REPORT OF THE TRUSTEES For the Year Ended 30[th ] June 2023

The Trustees present their Annual Report together with the Financial Statement of the Association for the year ended 30[th ] June 2023 and confirm they comply with the requirements of the Charities Act 2011, the trust and the Charities SORP (FRS 102).

OBJECTIVES

The prime objective of the Association is to advance the education of the pupils at Farringtons School (hereinafter referred to as "The School") by providing and assisting in the provision of facilities for education at the School. As ancillary thereto, and in furtherance of the aforementioned objective, the Association shall:

The Association shall in no way seek to interfere with the discipline and work of the school (except as specifically requested by the Headmaster) or any other responsibility of the Governors and Headmaster.

In planning our activities for the year, we kept in mind the Charity Commission’s guidance on public benefit at our Trustee meetings.

The start of the school year in September 2022, started like any new term. The FPA, had a calendar of events planned for the year ahead to continue our successful fundraising for the school.

We were so pleased that our annual Fireworks event took place and was a success as ever, with a phenomenal turn out, and excellent teamwork from the Teachers and FPA parents and helpers. Thanks to everyone involved , pre sale tickets online is a huge success.

The Christmas Market returned, food shopping and fun in santas grotto. All the main attractions returned with a bang including the tombola and the raffle.

The new year started with the Mother’s Day Shop, meticulously planned by FPA members, with sourcing trips for gifts carried out by the FPA team, the March event was enjoyed by the pupils, giving them the independence to choose their own gifts for their loved ones. Thanks to all who helped to make this a success, in particular Lisa who orchestrated the whole event.

The FPA had lots of congratulations and positive feedback from following the quiz night Rob Pacitto played the role of quiz master, we held a raffle and a fun game of heads and tails – there was even the

suggestion from a. number of parents suggesting that we hold another quiz night. Thanks, Rob, for making this event work.

We have followed quiz night with another special person’s gift shop to mark Father’s Day which was also well received by the students and they were able again to choose some gifts. Thank you again to those FPA members and helpers who were able to facilitate this team work.

To help raise the FPA profile and gain more members amongst the school community, the monthly coffee mornings are now done termly with the focus being on information sharing. Teachers have taken on subjects that are pertinent to parents at the school. These mornings have been kept very relaxed with a short topical session followed by a Q & A session on related discussion topics – we have looked at social media with Mr. Young, careers with MS Miah and the Floreat Programme with Mr. Garwood.

We have experienced a good turnout, a small raffle raises donations each coffee morning the raffle is drawn and the proceeds of raffle go to a charity chosen by Rev Verrier. Thanks to Roberta for making sure these happen with flourish.

The Uniform shop continues to be a reliable first call for parents for affordable great quality school uniform.

The FPA know how very lucky we are to have Claire now helping Liz with all things shop related. They dedicate many hours, volunteering to manage and run the shop. Our continued thanks go to them both.

Allocation of funds

We have voted to spend on the following this year to be given to the school before the end of this year .

Year 11 and 13 Parties Year 6 Bouncy Castle

The total of allocated funds are £1356.50

Surplus funds are held on deposit from time to time until needed to earn interest.

OFFICERS AND COMMITTEE

The Charity is governed by its constitution and rules approved in May 2018.

a) The affairs of the Association shall be conducted by a Committee comprising a Chairman, Vice Chairman, Secretary, Treasurer and eleven Committee members.

b) The Committee shall appoint each year at the AGM for the following year (1) a Chairman of the Committee (2) a Vice-Chairman (3) an Honorary Secretary of the Committee and (4) and Honorary Treasurer of the Committee (all four together being referred to as “the Officers”), all from members of the Committee.

The Committee of at least thirteen and maximum sixteen shall comprise:

  1. Minimum of three parents or guardians of the Senior School pupils

  2. Minimum of three parents or guardians of the Junior School pupils

  3. Remaining members drawn from parents or guardians from either part of the school

  4. The Headmistress/Headmaster and the Head of the Junior School

All Committee members shall be elected annually for one year at the Annual General Meeting, eligible retiring members being available for re-election, but no officer of the Association shall serve in the same position for more than three consecutive years, without the express & majority consent (by ballot) of the Committee, and in such event, the Officer may continue in that position for a further 3 years, and at the end of that period (having been duly proposed and seconded in all subsequent years, in accordance with the Constitution) any further term of service of 3 years will be subject to the same express and majority consent (by ballot) as above.

c) The Bursar and up to two members of staff (at the discretion of the Headmaster/Headmistress) shall be invited to attend Committee meetings, as required. The

Committee will invite any required representative from the School Student Council via the Headmaster/Headmistress.

d) A quorum for committee meetings shall consist of one third of elected members.

e) The Committee shall have power to co-opt members of the Association to the Committee for the remainder of the year of co-option.

f) No two members from the same family may hold executive member position.

The committee is responsible for maintaining proper accounting records which disclose with reasonable accuracy at any time the financial position of the association and to enable them to ensure that the Financial Statements comply with the Charities Act 2011. They are responsible for safeguarding the assets of the Association and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

INDEPENDENT EXAMINER’S REPORT ON THE ACCOUNTS For the Year Ended 30[th ] June 2023

I have examined the Financial Report for Farringtons Parents Association, set out on pages 9 to 10 for the year ended 30[th ] June 2023.

RESPONSIBILITIES OF THE TRUSTEES AND THE EXAMINER

The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year (under Section 144(2) of the Charities Act 2011 (the 2011 Act)) and that an independent examination is required. It is my responsibility to:

BASIS OF INDEPENDENT EXAMINATION

My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statements below.

INDEPENDENT EXAMINER’S STATEMENT

In connection with my examination, no matter has come to my attention to indicate that:

  1. Accounting records have not been kept in accordance with section 386 of the Companies Act 2006;

  2. The accounts do not accord with such records;

  3. Where accounts are prepared on an accruals basis, whether they fail to comply with relevant accounting requirements under section 396 of the Companies Act 2006, or are not consistent with the Charities SORP (FRS 102);

  4. Any matter which the examiner believes should be drawn to the attention of the reader to gain a proper understanding of the accounts.
