Annual Report of the Trustees

In my role as Chairman of the Trustees and National Chairman I wish to thank all the Trustees and National Committee Members for their hard work in support of the fellowship. Their prayers, commitment and fellowship have been invaluable as we have worked together for the benefit of the CCCF members.

The Fellowship has been served in 2023 by the following Trustees:-

Angela Hannay Chairman David Lowis Vice Chairman Paul Edwin Hannay Interim General Secretary & National Rally Officer David Lynn National Treasurer from January-June Rachel Clarke-Brookings National Treasure from June assisted by David Lynn.

The Trustees have continued to ensure that the Fellowship as a charity has been managed and operated according to our Constitution and Rules through the National Committee and Regional Committees in a Godly and righteous way. Not forgetting our Vision Statement, we aimed to uphold the agreed objectives of the Fellowship to advance the Christian Faith as set out below.

  1. Bringing together Christian caravanners and campers and other Christian friends for devotional and evangelistic purposes

  2. Meeting for Christian witness and fellowship by arranging rallies, reunions and similar activities

  3. Joining actively in outreach and in the service of the Lord Jesus Christ

  4. Inviting where appropriate, local churches and members of the public in the vicinity of a rally or holiday activities, to join with and participate in Christian meetings that are organised

  5. Engaging in such other charitable activities for the advancement of the Christian Faith as the Fellowship shall determine.

  6. The planning of a programme of rallies including weekend and mid-week rallies, holiday rallies, day rallies and the National Rally over the Spring Bank Holiday period with spiritual and social input at all rallies.

  7. Through planning to share fellowship and worship with local fellowships and communities. Members at some rallies normally attend local church services and have always been warmly welcomed, with local Christians joining in with meetings and activities on the rally site.

  8. Through the distribution of gifts and donations to individuals in Christian service and other missionary and charitable organisations from gifts made by members.

  9. Through the Fellowship magazine ‘Newsline’ and regional magazines, and website, news of any changes and additions of rallies, news of individual members and other issues such as reports on National and Regional Committee meetings have been shared.

  10. Through the continued care and concern offered through the Fellowship Prayer Support Network.

  11. Through the loving concern of members for members both in regions and nationally.

  12. The National Treasurer’s Report gives details of the financial position of the Fellowship and has the endorsement of the Trustees. I want to express our sincere thanks to David Lynn and Rachel Clarke-Brookings, our National Treasurer’s for keeping the finances of the Fellowship in good order and preparing the end of year accounts. We give thanks to God that the finances have regained some of that lost over the previous years due to Covid19, and we continue to have sufficient reserves to survive a crisis of the sort we have recently encountered.

  13. Membership numbers reduced very slightly in 2023 when compared to 2022. We are much encouraged by the 25 new members and families joining and participating at our rallies. It is the sincere hope of the Trustees that membership will again increase.

  14. The Trustees readily recognise the reliance that the Fellowship has on the dedicated and committed voluntary work of so many Fellowship members who serve in a wide range of ways at national and regional levels. The trustees record their warm and grateful thanks for these generous acts of service. The Trustees are sad to report that there are a couple of regions which are struggling, and we are considering amalgamating them with other regions.

  15. The Trustees are pleased to report we have had no Safeguarding issues to report in 2023. The trustees realise the importance of keeping our Safeguarding policy up to date and we continue to look at this.

National Chairman’s Report

2023 was our 50th Spring Bank holiday rally and at the rally we gave out to our members the Booklet ‘Celebrating 50 years’ all about the history of CCCF. We returned for our Spring Bank Holiday to one of CCCF’s favourite sites Red Hill Christian Centre near Stratford upon Avon. We were given a warm welcome from the Centre. Since we had last been there, they had built a lovely toilet and shower block which was a welcome addition for us at the rally. Red Hill has four lovely rooms which we were able to use enabling those who no longer caravaned to join us at the rally. There were 93 units193 adults and 84 under 18’s. We welcomed for the first time 20 units, 34 adults and 18 under the age of 18. We had Bob Telford as the speaker. We had our usual Bank Holiday Monday Fete which had a real buzz about it thanks to Ellie and all her helpers. The weather was glorious which played an important part in the success of the rally for which we thank God. Again, we were able to use the Show Jesus Burger van which was a real asset to the rally and chairs and marques which we are grateful to Andy Goode for making these available to us. It again was a good rally and the Lord blessed us financially too and we again had a slight surplus which we have been able to use to purchase more hook up boxes. We still have a good reserve which puts us in a good position if we have to cancel a National Rally again in the future.

This year we have returned to another of our favourite sites, Burleigh Hill Farm, we have been made very welcome by Mark Schwier, the last time we were here was in 2018 the topic was Listening to God in a Chaotic world, something we still really need to do. This year we have been very grateful to Phil Kingham for giving of his time to speak to us, as you know he has been speaking about ‘Waiting on God’ we have met with God and He has been moving meeting peoples needs. We have had during our time here 81 units, 158 adults and 71 under 18s. Again, this year it is so good to be able to welcome 16 units for the first time. So far we have had 7 sign up for membership and possibly 2 more. The region of Northern Ireland also has held a rally at the same time as ours.

We are grateful to both Rachel Clarke-Brookings and David Lynn as they have been working together over the past year keeping our finances in order, as you have seen David is taking up the post of Treasurer again for up to two more years until we can find someone else, so that Rachel can take over the post of General Secretary to relieve Paul Hannay. We are very grateful to Paul for acting as interim General Secretary for the past 18 months, he has done a really good job and has worked hard. This all depends on your vote tonight.

