The Club Sets out to achieve these objectives mo8lly via wpekly meetir¥Js ***re a comkn'nab'on of
aclivilies are available to members. including tuilion and VKJrf(ing with laptop compthers,
handicrafts and occasional talks. An amual holiday is orgarmsed t<)gether with 80ffé ad-hoc
outings and social actibities.
Achl•v•m•nts and Perfonnanc•
The Club has ￿ntinued to funct￿ very tJ)n8i8tenlly over tr* la8t year withoth any Signfficant
challenge$ or ¢hang88", the stabilty of the club 18 important to its members. The club continue8 to
be open to adults in tha t)un8table, Luton surrounding area.
There 18 a wide range of thy8ical and leamirvj di8abilitios reWeSen￿ within the dub and the
trustee8 recognise there 18 8¢0pe for considerable SOCAal i8olatiM amoTrJst the membef8.
Therefore the club provides a real '80cial lrfeline. for its members who can meet together, in familiar
surrourKlings and on thèir temis in a rK)n-threaleniro environmerrt. BesKles social
opportunities enjoyed by all memberyJ, some regulafly use ￿PtOp computers to improve their well-
being, skills and confidence. Some members have been involved for several decades.
Throughout the year. the dub's Management Commiitee lakes care of the practical, oper*ional
aspects of the club. They have organised a number of events induding specialist First trainirva
which served to forge a h8lpfiJl link with a local dwrity. (Jher events induded indoor bowliryj,
fish & chip 8upper. a visit to the pantomime. 8 Christmas lunch quiz nights.
The dub's ambulance has continued to wovide an important trans[￿ provision for dub members,
•specially for those who are wheelchair users. OwirvJ to the age of th8 vehide, some additional
maintenance arKI repairs have been necessary. Continue to be grateful f¢￿ the volunteer
drivers from the Rotary Club. also for Hedley Denmark and hi8 family faithlulty organising
maintenance, insurance cover. additional drivers. rolas etc.
The trustees have reviewed all income and expendrture bwth a view to improviryJ the club's
financial positson; considerable progress has been made and this 18 detai￿ in Financial Reviv
below. Our 8tep8 have induded renegotiatiThJ the ambulance Insuran￿ policy and conduding our
broadband ¢ontrad with Virgin Media, through t*ing able to use the intemet connection already
provided for other users of the hall. are extremely grateful for the generous grants provided
through the year by Cerrtral Bedfordshir8 Council. Dunstable Rotsry Club. Ampthill & Flitwi¢k
Rotary Club, the Royal Order of Buffaloes and othe￿. The dub members have successfully
organised a fvndraising fa￿, lurther details L*kM. H¢YAever, whi18 the finanL7al position has seen
significant progress, there is still room for ImFYoven*￿.
For our reassufance, ￿ recent years ￿ have eryaged MayfflMAc¢wntsncy for voluntary
extemal examination of our a¢¢ounts. The conclusion has been to find 8verything in good order.
As our income has risen above the rn*vant threshokl. we will continue to have our a¢¢ounts
examined and VAII welcome any suggests'ons w reComn￿ndats'OnS to imwove our woces8es.

such monies are held in a separate bank accoun( as ouuined bd(tw).
The dub's existing bank accounts have been used to hokl all of the dub funds and a separate
account is used for the holiday monies. The trustees believe it is the dubs, best inte￿$t$ to open
two further Savings accounts. The first is a short tenn savings account wtlh immediate access arKI
this provides a competitive interest rate. A further account is ￿lThJ opened to hold the dub s
reserves and any further funds required in the medium tem). This accourrt will net the hwhe6t
interest rate we are able lo achieve.
Jr websrte had inojrred regular monthty fees and the vari(xts pa9es had not been updated for
Some considerable time. have successfully engaged a l(tsl IT company for IT support,
redesigning the vrnbsite and organising free hostirYJ due to our ¢haritalYe status (at the time of
writing, we have a Sbmple holdiNJ page). This arrarvJement opens fijrther leaming and
developnental opportunrties in year ahead.
Our laptop computers continue to ￿rfOrM *Yll arKI are maintained by (Th of our members.
organised the annual PAT testing of our equipment through a k)cal company who kindly paid
towards the produth'on of a newsletter . Wth regard to th8 n8wsletter. we are thankful for one of
our Members and hi$ family who sk'ffijlly yoduce the news￿er ￿ Iho bonefft of the èntire dub.
In May 2023 a church 88rvice was held at Christchurch Dun8taLge for tho88 wishing to atterKI. It
was organi88d specifically for the dub membern In a uw-friendty way arKI provided an opportun
for dub members to actsvety take parL
The annual holiday took place in the summer of 2023 and this was enjoyed by a good number of
member8. Wrthout the dub organising and subw'dising the holiday, it could be problematic and
costly for any holiday to take place especially where carers and SP￿la118t tranS￿rt and
accommodation 18 required.
During the year the trustees introd￿￿ a Safeguardir¥J Policy arKI plan to incorporate training for
trustees and vdunteers. Addflionally the trustees agreed and introduced a Privacy Policy and
Privacy Statement as part ol the ongoing improvements. A new membership forn has also been
Introduced to imwove record kee￿.n9. a Grft Aid dedaration and for the collection of Some pernonal
characieristic data (gerthr. age, ethnic I￿￿1n$ etc).
An 'unwritten' but imwrtant feature of Ihe club is for as many mmbers as possibkn to have a role
in the club. Examples Ind￿le putting out tables and chairs, announcing ly'rthdays, 88rving cups of
tea plus many other roles. often 'behind the Scenes,. A real hight￿ht during the year was the
organisation of a fundraising rafflo which was overneen by the Management CommTrttee. The raffle
involved so many with appealing for ￿¥￿e$, selling li¢kets etc. 8esKles the fijnds raised for the
club, the 'added value, has been word-of-mouth publicity for the dub and, most importantly, many
dub members working 8elnessly for the greater good of the and their felltrw members.

