Tovil Scout Group
I report on the accounts of the Trust for the year ended 31st March
2021, which are set out on pages 3 to 6.
Respectlve responsfjbilities of trustees and examiner
The charSty's trustees are responsible for the preparation of the
accounts, The charlty's trustees consider that an audit is not requ5red
for thls year (under section 144(2) of the Charltles Act 2011 (the 2011
Act)) and that an Independent examination is needed.

examlne the accounts (under section 145(1)(a) of the 2011 Att);
• to follow the procedures lald down In the General D1￿ctIonS given
by the Charity Commisslon (under section 145(5)(b) of the 2011
Act); and

Basls of independent examlner's report
My examinatlon was carrled out In accordan￿ with the General
Directions given by the Charity Commission. An examination includes a
review of the accounting records kept by the charity and a comparlson
of the accounts presented with those records. It also includes
consideration of any unusual Items or disclosures in the accounts, and
seeklng explanatlons from you as trustees concernlng any such
matters. The procedures undertaken do not provlde all the evidence
that would be required in an audit, and consequently I do not express
an audlt opinion on the view given by the accounts.

## **4.0 Visitors:** 

Sadly due to the pandemic we have been unable to welcome any visitors to the colony over the past year 

## **5.0 Sleepovers:** 

Again due to the pandemic we have not had the opportunity to organise any sleepovers away from home, however the Beavers had the opportunity to partake in up to 3 No. camp at home activities over the last year. 

## **6.0 Trips:** 

Sadly we have been unable to organise any trips for the Beavers over the last year 

## **7.0 Activities:**

## **8.0 Covid-19** 

Unfortunately like the rest of the world, Tovil Beavers was hit badly by the Covid Pandemic we were able to operate an outdoor· programme for the majority of the winter term (November we were back online) in late 2020, but sadly and had to close the doors once again to the Hut for the Spring Term in 2021. However we did provide a full programme of activities online for the Beavers to have a go at while they were at home. 

This time each week we held an online Zoom meeting some of which were to actually take part in the activity and some were activities set prior and then reviewed in the Zoom meeting. The most popular evening (we ended up running a second) was the cook with us Live (although I am not sure the parents would have agreed). 

I am pleased to report that we have been meeting externally back at the Hut this Term, where numbers and enquiries have started to increase again.

The Cubs have earnt a variety of badge5 over the past year, a lot of which were earnt durlng
the lockdown period. Those earnt are broken down as follows..

4.0 Overnight Activities:
In February 2021 we participated in the Virtual Camp at Home. We had 3 young people
join in and built their dens and cooked food for them and their families.

We organised a virtual Christmas party as a section to end the winter term
6.0 Activities:
Over the course of the last year we have taken part in a variety of activitles some which
are outlined below-
o Tovil Cubs 100 year party; music, party hats and food.
o Backwoods cooking
o Elmer Elephant Hunt through Maidstone
7.0 Covid-19
Fortunately, the covid-19 pandemic, does not seem to have significantfy imparted the pack In the last
year. We believe this to largely be as a result of there being a mix of virtual activities during the
Tovil Scouts HQ & Campsite.

re8ularly attending Vlrtual meetings.
We are pleased to report that we have been meetlng back at the scout hut to some degree ever since
the Scouts returned to Amber level in April. We are currently meeting weekly wlth a full attendance
most weeks. even on the rainy evenin8s we have a good turnout.
We are looklng forward to any changes that mty follow the 19 July. but these wlll Ilkely take effect for
us from September. In the meantime, we are I￿)king forward to 8ettlng bKk to our annual Watersllde
next week to complete the summer temi.

We have lound the last 12 months very challenging with the covld restrlctlons In place as we have
all worked through the lock downs. we have found that only a few of the Scouts partlclpated in
the online zoom meeting up to Christmas 2020 but after the new year we had increase with ten
Scouts attending. When we finally went back to Scout meetings face to face, on returned we did
back to basic Scouting that we all enjoy. and old Scouts returned increaslng our numbers.
Finally. I wish to thank my fellow leaders for their help and support and ideas over the last year
through these have been very strange tlmes.
We are looking forward to things being back to normal for the Autumn term and thank you for
your support over the last year.

