## **MINUTES OF CROSCOMBE VILLAGE HALL MANAGEMENT COMMITTEE 25[th] July 2022**

MINUTES OF THE LAST MEETING – agreed and signed as a true record. 

1. MATTERS ARISING – none 

2. CHAIRMAN’S REPORT -  a general overview of the past year was given highlighting the return of the Hall to  a viable financial turnover and with continued maintenance and improvement.  The forthcoming economic climate was noted for its potential impact on costs. 

3. TREASURER’S REPORT – 

   - £15866.35 in the bank account.  Discussion on investment opportunities and interest rates took place with further investigation to be implemented. 

4. CARETAKER’S REPORT –  Hall has been very busy and new keys have been issued to key committee members with a key code for general hall users. There have been a variety of complaints about this new system but it will continue. 

5. FABRIC AND DEVELOPMENT – 

   - J Swainson – piano storage from August to be used for a concert in October but measurements don’t work. 

   - Buy a brick – in memory of Bob Secrett to be erected for August 

   - Discussion arose about the purchase of additional chairs. It was proposed that the existing tables and chairs would be laid out to see if additional purchase is necessary. 

   - Internet connection via Truespeed delayed for a number of months – exploration of possible grants to be explored. 

   - Drinks fridge costs to be explored. 

   - A new ladder may need to be purchased – M Dowell to investigate 

   - Squirrel damage – toilets to be painted – quotes to be accessed. 

   - Tree cutting- quotes to be sought 

   - Disabled parking sign needs to be reinstated. 

   - Cleaning cupboard needs to be relocated from the kitchen to the corner of the Foyles room. 

   - Drummers to be emailed about the storage of their drums – action S Wilkin 

## 6. FUNDRAISNG & FILM NIGHT 

   - Coffee morning – 17[th] September, 15[th] October, 19[th] November.  The aim will be to provide an additional activity such as resuscitation training. 

   - The Film Night will resume in September.  The price will increase to £7.00. Future dates will be Sept 19[th] , Oct 17[th] , and Nov 21[st] . 

7. 100 CLUB DRAW   -   June, - £50 – J Wallwark, £20 – T McCarthey, £15 – P Swindle 

      - July, - £25 – D Buchanan  £15 – E Cronin 

8. AOB – The Croscombe maps were donated by Jo Sackett and framed in memory of John Shergold by Hilary Shergold

_June 2022 – trading year accounts_ 

_With a pretty topsy-turvy year and thanks to additional grants from the government of £5167.00 we ended the year pretty well considering the amount we have spent on the refurbishment of the hall, and with still more spending to go  I think the hall funds look pretty healthy. £16,287.35 dated 30/06/22.We only had three bookings cancelled and refunded. Two cheques wrongly written that were not banked – error averted! We had a £1000.00 donation from the Frolics and 1010.10 from Truespeed who have yet to put in the internet access to Croscombe. We have had R. May pay for her letting twice! So would like the committee to contact her it was £144 which she already paid and then paid £95 in February the delay was me waiting to see if Katharine had not put on a booking, the reason I bring this up is this money has been put onto the accounts. The re-introduction of the film nights seems to be going well, but have been awaiting monies and invoices for films, so this does not reflect an accurate account, as only showing a profit of £230.00_ 

_We paid out a total of £7213.61 for new curtains, blinds in the hall and vinyl flooring in the bar, we also paid additional money for the website to enable better access for users and upped our insurance policy to insure the hall could be re-built for the money required, also for the squirrel catcher to come in and prevent further damage to the roof, we may need to pay more for further work to the tree._

I would confirm that I have looked over your accounting return for last year and, apart from a minor allocation error, can see nothing wrong with them. 

The Banking of monies and the issuance of cheques comply and I get the impression of a well run entity, may I wish you all success for the current year.
