## **CHAIRMAN'S REPORT FOR THE YEAR TO 31ST JULY 2021** 

THE FRIENDS OF ST MARY'S is a Registered Charity No 281982 and is formally constituted by Deed of Trust dated 18th June 1979, although the Friends, as an organisation was founded at a meeting in Ealing Town Hall on 26th September 1976 

The Charity Trustees during the year to 31st July 2020 were: Mr Andrew Goodhart (Chairman), Dr Hugh Mather, Rev Valerie Aitken, Rev Andy Johnston, Mr John Newbwgin and Mr John Biggs (Clerk). Two meetings of the Trustees are normally held during the year. 

## **Objectives and Organisation** 

The object of the Charity is to preserve this Grade I Listed Church "as a building of historic and architectural interest" and we are pemitted, under the redundancy measures "to arrange, organise,and conduct such charitable activities (whether or not of a religious nature) at the said church as is authorised by the 99 year lease,  granted on 19th June 1979 by the London Diocesan Fund on behalf pf the Church Commissioners at a nominal rent of £250p.a." This rental is however waived annually, provided that the cost of all repairs and maintenance exceeds this sum, which has been the case since the commencement of the lease over 40 years ago. There has never been a demand for rent and the "rent review" in June 2009 was not exercised. A few years ago, representatives of the London Diocesan Committee visited this and other redundant churches in Middlesex and were delighted with the condition of the church and the improved facilities that the Friends have provided, and continue to provide over the years. 

## **Chairman's Report** 

The Chairman's report for the Trustees whose purpose, under the Deed of Trust, is to have the ultimate responsibility for the use and maintenance of the church and churchyard in accordance with the terms of the lease. The Charity Commissioners have recently confirmed that the Trust Deed is the official over-riding document which describes the responsibilities of the Trustees in respect of the church and the churchyard, including burial arrangements. 

The Trustees have met twice during the year and have noted with appreciation all the hard work that has been carried out during the year, both inside and outside the church building, by the excellent team of volunteers. It is good to have Hugh Mather (Chairman of the Executive Committee) as a Trustee, as he is the prime mover of everything connected with the day-to-day running of St Mary's Perivale. The Executive Chairman's Report therefore gives a more detailed report of the activities for the year.The continuance of concerts is particularly important to the life of St Mary's Perivale, as are the benefits to the musicians who are very keen to play. A major item during the year has been the live-streaming of concerts on a worldwide basis. and we continue to upgrade the recording and sound equipment, and look forward to the nre fibre link for our transmissions. 

The church is being kept in fine condition and, with forward planning, we are able to cover all foreseeable eventualities. The lighting system has been updated and work on the tower woodwork, louvres and windows has been completed. The team of gardeners continue to keep the churchyard in an excellent condition.

## **CHIEF EXECUTIVE'S REPORT FOR THE YEAR TO 31ST JULY 2021** 

**Introduction -** This  has been the most unusual year in our history because of the Covid-19 crisis. After the first lockdown, we reopened for live concerts in an empty church on 2nd June 2020. Since then, we have broadcast 154 concerts under these unusual conditions. It is apparent that we have avoided disaster because of our sophisticated video system, which enabled us to continue supporting musicians, subsidised by donations ffrom viewers of the broadcasts. This has transformed our situation and we have avoided catastrophe and prospered because we are one of the few  venues asble to respond to this unexpected challenge. 

**Broadcast concerts:** We have broadcast 154 concerts from an empty church, from 2nd June 2020 until now, including 70 piano recitals, 23 violin and piano duos, 26 trios or larger ensembles etc. and our Beethoven Piano Sonata Festival lasr Octtober 2020, with all the sonatas played by 32 pianists. We have also held 6 jazz concerts. We have paid over £25,000 to to musicians. All this has been achieved without any grant or external support, and run entirely by or team of unpaid volunteers. I would pay particular tribute to our technical team who made all this possible, led by Simon Shute, comprising George Auckland, Andrew Whadcoat, Rob Jenkins and Truus Bos. I am also very grateful to Roger Nellist for helping me to run the organisation, and to Andrew Goodhart for handling the donations. The broadcasts have been viewed by an average of 500 people per concert, in 53 countries around the world. 

