Annual Report of the Trustees

In my role as Chairman of the Trustees and National Chairman I wish to thank all the Trustees and National Committee Members for their hard work in support of the fellowship. Their prayers, commitment and fellowship have been invaluable as we have worked together for the benefit of the CCCF members.

The Fellowship has been served in 2022 by the following Trustees:-

The Trustees have continued to ensure that the Fellowship as a charity has been managed and operated according to our Constitution and Rules through the National Committee and Regional Committees in a Godly and righteous way. Not forgetting our Vision Statement, we aimed to uphold the agreed objectives of the Fellowship to advance the Christian Faith as set out below.

National Chairman’s Report

Chairmans Report 2023

In 2022 we were able to meet for the first time in 2years for our SBHR at Oswestry Show Ground. Everyone was so happy to be able to meet up again and we had 92 units, 195 adults, and 70 children under the age of 18. It was wonderful to welcome 69 first timers 46 adults and 22 children we are glad to say approximately a third of the first timers have returned this year and it is great to see you again. We had a wonderful time celebrating the Queens jubilee together at the rally.

This year it is our 50th Spring Bank Holiday Rally and it is so good to be able to return to one of our favourite venues Red Hill Christian Centre. We have had during our time here 93 units, 193 adults and 84 under 18s. Again, this year it is so good to be able to welcome first timers 20 units 34adults and 18 under 18s. The region of Northern Ireland also will be holding a rally at the same time as we are here. The Lord has again blessed us both spiritually and financially and we made a small surplus at the rally last year, that helped to raise our reserves which had been depleted during the pandemic due to the costs of cancelling the two SBHR rallies, this means we are in a better position if we face another pandemic or for unforeseen circumstance, we have to cancel a National Rally again.

We are very grateful to David Lynn for keeping the finances in order over the past 10 years and again over this last year. As you will see from the elections David is now stepping down from this position. We are grateful that we have Rachel Clarke-Brookings who is willing to stand in this position so depending on your vote tonight we will have a replacement.

Last year sitting beside me was Steve Noble and it was with great sadness I had to accept his resignation at the end of the year I would like publicly to thank him on your behalf for all that he did for CCCF as General Secretary. I also want to thank Paul Hannay for stepping up as Interim General Secretary during the time Steve was unable to fulfil his role and since he has resigned, I have seen Paul work extremely hard for which I am really grateful, he has been a real support to me as chairman. We still need someone to come forward to take on the position as General Secretary, whoever it might be you will not be left on your own, but someone will support and help you as you learn the ropes.

Nigel Parrett has led the Planning Team of SBHR for the past 5 years, this year he will be stepping down from this role though he still plans to be on the team. I want to thank him on your behalf for all the hard work he puts in and all the work as well he does during the set up and the rally, we are very grateful to him, and for all the planning team who work so hard during the year to make the SBHR the rally that we enjoy. I am also very grateful to Paul Wells for all the hard work he puts in during the year, set-up and the rally, he is usually the last person to leave the main venue each evening because of printing the news sheets. So, a great big thank you to you both. Again, Paul is wanting to hand on to others the many jobs or at least some of them to others, he is willing to help you as you learn the ropes. Thank you again! After last SBHR Chris Baker stepped down from the planning team but Derek and Paula Finlayson joined us, and Roy and Helen Mould joined for a short time thank you for giving your time. We were sad to see Chris Baker leave but very grateful for the role he played. We had said that we needed people to step up and take on roles if we were going to be able to have an SBHR next year, we had quite a few people turn up to the meeting Tuesday evening and as a result we are pleased to be able announce that the Spring Bank Holiday Rally is going ahead next year.

We are also grateful to Dennis Eaton who has been part of the Council of Reference for quite some time, but he has felt now is the time to step down from this role so our thanks goes to him today.

It is always a joy to welcome new members but also sad when we have to say goodbye to others due to many reasons but mainly health constraints. I do hope that you all feel part of a family rather than an organisation, we are truly part of a wider family when we are part of the family of God.

The Trustees and National Committee have again this year sort to support most of the regions attending their AGM’s, we are seeking to support the East Midland region which is failing to create a workable committee. It is with great sadness that Scotland closed as a region due to dwindling numbers. Scotland has now been amalgamated and welcome by the North West and North Wales Region, which is now called North West, North Wales and Scottish Region, we are pleased that we have a couple of members still in Scotland Newsline continues to be a good source of information and is well produced and continues to have many good reports of what is going on in the regions.

The website continues to be our public face and we are very grateful to Andrew and David Lowis for the work they have done in maintaining the site. They had said it was on a dated platform and needed to be updated but they felt they did not have the expertise to take this forward but were willing to support whoever took on that task until it was up and running. We are very pleased to tell you that the committee have appointed Cathy Lee who has offered to take this task on, and she has over the past few months been seeking to find the right platform to use. She would be grateful for a team to be able to support her. She is hoping to have the new website up and running by the end of the year.

