## **Easter Compton Village Hall Annual General Meeting 2025 Monday 1[st] December (from 1930 to 2005) Attendance** Sarah Smith, Chris & Sandra Dawkins, Fi Riches, Marlene Smith, Marian Bennett, Jacqui & Kevin Barber, Jo McCreedy Apologies: Carol Day, Maggie Swift, Julia Ringrose, Kate Connock ## **Welcome** The point of the AGM was to REPORT ON THE LAST YEAR, REPORT THE ACCOUNTS AND ELECT A NEW COMMITTEE. As usual, Marian thanked everyone for coming and we confirmed the minutes from last year’s AGM (emailed out) were agreed to be a true record. ## **Chairman's Report (Marian Bennett)** Another successful year for the Village Hall. Thanks to the Committee members- always ready to help. Special thanks to Sandra and Chris for the huge amount of work they put in to manage the bookings, the bar and keeping the Halls so well maintained. Thanks to Sarah who has taken on the Secretary role for another year, in the absence of anyone else to take on the role. She has a successor lined up to take over in the new year. And thanks to Fi – our former Treasurer - and Julia who has taken on the job now. Thanks also to everyone who helped decorate the Halls yesterday for Christmas. Café Compton once again donated the tree outside and Almondsbury Garden Centre the one in this hall. We are very grateful to both of them and the volunteers who turned up Sat and Sun morning to decorate them have done a great job. In May we collaborated with café Compton’s VE Day celebrations. There were some taster sessions of classes that are on offer on a regular basis in the Halls and there were plenty of volunteers to carry out the planned litter picking session. The Village Hall funded the apple trees planted behind the Institute to mark VE Day. In October we organised another Race Night. Ticket sales were slow at first but snowballed in the last couple of days, and we had to hastily revise our plan for the catering when we had over 50? people attending. This was planned as a social event for the village rather than a fundraiser. But the big news is the new kitchen currently being built between the 2 halls. This has been talked about for a number of years but we finally kick started the project earlier this year when we secured more than half the funding from grants. The National Lottery Community Fund gave us £20 000, Almondsbury Charities another £3 000, the National Grid and Café Compton are also both purchasing equipment for the new kitchen. Much of the building work has been completed and the kitchen units are arriving this week. Chris has done a tremendous amount of planning and liaising with the builders to make this project happen. And the fact that the Halls have still been available for hire over the past few weeks is due to the Dawkins family efforts to keep on top of the cleaning. We are dependent on local people’s support for everything that goes on here so please keep turning out and helping to make this a great place to live. ## **Treasurers Report (Fi / Julia)** In Julia’s absence, Fi read and explained the financial report for year ending 30[th] September. THESE ARE PROVISIONAL ACCOUNTS – AS THEY ARE OVER £26K THEY MUST BE AUDITED BY JUNE 2026 (Geoff over the road from Fi may do this for us). Fi confirmed that the position of Treasurer had been handed to Julia in the summer and everything went well. Fi needs to removed from the bank account. The high balance is due to grants received, that are yet to be spent on the kitchen re-furb. There will still be plenty of funds left after all that has been paid. Total cash in the bank as at 30[th] September 2025 was £66,022.82 ## **Booking Manager's Report (Sandra Dawkins)** Since the last AGM, the changes for regular users have been: - Dance Inspirations classes joined us for Thursday night classes - Precision Dance now start at 5pm on a Monday - Lucy retired from Yoga in December 2024 but has rejoined us for a class on Friday mornings - Jade and Laili took over Lucy’s Yoga and Pilates classes - Jade has since stopped Yoga at 7pm on a Tuesday evening and 8.30pm on Wednesdays - The Toddler Group folded in September - ECVH committee and PCC continue to meet once a month on the 3[rd] and 4[th] Monday respectively. Café Compton continues to run a successful café for the Community once a month on the 2[nd] Saturday. Sally continues to run the Post Office Outreach service from the hall’s foyer 3 times a week. We are now with a company called C&G Collections and the Halls benefit from a monthly income from the clothes donations. The bin contract was changed from SUEZ to ASH Waste Services. ASH haven’t officially changed over yet due to contract issues and cancellation notice required. The gates to the Village Hall are occasionally closed to stop the Car Park from becoming a Public Right of Way. ECVH applied to