner will begin his work in July. 

- **Special highlights of the past year** : 

   - As always, on St Martin’s Day, St Nicholas’ Day and Christmas Eve, the Bonhoeffer Church was full, and those attending – especially the children – visibly felt at ease. 

   - The rotating **ecumenical service** for the Week of Prayer for Christian Unity was celebrated on 22 May 2024 at the Bonhoeffer church. Pastor Debbie Laycock of the Ichthus congregation and I planned it together, and it was a wonderful experience for everyone who took part. 

   - On 9 December 2024, once again the German Embassy invited five volunteers from our congregation to a reception at the Caledonian Club. It was encouraging to experience this appreciation. 

   - My participation in Remembrance Sunday 2024 – both at the service and at the council event – was greatly appreciated. 

   - On 11 March 2025, the BBC recorded a service focusing on Bonhoeffer. Our choir recorded the Bonhoeffer Cantata composed by the choir director the day before, and I myself was briefly interviewed about the mementos we keep here. The broadcast on 9 April reached and moved many people. 

   - Since March 2025, Immo Hüneke has been undertaking training with the EKD to become a lay preacher, with me accompanying him as his mentor. 

- 2) Where **work is needed** (but could perhaps be distributed differently): 

- Our **building and the grounds** bring with them significant responsibilities (maintenance, repairs, lettings, invoicing, etc.). All of this rests largely on voluntary shoulders – in particular those of Immo Hüneke, Michael Bachmann, Imke Siegerist and Katja Sarmiento-Mirwaldt. I myself have taken responsibility for certain important matters at key points, but as pastor to so many congregations I cannot do this on an ongoing basis. 

   - Overall, a great deal of overload was evident in many areas over the past year. One example is that the repair of the defective ceiling lights took far too long. In addition, we currently have a moratorium on weekend lettings, as these too often resulted in excessive contamination of the interior and exterior. The additional work of cleaning and following this up cannot be managed by anyone and is no longer reasonable to expect of our main tenants. 

- The access to the church requested after the BBC service cannot be provided given the very small number of people actively involved. 

We cannot expect individuals to carry responsibility for the building by themselves. Our volunteers are spending too much time and energy on this area of work. Too little remains for what really matters. This

is a structural overload, not a question of goodwill. We need professional support. Paid **caretaking services** are needed. 

- 3) Where we invest energy and work, yet **our efforts feel futile:** 

- Regular attendance at **worship services** remains very low; we are usually fewer than 10 people. The change of the start time to 10 a.m. has tended to exacerbate this situation and will therefore be reversed from September. Even at the premiere of the Bonhoeffer Cantata, apart from choir members and their families, only a few people from the congregation attended. 

This development is not new – earlier reports to the annual church meeting already mention it. 

**Across the Synod** , congregations are experiencing similar challenges. We are therefore in intensive discussions with neighbouring congregations about how we can support and relieve one another. At Synod level, a solidarity-based funding model was adopted, which means that our congregation contributes an additional amount to the wider community in solidarity, as we are on a sound financial footing. 

Our finances are stable. That is of great value. It creates space for calm – and for the honest question: What does God want with us? 

I believe we must consciously take time. Not to withdraw – but very much in the spirit of the biblical Jubilee year. Time to allow the field of our congregation to lie fallow. For endlessly doing the same things does not bear fruit. 

But those who stop and listen can discover where good seed is growing. 

## **“The LORD will fight for you; you need only to be still.” (Exodus 14:14)** 

The report was adopted unanimously. 

## **4 Chair’s report** 

Imke Siegerist thanked all those who had accepted specific areas of responsibility. 

She referred to several important events in the life of the congregation over the course of the past year: 

- the reception at the embassy at the Caledonian Club, attended together with acquaintances from St Albans and colleagues from the Catholic parish 

- the St Martin’s lantern procession through Mayow Park in November 2024, in which at least 100 children took part (with thanks to all helpers, as a great deal of organisation had been required – especially to Wiebke Meyer) 

- the Church Congress (Kirchentag) in Hanover at the end of April/beginning of May, which had been very rewarding. Some of the exhibition stand duties were undertaken by former pastors and pastoral assistants, and there were many stimulating conversations with visitors to the stand. The Church Congress in 2027 was announced to take place in Düsseldorf 

Silke Halfmann announced that a joint trip to the Church Congress was being considered at Synod level. 

With reference to Sunday attendance figures, Imke Siegerist pointed out that attending the German church on Sundays was difficult for families. 

There were no questions. 

The report was adopted unanimously. 

## **5 Treasurer’s brief report and questions** 

- a .  T r e a s u r e r ’ s  b r i e f  r e p o r t  a n d  d i s c u s s i o n 

Immo Hüneke presented the treasurer’s report, which had been provided digitally in advance of the meeting (see Annex 1) and delivered a few clarifications. There were a few questions regarding certain details. 

Immo Hüneke announced that the independent examiner’s report was still outstanding, since nobody had yet been found to carry out this important task. It needed to be completed before the deadline for the Charity Commission return at the end of October.

The financial plan was adopted unanimously by a show of hands. 

## **6 Exoneration[i] of the Church Council** 

Mr Frederick Brandes moved that the church council be exonerated. The motion was approved unanimously by a show of hands. 

## **7 Church Council elections** 

Imke Siegerist thanked all those who had served their term: Margrit Bromham, Immo Hüneke and Wiebke Meyer. She welcomed the fact that Immo Hüneke had declared himself willing to be re-elected. 

Revd. Silke Halfmann moved that the assembly dispense with a secret ballot, the motion being carried unanimously on a show of hands. Thereafter Immo Hüneke was elected unanimously by a show of hands to serve for three further years on the church council. 

## **8 Updates from the Synod** 

## a .  V A S e 

Revd. Silke Halfmann thanked the Bonhoeffer church, on behalf of the Synod, for its contribution this year to the new solidarity fund. 

- b .  N e w  w o r k i n g  p r a c t i c e s 

With reference to the issue of overload, Silke Halfmann reported that the Synod was seeking to distribute the tasks that arose across as many shoulders as possible and, wherever feasible, to share responsibilities between the pastoral areas. By way of example, many online events organised by individual ministries were now being offered across the Synod as a whole. 

## **9 Updates from the Ministry** 

There was nothing in particular to report. 

## **10 Information, questions, and requests** 

No further points were raised. 

## **11 Conclusion** 

Imke Siegerist recalled Sunhild Walker-Kier, whose birthday would have been that day. She read out a short poem that she had written in her memory: 

_As always, we’re holding our annual meeting and of course cannot forget you on this occasion. You are deeply missed by us, even if you were sometimes a little forthright. We always had so many questions, and you always had something to say about everything. Life now goes on without you, but we are no longer quite so cheerful. Sadly, you no longer come here, and so we do not see you anymore. You live on in our thoughts, and that lifts our spirits a little once again._ 

Pastor Silke Halfmann thanked all those present for their contributions. The meeting closed at 12:10 p.m. with a prayer of thanksgiving and the blessing. 

A summer fete followed immediately after the congregational meeting, during which the choir sang several summer songs. 

i In Germany, during each AGM of a charity, the members must decide whether the trustees have acted in compliance with the law, and if so, exonerate them from future claims against them.
