Trustees Annual Report for year ended 30[th] June 2025
The governing document of the Charity is a deed of Declaration of Trust dated 29th October 1982. The Charity is registered with Registration Number 286039. The objectives of the Charity are the support by donations to qualified charities and incidental charitable donations as directed by the Club Council
The current Trustees of the Charitable Fund are Don Kent, John Blake, Mayank Gupta and Geoff James. Alan Davies retired as a Trustee during the year
As at 30 June 2025 the income for the year in to the Club’s Charitable Funds totalled £38,529.34
The Trustees give their time voluntarily and receive no remuneration or other benefit unless so declared
The Trustees review the Charity aims objectives and activities at a formally constituted and minuted meeting and pay regard to the ‘public benefit’ requirement guidance issued by the Charity Commission.
In accordance with the directives of the Council of the Rotary Club sums totalling £41,827.25 were distributed to Charities or otherwise applied for charitable purposes key details of which appear in the Club’s examined accounts for the year and have been reviewed by all members at the Clubs Business meetings held every other month.
As in previous years funds are primarily raised through Christmas collections together with donations by members of the public and Club members. The new ‘Easter Egg’ fundraising scheme has also contributed to fund raising alongside such established activities such as quizzes.
The Trustees are required by the terms of the Trust to Pay or apply the whole or any part or parts of the capital or income of the Charitable Fund to or for the benefit of such qualified charities and generally in such manner as they may from time to time be so directed by the Council of the Rotary Club. The Club continues to support international projects together with local charitable needs.
The Trustees consider that the Charity remains satisfactory and that its charitable objectives continue to be met.
POLICIES
The Trustees do not consider it appropriate to accumulate significant resources over an extended period preferring that funds are expended as and when appropriate or earmarked for specific purposes. Therefore, expenditure may not be in the year in which the funds are raised.
Funds are held in an appropriately nominated bank account which allows instant access to enable needs to be addressed immediately where identified.
The trustees have maintained the view that the club should seek to keep some moneys in hand at the end of each year and in normal circumstances this would be in the region of around £4,000.
The Club follows the extensive list of policies prepared by the ‘Headquarters’ of Rotary International.
The Trustees have continued to debate the most appropriate duration of their terms of office recognising the importance of continuity, the guidance issued by the Charity Commission and the availability of volunteers to fulfil the role.
The current terms of office are as follows:
Don Kent: end of tenure to be December 2026 John Blake: end of tenure to be June 2026 Mayank Gupta end of tenure December 2027 Geoff James end of tenure December 2027
STATEMENT OF TRUSTEES’ RESPONSIBILITIES
Charity law requires the Trustees to ensure financial statements are prepared for each financial year which show a true and fair view of the state of affairs of the charity and its financial activities for that period. Trustees are required to follow suitable accounting policies and apply them consistently, make judgments and estimates that are reasonable and prudent and state whether applicable accounting standards and practice have been followed and explain any discrepancies.
The Trustees have reviewed the independently examined Accounts to ensure responsible and proper accounting records are maintained which disclose with reasonable accuracy the financial position of the charity and comply with the Charities Act 1993.
Trustees are to ensure the safeguarding of the assets of the charity and take reasonable steps for the prevention and detection of fraud and any other irregularities.
