Annual Report of the Trustees

In my role as Chairman of the Trustees and National Chairman I wish to thank all the Trustees and National Committee Members for their hard work in support of the fellowship. Their prayers, commitment and fellowship have been invaluable as we have worked together for the benefit of the CCCF members.

The Fellowship has been served in 2021 by the following Trustees:-

The Trustees have continued to ensure that the Fellowship as a charity has been managed and operated according to our Constitution and Rules through the National Committee and Regional Committees in a Godly and righteous way. Not forgetting our Vision Statement we have upheld the agreed objectives of the Fellowship to advance the Christian Faith as set out below.

National Chairman’s Report

This is my first AGM and the first chance I have had to see many of you since I was voted on as chairman. I want to thank Nigel Parrett for the support he has given me since taking on the role, I wish to thank Paul Wells too as both Nigel and Paul have been very patient with me, and I still have a lot to learn. I also want to thank those of you who have been praying for me and the committee as we seek to lead CCCF, we cannot do this without God helping and guiding us, so we really need your prayers. Psalm 127:1 Unless the LORD builds the house, its builders labour in vain. Unless the LORD watches over the city, the watchmen stand guard in vain.

It is wonderful to be able to meet face to face this year for our AGM after having to make different arrangements for the past two years!

After last year having to cancel the Spring Bank Holiday rally again, we were able to meet either outside or with some of the sides of the marquee removed under Covid rules, but it was such a blessing to meet and praise together again. Most of the regional AGM’s went ahead as normal in January and February but for a few regions they still felt due to the nature of some of the members it was best to meet online, but one way or another they went ahead. We are grateful that this year’s rallies have been run as normal.

It is great to be back at Oswestry and District Agricultural Society Showground for our Spring Bank Holiday Rally and we have been made welcome by the showground staff here. Northern Ireland also have a rally running over the Jubilee Bank Holiday, sadly Scotland has had to cancel their rally.

We are expecting at over the time here over 90 units 193 adults and 64 under 18s quite a few less than the last time we met here, that was a special time being our 50th anniversary, but we know lots of things have happened since then especially Covid which has changed lots of things! Many are unable to meet with large crowds and are being careful and others who we would normally see have passed into the Lord’s presence and their spouses are now not able to come, others are finding age or ill health are preventing them, but we are so pleased to welcome 26 units for the first time. And many of the first timers joined the fellowship during the time of Covid.

Some of you have been able to venture out and meet up with us when we have been able to rally those few times during 2021. Over the past few weeks, we have quite a few people enquiring about the fellowship which is really encouraging. We are so grateful to God for the way he provided for us when we were last here in 2019, in that we made a substantial profit which put our reserves on a good footing, these reserves are there to cover the costs of cancelling a SBHR. We never thought we would have to cancel one SBHR let alone 2 consecutive years. But God has been good to us, and we still have reserves in the National Rally Account even though they have been depleted and is now below the minimum reserve as you will see in the Treasurers report. In 2020 it was reported that we had to replace the shower trailer, but due to Covid it was only used once last year and that was at the Criccieth Holiday Rally where it was well used, if you have not seen the shower trailer yet, then you can as it is here beside the Showgrounds shower facilities. It is good to know that our reserve level in our General Account is now above the Minimum expected level after paying out for the Shower trailer we thank those who have made generous donations towards the Shower trailer.

Thank you, David, for all you do to keep the accounts in order.

I would like to thank Nigel Parrett and all those on the planning team who have worked tirelessly over the past year to make this SBHR happen, (you can see who they are from the photos on the board), there have been a few hick-ups over the past fortnight which has meant extra work, but it has and is a chance to prove God’s faithfulness and see what He is saying.

Newsline has undergone changes this year with having a new editor, my thanks go to Diane, please keep sending in your reports and articles to her.

My thanks go to Alex and Jennie for heading up The Prayer Support Network and keeping members informed of those who need our prayers, this is a vital way of supporting each other within the fellowship.

As a result of Covid the One Event did not take place so we did not have a stand there in 2021 but this year it is planned to have a gazebo outside the main tent at The Gathering in June this year, we pray this will raise interest in our fellowship. As Martyn said in his report there are new flyers and updated material for us to use, Paul Well mentioned in his membership report that more new members join as a result of recommendations from friends and family so please can I urge you to pick up some of the updated publicity material from the hub to give to your friends and family or those you meet when camping this summer.

