## **3[RD] TAUNTON (BISHOPS LYDEARD) SCOUT GROUP** 

Minutes of Annual General Meeting held on Monday 27[th] September 2021 at the Hut 7.30 p.m. 

Charlie Back (Group President) opened the meeting and welcomed everyone to the evening. 

**Apologies:** Sally Hawkins, John Wattam, Vicki Sellick, Laura Lanning, James Burnell 

Yvonne Back welcomed everyone and thanked all leaders, parents and Jacqui Newton (ADBL) for their continued support. 

**Previous Minutes 2020:** Jana Truby (GSL) requested that the previous minutes for 2020 be accepted Approved:  by all present 

**Matters Arising:** Jana Truby requested approval of the Constitution Approved: Previously by Exec Committee and all present at AGM 

**Group Annual Report:** Jana Truby had sent out report via email and some paper copies were given out to those present. 

**Treasurers Report:** Neil Truby explained there had been little in the way of Scouting over the previous extraordinary year.  Subs were down considerably and even though capitation remained at full cost we made a net profit of about £32.00.  We had no external bookings but we continued to receive rent from Green Days.  Grants were received due to Covid from Somerset West & Taunton for £10,000, Coop £2,500 and a small grant from The Matthew Wrightston Trust. 

There was a big spend during the year on a newish minibus. 

The Exec Committee have agreed to hold the price of subs at £13.00. 

Yvonne Back thanked Neil for his continued hard work as Treasurer. 

## **Elections:** 

Jana Truby nominated Yvonne Back as chair for another year.  Yvonne agreed. 

Neil Truby honoured to continue as treasurer. 

Sam Blease happily agreed to continue her role as minute taker but if there is anyone else leader / parent who would like to take on this role please let us know. 

More parent representatives would be welcome. All other members were approved. Jana Truby thanked Gill Littlewood for taking on the role of Bookings Coordinator. 

**District Staff:** Jacqui Newton attended on behalf of Pam Gaines and thanked everyone for their kind invitation to attend this evening.  Discussions at District level agree that Bishops Lydeard are thriving and congratulations to all for this achievement. She thanked everyone for their continued support and hard work in achieving such an amazing group. 

**Presentations:** Jacqui Newton presented Abigail Littlewood with a Commissioners Award, Val Lambert and Andy Coleman for their Wood Badges. 

Jana Truby then presented Abbie and Richard Cook gifts for their dedicated service to the group over the years and thanked them both for everything they had done. 

Badges were also presented to Ben Blease and Abigail Littlewood for their Bronze Duke of Edinburgh Award. 

## **Any Other Business:** 

A big thank you from the whole group to be passed on to Newbury for their recent work on the hut and Yvonne will pass this on. 

Jana Truby advised that Squirrels will be starting in November.  There are currently 20 children enrolled and 6 on the waiting list. We have been awarded a £500 grant to set this up as Bishops Lydeard falls into the “deprived” areas category. 

Yvonne thanked the Young Leaders for providing tea and biscuits and the meeting was brought to a close.

## **Group President’s Report** 

I have had a long association with Bishops Lydeard Group and am proud to be your President. It has been a strange two or three years for all of us but from a more laid-back role I have been well impressed with how the leaders (and children!) have coped with the modern technology and the lack of physical meetings with others....it feels like it is in the past now (and I hope it is) but I would like to pay tribute to the effort it took to hold this wonderful Scout group together through that strange period. 

Although my connections with the youngsters is very minimal, I do enjoy hearing of their many achievements and I wish all of you as much pleasure in your Scouting career as I had in my younger days.

## **Group Chairperson's Report** 

It is quite a while now since my last report for an AGM and I have had time to reflect on the progress made over the last couple of years. 

Despite the lack of lettings (especially in the summer months) we have a healthy bank balance and are able to consider more major improvements to the Groups assets...maybe even a new minibus but whatever is decided we have very competent people making the decisions on behalf of your children. 

I believe that we have some of the best leaders of any group in the Taunton area and I would like to extend my thanks and good wishes to them all (whatever their role or involvement because Scouting is all about sharing the load and helping each other. If I have any 'disappointment' in the Group it is the lack of interest of some parents in attending the AGM. It is such a small thing for each of you to support your amazing and hard working, generous and special leaders this is one occasion when you can show your appreciation just by attending!! I will hope this is the year when there is standing room only for visiting parents!! 