the Small Claims Court regarding Gerry Nelmes from Slimming World. We were awarded a County Court Judgement (CCJ) against Gerry, but the Committee decided not to proceed with bailiffs. Our neighbour still has problems with noise from Precision Dance’s class on a Monday evening. We have done everything possible to mitigate the noise. This is an on-going matter. Sadly, the long running Toddler Group folded in September. They have transferred all remaining money in their bank account into the Hall’s account and we are currently storing the toys in the lock-up. We will advertise for a new Toddler Group in the new year. Three apple trees were purchased from Almondsbury Garden Centre with Big Help Out money. These have been planted on the grass area at the side of the car park. There’s a plaque which says they are planted to commemorate the 80[th] Anniversary of VE Day. South Glos Council have given the Halls a rating of Five for Food Hygiene and confirmed we don’t pose a risk to them. ## **Regular activities at the Halls January 2026** |Monday|**Precision Dance**

The clock is chiming again! At the beginning of the year Cumbria Clock Company aligned the hammer and freed the internal steel wire so that the clock chime now runs smoothly. Monthly safety checks have been completed throughout the year, with nothing to report. We held a work-day / Spring-clean, and completed the following:- - Clean gutters - De-weed side of hall - De-weed the chippings - Repaint disabled signs in car park - Wash picture rails - Clean and service table trollies - De-sellotape tables - Paint ceiling in ladies’ toilet - Wash and baby-oil stainless steel kitchen cupboards - Touch up white paint on carnival hall skirting boards I did managed to get an estimate from a local builder (DJB Building services) to look at the damp problem in the Old School hall. Despite trying to contact him again he clearly doesn’t want the work. ## **The New Kitchen** Marian managed to secure almost £20,000 from the National Lottery and then another £3,000 from Almondsbury’s Charity along with £750 from National Grid With all this grant money the project was launched. In July I attended the APC monthly meeting to present the plans to change the Carnival kitchen, they own the building. After some interesting discussion the proposal was approved. As part of the preparation for the new kitchen the Safe Room has been reconfigured I have installed the bars industrial dishwasher and a small kitchen sink. This room did not have any services, so I have plumed in cold water, installed the wastewater out through the ladies toilet and re-routed an old and unused electrical power supply. End of October we had a busy weekend emptying the Carnival kitchen, Toddlers storeroom and the old Carnival bar area in preparation of the kitchen works. JAS Building services started work at the beginning of November and hope to have the kitchen completed by Christmas Finally, I would like to give a big thanks to two volunteers - Paul Emerry for looking after the flower planters alongside the Village Hall, I think we would all agree that they have looked beautiful all year. - Jerry King and his team for cutting back the hedge between the Halls and The Fox, last weekend ## **Bar Manager’s report - AGM** The bar had been opened 16 time over the last year and has made a profit of £3,600.00. ## **Election of the Village Hall Committee** The committee members were all requested to stand down. We asked who would like to continue in their current role and everyone offered to continue their service to the Village Halls – Sarah will stay in the role of Secretary until such time she can hand over to her successor Kate Connock in the New Year. ## **Election of the Committee** - Marian Bennett was proposed as Chair by Joj and seconded by Marlene - The position of Vice Chair remains vacant - Kate Connock was proposed by Marian and seconded by Sarah - Julia Ringrose was proposed by Marian and seconded by Marlene - Sandra Dawkins was re-appointed as Bookings Manager and Keeper of the Constitution - Chris Dawkins was re-appointed as Hall Manager - Jacqui is happy to stay on the committee - Joanne McCready is officially joining the committee ## **A.O.B.** - Lots of trees have been planted in the park by The Woodlands Trust - Send a Christmas tree picture and a Thank You to Almondsbury Garden Centre (done – SS) - Nice to see Jacqui back with us after some illness and complications 😊 - Beautiful flowers were presented to Sarah as a THANK YOU for her time as Secretary (still alive 19/12/25) - Sandra thanked Marian for all her time and effort securing some SUBSTANTIAL grants for hall improvements ## **EASTER COMPTON VILLAGE HALL Charity No: 290501** ## **INCOME & EXPENDITURE ACCOUNT FOR THE YEAR ENDED 30th SEPTEMBER** |**INCOME**