GSL Report- Tovil Scout Group
16 July 2021
This last year has not been the year anyone had planned - and that is certainly true for the
Group. At the last AGM. we were expecting by now to have scouting back on track and
running activities. camps and events as in previous years. Unfortunately, not so!
2021 was planned as the year of celebrating 100 years of Tovil Scout Group, with severa
events planned. The small "ioIY' team spent a lot of time plannin8, changing and then
having to cancel events. Thank you to them and hopefully they will see the frults of their
efforts next year when it is hoped to run some events.
As usual, the leaders have done Tovil proud during these difficult times. They've not only
dealt with the rules and guidance from the government, as we all have, at work and our
personal lives but also had to ensure they follow rules laid down by the Scout Association.
This meant drawing up risk assessments when face to face meetings were being re-started.
In addition, they had to come up with ideas to keep the youngsters interested through on-
line meetings. I would also like to highlight that Dylan gained his Queen Scout Award but
unfortunately was unable to enjoy the 81itz of a "normal" award ceremony. Dan and Lol
have been awarded the Award of Merit, in recognition of their contribution to scoutin8.
Leaders and l appreciate this has been a difficult time for the youngsters and parents; It was
not easy to enthuse about meetings, havin8 schoolwork on-line as well. I would thank the
parents for supporting the leaders and their chlldren during these times.
It's been 8reat in recent weeks to see the youngsters and leaders enjoying meetings back at
Tovil. It will be good for everyone when meetings can be fully back to normal. Adam is also
planning fundraisin8 events. I know around the country many are waiting to re-start camps.
The District are also looking ahead and planning, including a Gang Show next year, with
rehearsals starting in September. Tovil has always been well represented in past shows, so
hopefully we will see several of our youngsters and leaders involved again.
I have decided to retire as GSL. It seems the right time, with Tovil reaching 100 years. some
on-going health problems and I feel that Tovil needs a new person at the helm, to lead the
Group into the next 100 years. As I've said before: I believe we have the best leaders here at
Tovil and that made it a difficult task. when Gina and I started to consider a replacement. I
am pleased that Kirsty agreed to take on the role and I wish her all the best for the future.
I will be still involved with the Group. It would be difficuk to leave, as my family has been in
this Group since the mid 1950's when my eldest brotherjoined, and I have two
grandchildren are in the Group. l am continuing as the Training Adviser for the Tovil leaders
and will be a parent (actually a grandparent} Rep on the Group Exec. I would ask parents to
onsider becoming a Rep on the Group Executive and please speak to Gina about this.
Thank you to the leaders and Exec members for their support and hard work over the years,.
making my time as GSL enjoyable and easy (most of the time}!

Treasurer Report
Here are the key points of Tovil Scout Group accounts for 202(k2021. in review.
If there is a silver lining from this pandemic, we saw a decrease in our utility payments,
along with the compulsory Annual Scoutin8 Subscriptions (Capitation) fees. which were
reduced by almost half compared to last year.
Our expendlture for this period has been reduced by just over 50% of the prevlous year at
£9401. Our income has also been reduted compared to the previous year down over 50%
at £10.393 this leaves us at end of year as a surplus of £991. This is 50% of a typical years
surplus. This was very concernin811
I would like to thank Jan, on achieving a £31XM) grant to help wtth the cost of the new
floorln8.
In addition, to this I have managed to secure Government grants, to enable the group to
have a surplus of £24.183.
To quote Chrls Whitty, We are not out of the woods yev.
This pandemic has had an impact on many households and businesses and currently the
future is unknown on how lon8 or how many more will be affected on both in health and
flnancial challenges. Therefore. we have to be prepared, as a group, for elther a sudden
downturn of income or unplanned increased costs. To secure the future of the group in the
challenges ahead. we need to manage and budget the expenditures, as a result the reserved
account threshold has been increased.
Thank you to all the sections for their supporting in working to keep their accounts up to
date.
I would Ilke to thank Adam for his continued hard work at fundralslng. A key opportunity for
additional income, which has been steadily increasing between members and income is the
Easy Fundraising site.
I would like to close by sayin8 a huge thank you to David Grimes as he has kindly agreed to
continue to audit our accounts and for his help and assistance with auditing this year's
book5.