CCCF had a stall at The Gathering and a great big thank you to Nick Arnold and his team for manning a display stand, it has been good to have some competition winners here from that event. Others have given out leaflets at Keswick and we have new members that have joined due to them. The most successful way of advertising the fellowship is through word of mouth be it friends or people you meet on a campsite or caravan park so if you have not picked up the trifold leaflet, or the new CCCF business cards or a poster, please do. We have had more printed so you can take away with you and hand out to those you meet. The business cards are brilliant to keep in your phone case or wallet so you will always have something about CCCF to give out with our details on, wherever you may be.

Our merchandise is a good conversation starter so do order if you have not done so clothing and flags etc.

The Prayer Support Networlc has a vital part to play in our fellowship and we are grateful that Alex and Jennie Harries continue to co-ordinate the requests. If you have not yet signed up to receive prayer requests, you can do so at the hub. It is a special way we can care for each other through prayer. We have had 53 requests and updates from members over the past year.

We asked some questions to the fellowship a few months ago as we as a committee have been se king the Lord for how to move forward as a fellowship only 13 members have responded which must mean most of the rest of the members are happy with the fellowship as it is. It was mentioned about families, about advertising which was mentioned above, and many of you have for some time said that our Fellowship Praise is dated, as a committee we have been looking Into the best way forward with this over the last year, you should have had a request from your REM and seen in the latest Newsline for suggestions of worship songs that we can put into a new supplement, it will also be available as a PDF for those who would prefer to have it on a device. If you have not yet let your REM know of any songs, you would like to see in the supplement please let them have the Title of the song and the Author. We will then see which ones we can put into print. We have a licence to print and that means we can use the books at our other rallies, but we only have a licence to project onto scre n and download for the SBHR. We also need to report any songs that we print in the book so that the writers receive their royalties. It is important for us as a fellowship that we keep to the authority of the Bible in all we do and obey its teaching, God will bless if we honour Him.

I am so grateful that over the past year so many of you have enjoyed the rallies that were run. Some rallies not many attended and sadly a few rallies had to be cancelled as so few booked or did not book in time. It always helps those responsible for running the rallies when you book early as it is only fair to the landowners that we let them know in plenty of time how many we expect.

We are grateful to all who have volunteered to help both regionally and Nationally over the past year, as you know our Fellowship would not exist without each of you who volunteer. As we are celebrating SO years of SBHR my prayer is that God will be glorified and that we will lift Him high and that He will continue to Bles this very Special Fellowship.

The Charities Act 2011 require the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the trust and of the surplus of the trust for that period. In preparing those financial statements the trustees are required to:

INDEPENDENT EXAMINER'S REPORT ON THE ACCOUNTS

Report to the trustees/ members of Caravanners and Campers Christian Fellowship on the accounts for the year ended 31st December 2022 set out on pages 7 to 11.

Respective responsibilities of trustees and examiner

The charity's trustees are responsible for the preparation of the accounts. The trustees consider that an audit is not requirements of Section 144(2) of the Charities Act 2011 (the Act) does not apply, and that there is no requirement in the governing document or constitution of the Charity for the conducting of an audit. As a consequence, the trustees have elected that the financial statements be subject to independent examination.

Having satisfied myself that the charity is not sublect to audit under company law and is eligible for an independent examination, It is my responsibility to:

Basis of independent examiner's statement

My examination was carried out in accordance with General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the organisation and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

Independent examiner's statement

In connection with my examination, no matter has come to my attention:

  1. which gives me reasonable cause to believe that in, any material respect, the trustees have not met the requirements to ensure that:

  2. proper accounting records are kept (in accordance with section 130 of the Act); and

  3. accounts are prepared which agree with the accounting records and comply with the accounting requirements of the Act; or

  4. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

Love Offering Fund - Collections are taken at Rallies to be given to other charities or those in the Fellowship in need.

5. PAYMENTS TO TRUSTEES AND RELATED PARTY

Four Trustees were paid a total of £1069.31 in 2022 for their out-of-pocket expenses for travel, safeguarding training, equipment costs, while carrying out their duties. Three Trustees were paid a total of £450 in 2022 for their out-of-pocket expenses for stationary, online storage, software, postage, while carrying out the their roles as National Treasurer, National Rally officer and General Secretary.

Andrew Lowis - related party to David Lowis (son) - Total amount paid in 2022 was £162 for travel to transport equipment

Lesley Lynn - related party to David Lynn (wife) - Total amount paid in 2022 was £625.48 for food and materials for Food Van and Friday meals at SBHR

6. RISK ASSESSMENT

The Trustees actively review the major risks which the charity faces on a regular basis and believe that maintaining the free reserves stated, combined with the annual review of the controls over key financial systems carried out on an annual basis will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which they face and confirm that they have established systems to mitigate the significant risks.

7. RESERVES POLICY

The Trustees have considered the level of reserves they wish to retain, appropriate to the charity's needs. This is based on the charity's size and the level of financial commitments held. The Trustees aim to ensure the charity will be able to continue to fulfil its charitable objectives even if there is a temporary shortfall in income or unexpected expenditure. The Trustees will endeavour not to set aside funds unnecessarily.

8. PUBLIC BENEFIT

The charity acknowledges its requirement to demonstrate clearly that it must have charitable purposes or ‘aims’ that are for the public benefit. Details of how the charity has achieved this are provided in the Trustees report. The Trustees confirm that they have paid due regard to the Charity Commission guidance on public benefit before deciding what activities the charity should undertake.