**Our finances** : These are considered in more detail in the report by our Treasurer, Richard Norris, but despite the difficulties in having no audience in the church since March last year, we still managed to record an overall surplus of over £25,000, and we have reserves of over £145,000. This is a remarkable achievement considering the desparate plight of so many other similar cultural centres, and bodes well for the future. I would like to record our thanks to Richard Norris for handling our finances in his usual expert fashion 

**Video-recoding facilities** : We have paid some £12,000 for a major upgrade of our internet connection to fibre, and this is currently being installed by BT and should hopefully be finished by September. This will transform the quality of our broadcasts from Standard Definition to High Definition. The new lighting scheme installed in the chancel by Andrew Whadcoat and Simon Shute is working well. We jhave made major improvements to the sound recording facilities. with extra microphones and sound mixers, and an installation at the back of the nave to allow adjusting the broadcast sound during concerts and lectures. 

**Improvements to the Churchyard:** The churchyard is in good condition, thanks to our flourishing gardening team under the direction of David Brown, and has remained well maintained over the lockdown. We are fortunate tin having such a dedicated group of talented individuals, with a considerable range of skills, to assist in the maintenance and improvement of the churchyard. 

**Publicity:** Our twice weekly email newsletter is sent to over 1,480 addresses and remains our core advertising tool. However, we now need to reach a wider 'vitual' audience watching our concerts at home, principally by use of social media. Five years ago, we launched a major and successful 'social media' initiative on Facebook, with a 'page' for St Mary's Perivale administered by Roger Nellist. We now intend to increase our presence on two other popular platforms, namely Instagram and Twitter. We are grateful for the input of Gill Rowley in producing posters and advertisements for the Ealing Arts Diary. 



**Use of the church by other musical organisations:** In past 'normal' years we have accomodated many local music organisations including  Ealing Chamber Music Club, Ealing Flute Group, Ealing Music Festival, West London Sinfonia,  Piano Association, West London Sinfonia, Ealing Symphony Orchestra and Ealing Youth Orchestra. We are proud that the church has been used to benefit all ages and standards of musicmaking in Ealing , and will do so in the next twelve months when life returns to 'normal'.

**Plans for the Autumn:** We hope to resume concerts with an audience in September and have over 40 concerts planned for the Autumn. Obviously the fluctuating Covid situation is a threat, but barring a further lockdown, we will reopen with a live audience, while following the guidance  from the government. Then, there will be two audiences for each concert - the 'live ' one  in the cchurch (perhaps 25-50) and the virtual audience (totalling 250-500). Some former attenders may still have concerns about any residual Covid risk and may stay away, but we hope that we can persuade most of our supporters to return to the unbeatable 'live' experience in the church. We plan a repeat of our unique Beethoven Sonata cycle  in October with 32 pianists playing all the sonatas. 

**Summary:** Despite the problems posed by the pandemic, we have managed to preseve our concert programmes and have been busier than ever, and our 154 broadcasts have now given us a natinal and international profile beyond our wildest dreams.. We continue to maintain our beautiful church and churchyard in pristine condition. We have established St Mary's Perivale as the premier venue for instrumental and chamber music in West London and consolidated our finances.  We are now probably the most active classical music society in the UK. We continue to maintain our beautiful church  and churchyard in pristine condition. With the valued support of our members and other core supporters, we are ensuring that the church is preserved for future generations to enjoy. 