Last year we said we had a few people standing down from the planning team and we needed replacements or this year’s SBHR would not take place! Well, here we are God is Good! Thank you to all of those who came forward and have stepped up to the mark we are grateful. There are two I feel really need to be thanked Andrew Bosier and Stephen Millar who have made a large contribution to the team. I would also like to thank on your behalf all the planning team who work so hard during the year to make the SBHR the rally that we enjoy.

I am also grateful to Wesley Groves who has been part of the Council of Reference for quite some time, but he has felt now is the time to step down from this role so our thanks go to him today. I am pleased to report that Ronnie Atkinson has agreed to stand on the Council of Reference he has been a member of CCCF in Northern Ireland for many years and it will be good to have his support and the knowledge of the Northern Ireland Region, I do hope you have given him your vote.

It is always a joy to welcome new members but also sad when we have to say goodbye to others due to many reasons but mainly due to health constraints. I do hope that you all feel part of a family rather than an organisation, we are truly part of a wider family when we are part of the family of God.

The Trustees and National Committee have again this year sort to support the regions that are struggling we have attended their AGMs when possible and we are looking at ways we can structure the regions to make them workable.

Diane Noble has really done an excellent job of editing Newsline, and she has now stood down from this position we thank Diane very much for the time and effort she has put into making such an attractive magazine. Your next edition will be published by Andy Moles, and I am grateful to him for offering to edit Newsline. Newsline continues to be a good source of information and is well produced and continues to have many good reports of what is going on in the regions. Please continue to send in information about what is happening in your regions and about your rallies with photos too.

The website continues to be our public face and we are very grateful to Andrew and David Lowis for the work they have done in maintaining the site. Cathy Lee agreed to take on this role and look for a new platform last year, but it proved to be quite difficult and so did not happen by the end of 2023, Cathy has now said because of work commitments she would not be able to continue with this as she had hoped to have had it running by summer 2023. I would like to take this opportunity of thanking Cathy for all the time she put into researching this for us. As a result, David Lowis has agreed that he will ask Andrew to help him update the site using a newer version of the platform they already use. David hopes they will be able to do this by the end of 2024.

Again in 2023 CCCF had a stall at The Gathering and a great big thank you to Nick Arnold and his team for manning a display stand, it has been good to have some competition winners here this year from that event. Others have given out leaflets at Keswick and we have new members that have joined due to them. The most successful way of advertising the fellowship is through word of mouth, be it friends or people you meet on a campsite or caravan park so if you have not picked up the trifold leaflet, or some CCCF business cards or a poster, please do. The business cards are brilliant to keep in your phone case or wallet so you will always have something about CCCF to give out with our details on, wherever you may be.

Our merchandise is a good conversation starter so do order if you have not done so clothing and flags etc.

The Prayer Support Network has a vital part to play in our fellowship and we are grateful that Alex and Jennie Harries continue to co-ordinate the requests. If you have not yet signed up to receive prayer requests, you can do so at the hub. It is a special way we can care for each other through prayer. We have had 54 requests and updates from members in 2023 and so far, this year 16 requests and updates.

INDEPENDENT EXAMINER'S REPORT ON THE ACCOUNTS

Report to the trustees/ members of Caravanners and Campers Christian Fellowship on the accounts for the year ended 31st December 2023 set out on pages 8 to 13.

Respective responsibilities of trustees and examiner

The charity's trustees are responsible for the preparation of the accounts. The trustees consider that an audit is not requirements of Section 144(2) of the Charities Act 2011 (the Act) does not apply, and that there is no requirement in the governing document or constitution of the Charity for the conducting of an audit. As a consequence, the trustees have elected that the financial statements be subject to independent examination.

Having satisfied myself that the charity is not subject to audit under company law and is eligible for an independent examination, It is my responsibility to:

Basis of independent examiner's statement

My examination was carried out in accordance with General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the organisation and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

Independent examiner's statement

In connection with my examination, no matter has come to my attention:

  1. which gives me reasonable cause to believe that in, any material respect, the trustees have not met the requirements to ensure that:

  2. proper accounting records are kept (in accordance with section 130 of the Act); and

  3. accounts are prepared which agree with the accounting records and comply with the accounting requirements of the Act; or

  4. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

5. PAYMENTS TO TRUSTEES AND RELATED PARTY

Four trustees were paid a total of £1,953 in 2023 for their out-of-pocket expenses for travel, safeguarding training, equipment costs, etc while carrying out their duties (2022: 4 trustees received £1,069). Additionally, three trustees were paid office allowance for the total value of £350 in 2023 for their out-of-pocket expenses for stationary, online storage, software, postage, while carrying out the their roles as National Treasurer, National Rally officer and General Secretary (2022: 4 trustees received £450).

Lesley Lynn - spouse of David Lynn - Received reimbursement of £599 for out-of-pocket expenses in 2023 for food and materials for Food Van and Friday meals at SBHR (2022: £625)

6. RISK ASSESSMENT

The Trustees actively review the major risks which the charity faces on a regular basis and believe that maintaining the free reserves stated, combined with the annual review of the controls over key financial systems carried out on an annual basis will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which they face and confirm that they have established systems to mitigate the significant risks.

7. RESERVES POLICY

The Trustees have considered the level of reserves they wish to retain, appropriate to the charity's needs. This is based on the charity's size and the level of financial commitments held. The Trustees aim to ensure the charity will be able to continue to fulfil its charitable objectives even if there is a temporary shortfall in income or unexpected expenditure. The Trustees will endeavour not to set aside funds unnecessarily.

8. PUBLIC BENEFIT

The charity acknowledges its requirement to demonstrate clearly that it must have charitable purposes or ‘aims’ that are for the public benefit. Details of how the charity has achieved this are provided in the Trustees report. The Trustees confirm that they have paid due regard to the Charity Commission guidance on public benefit before deciding what activities the charity should undertake.