Whether you are able to attend or not (we will still be there) I would like to wish leaders, parents and youngsters another fabulous year of Scouting with all the varied activities that are organized and carried out. Without you all we would not be one of the best groups in the District!

**Group Scout Leader’s Report** 


After a difficult time through the pandemic we have been able to return to Scouting with full, exciting and challenging programmes across all sections. It has been great to see most of our leaders returning and a few new ones joining us.  As always, our leaders provided plenty of exciting and varied activities providing your children with ‘Skills for Life’, as you will see from the Section Reports. 

I would like to thank all our leaders and helpers for their hard work and dedication.  We have an amazing team of Leaders in all sections as I am sure you would all agree.  All Leaders complete training every year on all aspects of Scouting including First Aid, safeguarding, programme planning, camping. Without these leaders who are all volunteers we would not be able to offer such a successful level of Scouting activities.  As always we need more adult help and if you think can help in any way please let me know. 

Our Leaders are supported by Young Leaders helping across all sections. Young Leaders are an important part of our sections sharing their knowledge and experiences in Scouting with the younger members of our group. I have been particularly impressed with our Young Leaders this year and I would like to personally thank them for all their hard work. 

All Sections are full, with a large waiting list.  Our new Squirrels has proved very popular and has been a huge success. Our two Beaver Sections go from strength to strength and David Humphrey (Otter) has supported both Beaver Colonies through the year.  Our Cub sections have had an exciting year, Paul (Akela) not only runs a great section but is also our Quartermaster, keeping control of all our kit.  It is with sadness that we have decided to close Acorn Cubs on a Friday.  We have struggled over the last few years to retain leaders and Cubs on a Friday evening.  Stuart and James have run a great section and I am thrilled that they are going to move up to help the Scout team.  Our Scout team are going from strength to strength with Val at the helm.  She runs a fabulous Scout section with a team of great leaders. 

I am very excited to announce that there will be a new District Explorers Section based at Bishops Lydeard in September. This will be a district section with young people and leaders joining us from Wiveliscombe and Staple Grove. 

This year we have appointed 2 new roles, Bookings Secretary (Gill Littlewood) and Badge Secretary (Emma Wrayford).  Both are doing a fantastic job. 

Finally, thank you to those on the Executive Committee, who work quietly behind the scenes ensuring the maintenance of the hut and grounds enabling safe scouting. 

The Executive Committee meets 3 or 4 times a year to ensure that we run an efficient and successful Scout Group, and liases outside these times through email and Zoom. Each Section should have at least one parent on the Exec, so if you are interested in joining us please, please, PLEASE let me know!!!

## **Maintenance Report** 

As always there is ongoing maintenance at the hut, we are still having problems with the boiler.  The Main project this year has been the replacement of the hall floor. We had a tidy up day for both the inside and outside of the hut.  The support from parents was disappointing but a big thank you to the 2 


parents and man leaders who helped. The old pond was removed and replace with a compost area.  If you would like to be part of our maintenance team or can help occasionally please let us know.

## **Quartermaster Report** 

The past year has been a quiet one until recently. We have now had 3 camps within the Group and a few requests for equipment outside of the Group.  I am certainly being kept busy now trying to keep up 

with requests, maintaining the site and checking the minibuses constantly.  We have purchased a few new items and still in the process of going through the old which is a huge job in itself.  The plan is to eventually move everything out of the container including the shelving and make this a unit whereby anyone can access for things like the tables and chairs and equipment requests that have been made for visiting groups.  The Guides will be bringing their equipment to us for storing in the near future as well.  Unfortunately, this doesn’t leave us much space until things are finally sorted out.

## **Safety Officer Report September** 

We now have a defibrillator just inside the main entrance at the hut. It has a projected battery life of 5 years and is registered with the Ambulance Service Network. The cabinet is not locked but is useful to protect the device from accidental damage. 

Instructions are inside the cabinet but to a large extent it is self-service, it measures heart activity and talks to the operator about what to do. 

All asbestos that was being stored securely has now been removed by an approved contractor and we have the transfer of waste notice. We also have an asbestos management plan should any works be needed on the hut in the future.