Govornlng Document
The Hayward Club is an Unincorp(￿ted associakn aTrJ 18 controlled by its wistitution - its
goveming document - which was updated arKI approved at the AGM on 16 June 2023. The
trustees present their report wth the financial statements of the chanty for the year ended 31
March 2024. In accordance with their govemirYJ document arKI Chanty Commission guidelines, the

support coming from grarrt￿d0natsOns from Central Bedfordshire Council and (tharilies induding
local Rotary Clubs and from other fvnd raising activitbes. Total inry)me for the year was signfficantly
hwher than the previous year, mainly due to increases in grantsldonations and fundraising activty.

The weekly subscription was revi8ed £2.00 to £2.50 and an annual mernbership fee wa8
introduced for the first time.
Expenditure, induding a subsidy to the IK)liday furKI, was approximately 6.5% h￿her than the
previous year. results'ng in a loss of £2,722 - apwoximately 60% lower than the loss reported in the
Yevious year.
The trustees have adopted a reserves policy as a tool to assist fin¥￿la1 plannirvJ a￿1 to help
assess required future levels of Yree reseThes' to meet:
• approximately 18 months of IXW expenditure to ensure continuity of activity as a goirvJ
• a contingency for managing major repairs or repiacemenl of th8 Club's ambulance and
• 8 Small ¢ontiNJ8ncy for currently unforeseen needs.
At 31 March 2024 the Club hekl free reser¥8s of £42.000 and this amount will be reviewed by the
trustees every 12 months in the 4th quarter of the accounttng year. The trustees are therefore
confident that the Club wll continue as a goirvJ conc*m.

One of the Club's obj'ective8 18 to organi8e an annual hcAthy for it8 members arKI to offer help to
thos8 members to &we m(x*y lo pay for their ￿ace on the holKlay. The majonty of the cost of the
holiday, the associated transport and (xrtirvJ8 is covered by members. payments. but the Club doe8
provide a mcwjest subS￿Y of between 8 and 10% {8.4% for the 2023 holiday). Members can
choose to P8y instalments into the Club's holiday a¢¢ount throwJhout the year. to help spread their
cost. Approximately 75% of members chose to save in this way during this year.
Shortly after tha holiday was concluded - in September 2023 - the holiday account Stood at £1
(simply to keep the bank account adive), but by 31 Marth 2024 £4,820 had already been entered
in anticipation of ttKq 2024 holiday.

. (Jrtgoings have exceeded incoming resources for Several years, largely due to the Club's pollcy
of subsidising the annual holthy. Thus far and for the immediate fiAure this does not pose
threat, as the sh¢Jtfall has been covered by a s￿nth¢an1 unrestricted donation that the chanty
received a few years ago. However, rf this had Continued uncontrolled, a potential uncertainty
over the charity continuing as a goirvJ ¢oncem for its lon*temi future {10 years+) would arise.
The trustees have recognised this risk and their strategic plan aims to imFYove long tem financial
security.
. The thanty's principal asset is an ambulan￿ tsil lrft, used to transport some of the members
to Charity gatherings. Major repair or replacement of the am￿lance, while covered by the
reserves, would consume a substantial part of those reserves, posiNJ a lon9er terni risk to the
Sta￿[ty of the Club. In additrry), should this ambjlance become unavailable for any reason, some
members may be unable or unwilling to continue their membership. As members, subscriptions

and weekly payments towards hire of the meeting hall is one of the main of the Club's
income, reduction in membership would pose a risk to financial security.
Raising even more income via the members risks alienating some. causing them to resign
membership leading to the same fisk to financial Se(￿nty Mjentified above.
Structurn, Governanc• and Managoment
The Hayward Club is an Uninco￿ association aThJ is c¢y)trolled by its constitution- its
goveming doujment . whid) was updated arKI approved at the AGM on 16 June 2023.
The constitution defines that there sh￿Id be a minimum of 4 and a maximum of 10 trustees,
electéd each year at the Annual General MeetiTrJ. The honorary officef8 (d￿lf. victrchair,
secretary & treasurer). who are aL80 trustees, ￿ al80 elethd each year at the AGM. Existing
trustees and officers are eligible for re4lertion and may confirm their willingness to Continu8 to
Stand, plus any members of the tharity may nominate themselves. via the se¢retsry. for election at
the AGM. In the meantime (between AGMS) members may also be c￿opted by vote of existing
trustees.
The Management Committee has been to (yni8e the opratK)nal activiti88 of ￿ dub
and regularly reports to the trustee8 via tr* 8e•.