At a rally in the Southwest in October last year there was an Electrical fault on the site which led to substantial damage to a few of the units, we are having an ongoing battle with the insurers of that site, and we would appreciate your prayers for a good outcome for our members. We as a committee would remind you that you will see under insurance in the Rally Book it says that we strongly advise you to insure all your equipment and provide yourself with sufficient personal cover. As we do not have insurance cover for our members or their property. I have also been advised by Acceo (The Association of Caravan & Camping Exempted Organisations) a support group to rallying organisations that they would advise that you take out legal cover with your insurance.

I want to remind everyone that as a member’s organisation, it is run by members and as a result we are always needing volunteers to help at rallies especially at the Spring Bank Holiday Rally, there are always jobs to do, no member is paid for their services they all do it to bless others, and as usual many have already stood up to the task so thank you. Each region has a committee, and some are struggling to find those who are willing and able to come onto the committee and help run their region. Many regions are struggling to find people willing to run rallies as rally hosts, the best way to do this is to volunteer to run as assistant hosts so you can learn the ropes. Without members volunteering we may find ourselves in the position where rallies are not held in every region and some regions closing. So please could I urge you whether here at SBHR, in your own regions or for rallies please don’t leave it to the few but offer to do what you can. We have had some first timers this year who also offered to come on the set-up team here and have worked so well together, which is so encouraging thank you.

I would like to record my thanks to all those members who work tirelessly to support this fellowship without who we could not continue in the same manner. There is one person I want to thank above everyone else in the fellowship as he works tirelessly behind the scenes and without him things would fall apart. Not only is he the membership secretary but he also posts Newsline and stuffs the envelopes with everything else needed in it, plus many other jobs, he is a mind of information of how the fellowship works. I must say a big thank you publicly to Paul Wells for all he does, thank you Paul.

Trustees Responsibilities

The Charities Act 2011 require the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the trust and of the surplus of the trust for that period. In preparing those financial statements the trustees are required to:

The trustees are responsible for keeping proper accounting records, which disclose with reasonable accuracy at any time the financial position of the trust. They are also responsible for safeguarding the assets of the trust and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Love Offering Fund - Collections are taken at Rallies to be given to other charities or those in the Fellowship in need.

5. PAYMENTS TO TRUSTEES

No payments were made to trustees or any persons connected with them during this financial period other than £750 for office allowance and a retiring gift. No material transaction took place between the organisation and a trustee or any person connected with them.

6. RISK ASSESSMENT

The Trustees actively review the major risks which the charity faces on a regular basis and believe that maintaining the free reserves stated, combined with the annual review of the controls over key financial systems carried out on an annual basis will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which they face and confirm that they have established systems to mitigate the significant risks.

7. RESERVES POLICY

The Trustees have considered the level of reserves they wish to retain, appropriate to the charity's needs. This is based on the charity's size and the level of financial commitments held. The Trustees aim to ensure the charity will be able to continue to fulfil its charitable objectives even if there is a temporary shortfall in income or unexpected expenditure. The Trustees will endeavour not to set aside funds unnecessarily.

8. PUBLIC BENEFIT

The charity acknowledges its requirement to demonstrate clearly that it must have charitable purposes or ‘aims’ that are for the public benefit. Details of how the charity has achieved this are provided in the Trustees report. The Trustees confirm that they have paid due regard to the Charity Commission guidance on public benefit before deciding what activities the charity should undertake.

INDEPENDENT EXAMINER'S REPORT ON THE ACCOUNTS

Report to the trustees/ members of Caravanners and Campers Christian Fellowship on the accounts for the year ended 31st December 2021 set out on pages 8 to 12.

Respective responsibilities of trustees and examiner

The charity's trustees are responsible for the preparation of the accounts. The trustees consider that an audit is not requirements of Section 144(2) of the Charities Act 2011 (the Act) does not apply, and that there is no requirement in the governing document or constitution of the Charity for the conducting of an audit. As a consequence, the trustees have elected that the financial statements be subject to independent examination.

Having satisfied myself that the charity is not sublect to audit under company law and is eligible for an independent examination, It is my responsibility to:

Basis of independent examiner's statement

My examination was carried out in accordance with General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the organisation and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

Independent examiner's statement

In connection with my examination, no matter has come to my attention:

  1. which gives me reasonable cause to believe that in, any material respect, the trustees have not met the requirements to ensure that:

  2. proper accounting records are kept (in accordance with section 130 of the Act); and

  3. accounts are prepared which agree with the accounting records and comply with the

  4. accounting requirements of the Act; or

  5. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