## **Bookings Secretary** 

We rent our hut out to Green Days, Monday to Friday during term times and to other Guide and Scout Groups during school holidays and weekends. The hut/site is booked (and creating an income) 20 July to 20 Aug including 1 group visiting from Manchester, and so far 2 weekends in Sept and 1 in Oct.

## **Squirrels report** 

It was with great excitement we opened our Squirrel Scout section last November.  One of our fist outings was the Remembrance Parade in Bishops Lydeard.  Later in the year they made us all feel very proud as they marched with other Scout Groups and Guides from the district through Taunton Town Centre for St George’s Day. 

Squirrels have completed may exciting activities at the hut including, den building, making bird houses, celebrating Eid and the Queens Jubilee.  We went on many trips including caving at Huish Woods, gardening at Combe Florey Village Garden. Hiking in the Quantocks. 

We have 2 Leaders and 2 Young Leaders all of whom have run the Section with enthusiasm and dedication.  We would also like to thank the parents and grandparents who stay each week to help.  Between us we make a great team.

## **Bishops Lydeard Beavers report Riverside Beavers Woodland Beaver** 

It’s been great to have a full year of back to normal programming, spending as much time outside as possible. 

Our varied programme of weekly activities, plus occasional weekend events, really does give all the young people an opportunity carry out varied tasks/activities and give them an opportunity to do something new and different to what would usually occur at school. Some of the activities we have done this year include: 


- A hike of the Quantock Hills; 

- Chinese New Year celebrations. 

- Practicing our marching ahead of St. George’s Parade in Taunton; 

- A farm visit to see the lambs 

- A trip to Clip N Climb Exeter, followed by a sleepover in the Scout Hut at HQ 

- A hike at Fyne Court 

- District Beaver Camp at Huish Woods – Wild West Themed – activities included slip n slide, soft archery, grass sledging, popcorn making, headdresses, campfire, pony express wide game. 

This year saw the introduction of a 2-year programme. This has enabled all the leaders to plan a programme that is focussed but remains flexible, and exciting to aim to get as many young people as possible to achieve their Bronze Chief Scout Award by the end of their time at Beavers. We are just finishing the end of year one and so far it seems to be working well and does keep down the planning time required by the leaders. 

There have been several Bronze Chief Scout Awards achieve this year which is an amazing feat as it’s the highest award possible within Beavers. 

As with all sections we have had several leavers and joiners both from the Leadership team and the Young People. In particular, I would like to thank: Andy Coleman, Laura Lanning, and Jo Weaver for their time, dedication, and enthusiasm as leaders over the past several years. I couldn’t have done it without you all. 

We are always keen to have new members join the leadership team (particularly in the Woodland colony on Thursdays at present) and will never turn away an offer of help. 

Thank you to all the parents and guardians who attend events (especially at last minute) and ensure that we have the required adult to young person ratios. Without you, we wouldn’t be able to host such amazing events for the young people of Bishops Lydeard Beavers. 

We’re all very much looking forward to welcoming everyone back in September for yet another fun, exciting and entertaining programme, which all the leaders are excited to have pulled together for the young people.

## **Oak Pack report** 


Firstly as always I would like to thank my amazing team of Leaders and Young Leaders without whom I would not be able to run such a wonderful section. 

Now that we back in full swing there is not stopping us.  We have been extremely active since the beginning of the year and have even just completed our long-awaited camp.  We buddied up with Acorn Cubs and Wiveliscombe.   This was the first time for many of our Cubs and they coped remarkably well with the addition of the awful weather.  We have since heard some fantastic comments which we hope will be stored in their memories for a long time. 





We also attended The County Cub Day at Crealey.  The weather was much kinder for this event and fun was certainly had by all including the Leaders!!! 

Badge work so far has included DIY making bird boxes and a great evening cycling at Longrun Meadow.  We set up a blind trail for the Cubs to 

follow as part of the outdoor challenge badge and how to move water and of course looking forward to the end of term water fight and sausage sizzle!

## **Acorn Cub Pack Report** 


It has been great to get back to a full program of events this year and we have really made the most of this - nailing badges all over the place. 

Some of the highlights this year have been bowling, international baking, local history, DIY bird boxes, litter picking, orienteering, night hike, day hike, cycling and Crealy theme park…the list goes on! 

It has been great to see the youngsters attempt and achieve things they have never done before. A favourite with the cubs this year was definitely building and racing go-karts in the meadow. Camp at Huish Woods in June was packed full of activities and for some of the youngsters this was their first camp away from families which was a challenge when the weather turned VERY wet. The cubs did brilliantly in the cold, wet circumstances! 