**Acknowledgements:** Our continued success during the past difficult year is the result of a magnificent team effort by everyone involved at St Mary's and I am indebted to so many people for all their help. I would like to pay special tribute to Roger Nellist, our Vice-Chairman, for his huge input into all aspects of our organisation; to Simon Shute  for leading our technical team and developing our amazing video facilities: to George Auckland, Andrew Whadcoat, Rob Jenkins and Truus Bosl for their massive contribution to the recordings; to George Auckland additionally for developing and funding our website; to Andrew Goodhart for handling the donsations via our website and Gift Aid System; to Richard Norris as Treasurer for his masterly handling of our finances; to Gill Rowley for her work as Membership Secretary; to Judith Price for cleaning the church; to Sherry White for  acting as church 'caretaker'; to Gill Rowley and Mary Anne Auckland for much help with publicity; to David Brown and everyone on the gardening team; to the late Patrick Magill, who helped enormously with our broadcasts and whose passing is deeply mourned; and to everyone on the Executive Committee for being part of such a remarkably harmonious and effective group. Finally, I would like to thank Andrew Goodhart, Chairman of the Trustees, and the other Trustees for their close support.

## **HON TREASURER'S REPORT FOR THE YEAR TO 31ST JULY 2021** 

Attached are an Income & Expenditure Account for the year ended 31st July 2021, together with a Balance Sheet prepared as at that date. 

We are very pleased to report once again that the organisation is in a strong financial position. A successful year's activities has been further augmented by much appreciated donations. 

## **Balance Sheet** 

The Friends have net  tangible assets of £147,024 which is an increase of £14,151 during the financial year; this includes a increase of £7,625 In the value of the holding of COIF Investment Fund, now valued at £46,554.  More than two thirds of the Friends reserves are held in cash at the present time, which attracts very little interest but in the short term at least is considered to be the safest harbour for the money 

As indicated last year, the upgrade of the lighting in the church was completed in the Autumn at a total cost of £12,211; this was funded by the Keith Hutton Fund which is dedicated to funding internal church maintenance. There are no pkans for spending the residual balance of £2,143. 

## **Income & Expenditure Account** 

As explaned in the CEO's report, the Friends has continued to provide live concerts, which are broadcast on our live-streaming system. Audiences have responded very positively to this, and requests to listeners for donations to help pay the players have been very generously supported. As a result of this, concert income has risen to £55,993 an increase of over £14,000 on last year, further augmented by increased Gift Aid. 

As a result of this disrupted programme, direct concert costs remain rather lower, but the expenses include a charge of £11,664 for the istallation of fibre optic cable to improve the quality of our broadcasts. 

Aside from concerts, the subscription income has increased significantly, and routine overheads for keeping the building and churchyard well maintained have generally held or are marginally reduced. As indicated elsewhere, we have invested heavily in livestreaming equipment, but the planned redcoration of the interior of the church has been deferred until some of the present uncertainties should have eased. 

## **General** 

The surplus on the Income and Expenditure Account for the year is £26,363, which is higher than planned and a reflection on the generosity who have supported the organisation during the year, and the expertise and dedication of the live-streaming team who have made it possible.

At 31st July 2021 the Friends of St Marys Perivale had a holding of 204.75 Accumulation Units in the COIF Charities Investment Fund with a value of £46,554 (2019: £38,928).

## **INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF THE FRIENDS OF ST MARY'S, PERIVALE.** 

I report on the accounts of the Trust for the year ended 31st July 2021which are set out on the attached pages. 

## **Respective responsibilities of trustees and examiner** 

As the Charity's Trustees, you are responsible for the preparation of the accounts, and you consider that the audit requirements of Section 43 (2) of the Charities Act 1993 ("the Act") do not apply. It is thus my responsibility to state, on the basis of procedures specified in the General Directions given by the Charity Commissioners under Section 43 (7)(b) of the Act, where particular matters have come to my attention. 

## **Basis of the Independent Examiner's Report** 

My examinations were carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the charity, and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as Trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required of an audit, and consequently I do not present an audit opinion on the view given by the accounts. 

## **Independent Examiner's Statement** 

In connection with my examination, no matter has come to my attention which gives me reasonable cause to believe that in any material respect the requirements 

a) to keep accounting records in accordance with Section 41 of the Act, and 

b) to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Act 

have not been met. 

The Trust, in common with others of a similar size and organisation, received income which cannot be fully controlled until it is entered in the accounting records and is therefore not capable of independent verification. 

No matter has come to my attention in connection with my examination to which, in my opinion, attention should be drawn in order to make a proper understanding of the accounts to be reached