Alas Acorn will no-longer exist after this term, we are amalgamating with Oak on a Tuesday, the pack will become too small to really continue with sixes effectively. All cubs who want to progress to Scouts or move to Oak will be able to do so. 

A huge thank you to everyone who has helped-out this year – parents, young leaders and other leaders. We could not have done it without you. Most of all a big well done to the cubs for being so enthusiastic and fun to lead, good luck in your next adventures.

## **Bishops Lydeard Scout Troop Report** 

Bishops Lydeard Scouts have had a full and exciting program. Since the beginning of the year we have used combined badge sessions with outdoor excursions and camps. 

We began the year by completing our Skills badge with some bike maintenance and domestic skills. We then brushed up on our map reading skills and compass work with some outdoor hikes. A whole troop art project at the gallery in Watchet gave Beavers, Cubs and Scouts an opportunity to contribute to a sculptural artwork.  This was on show in the gallery for the public to see. 

Easter brought us the amazing Taunton Gangshow with one of our members performing for the first time. The Scouts went to watch and to support and it was an amazing show. 

Our summer program has been full of outdoor fun; hikes, axe throwing, archery, whittling and fire lighting. We visited the Vivary High ropes to face our fears and took part in the water camp at Brompton Ralph where many of our Scouts stepped up to show their true commitment to the Scouting promise. We visited Taunton Pride to experience diversity and equality in society. 



What a great year and above all the Scouts have proved to be a strong team supporting each other in all they do. Our strong leadership team has supported these young people to shine. Thanks to all my team!

## **Group Treasurer’s Report Financial Year 2021/22** 

## General 

Although we began our recovery from COVID during this financial year (“FY2022”), and by the end of the year actually had (excluding our new Squirrel members) exactly the same number of members as we did before the pandemic struck, the financial year was still affected by government restrictions due to the COVID epidemic, and so reflects an unusual set of accounts. 

## Income 

Key points: 

- We charged full subscriptions for every month in the financial year except for April and August 2021. We received a small discount on the subscriptions we are required to pay on in full to District, County and National level, with the result that our net subscription revenue was £8,108 (FY2021 net revenue: £32 (thirty-two pounds!)). 

- We received COVID grants from Somerset West and Taunton Council of £13,700 and seeding funding of £500 from the scout Association to seed-fund our Squirrel Drey. 

- With relatively few bookings from other Scout Groups, and but full use of our Hut from Green Days, our rental income recovered somewhat to £14,944 (FY2021 revenue: £12,482; FY2020 revenue: £18,458). 

- Total income for the year was £41,632 (FY2021 revenue: £31,154; FY2020 revenue: £41,120). 

## Expenditure 

- Costs on scouting activities were £37,090 (FY2021: £1,772; FY2020: £12,375).  The vast bulk of this is represented by the purchase of a new(ish) minibus for £24,600. 

- Overheads for the year were £12,656 (FY2021: £8,614; FY2020 spend: £11,395). 

In total the Group made a net loss of £8,070 for the year (FY2021: surplus of £20,768; FY2020 surplus: £17,350).  Adjusting for the exceptional purchase of the minibus we would have shown a surplus for the year of £16,350.

The Scout Group has had for many years an equity investment portfolio built up from legacies down the years.  At 31[st] March 2022 its estimated value was £105,988. 

## Summary 

Despite another year for Scouting, a combination of tight management of costs by the Trustees, and a grant from government, has enabled the Group to perform adequately financially.   The Group remains well-placed financially, with modest surpluses projected for subsequent years (absent any capital purchases), and significant reserves to fall back upon if needed.

INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF THE 3[RD] TAUNTON (BISHOPS LYDEARD) SCOUT GROUP _YEAR ENDED 31 MARCH 2022_ 

I report to the trustees on my examination of the accounts of the 3[rd] Taunton (Bishops Lydeard) Scout Group for the year ended 31 March 2022. 

## **Responsibilities and basis of report** 

As the charity trustees, you are responsible for the preparation of the accounts in accordance with the Charities Act 2011 (“the Act”). 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect: 

- the accounting records were not kept in respect of the Trust as required by section 130 of the Act; or 

- the accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
