Jai Shree Krishna!

Year 2023-24 has been another excing year of Bharat Hindu Samaj, and it has been my privilege to preside over the day to day funconing of our Mandir and BHS. The biggest highlight of this year is that Our Membership has reached to almost 1000 (970) members & with further expanding of Hindu populaon in Peterborough, more members are joining every day. This year's Execuve commiCee was elected unanimously and there was ballot paper-based elecon for commiCee members. This was first of its kind and would like to thank Trustees for defining and execung the process. We had great response from members to join the commiCee and to serve the Samaj and a parcularly good turnout for vong. Some young and very enthusiasc members were elected and are keen to meet new challenges to take our Samaj forward.

Lot of Tulsi plants and ba’s was donated by Manjulaben and Rasilaben

Key Fesvals

All the Major fesvals like Mahashivratri, Hoil, Balaji Klyanam, SitaRam Kalyanam and all the Tamil events were aCended in vast numbers, some with over 400 / 500 devotees. Along with more people parcipang in these fesvals, we received generous donaons during these events both from Yajmans and devotees aCending the events. JSK

Dear Members

2023 /2024 has been an eventful and exciting year for BHS. We have celebrated many festivals successfully and have been able to reach out to the community at large. Many schools visited us during the course of the year, and it was a joy to be with the children who always ask the most intelligent questions about Hinduism. My heartfelt gratitude to Dharmeshbhai, Kishorbhai and all the Table Tennis team members who always help with school visits. Thanks to Hiteshbhai for getting the juices and biscuits. Teams of police trainees also visited the Mandir to learn about Hinduism and our way of life. On March 9th, 2024, we celebrated International Women's Day, which was thoroughly enjoyed by all our Ladies. Highlight of the event was the Tarot Card reading by Saritaben Sood. First prize for the Bollywood dance competition was won by Belaben Sampat. A big round of applause to all the BHS ladies who volunteered at the event at each and every stage to make it successful. I also wish to thank all our unsung heroes and heroines of Bharat Hindu Samaj who quietly contribute their time and effort seamlessly for the smooth running of the Samaj. Eshwar Asthi Mam Shakthi (The Lord God is my strength)

Rajni Reddy Vice President

## **Secretary – Bina Pankhania**

Not to repeat anything that has already been said above, but in short, we have had a very busy year in terms of the number of festivals, private bookings, wellbeing activities, language classes and the number of new members who have joined and the number as new email addresses I am having to add to the distribution list. This has kept me extremely busy.

BHS AGM 2024

We’ve had representation at various external events such as Peterborough Celebrates, Bretton Festival, Millfield festival, The Cresset’s 45[th] anniversary and of course our famous Peterborough Diwali Festival celebrations where our members showcased our culture in the form of garba, Bollywood dances and classical dances. A big thank you to everyone who helped and participated.

Last year we switched our email domain from gmail.com to “bharathindusamaj.co.uk” and as expected, this came with its own teething problems but nothing our in-house IT experts could not handle.

I would like to take this opportunity to thank our Poojari Sri Dharmeshbhai, all the Committee Members, Trustees and most importantly ALL our amazing volunteers, without whom we would not have been able to achieve as much as we have. As usual, if anyone has any ideas / suggestions on how we can continue to improve or do things differently, please do not hesitate to approach us. We are a very approachable bunch (well most of us anyway) ****

## **Treasurer’s Report – Nagasayan Puppala**

## **Please see separate report (a$ached)**

## **Trustees Report - Dr Subhash Kandikattu**

JSK

Thanks:

I thank elected Committee management (both executives and committee members) and trustees, volunteers and members for their invaluable support and commitment without which we would not have progressed forward despite the challenges.

Projects agreed during last AGM update:

During last year AGM we took the task of drafting the electoral guidance for reference for future election proposes. I need to thank Mehul Bhai for his effort in drafting them. Subsequently it was discussed in the trustees and committee and it was agreed.

Lessons learned during last year:

Moving forward to standardise how the facilities in BHS were going to be used by various groups, a long waited guidance document was created. This divides the functions that will be performed in BHS premises or outside under BHS banner under following headings – BHS events, BHS Supported events, Public and private events. A new hall hire document was also created and approved by the committee. Thanks to Swapnil Bhai for taking the efforts of drafting them. (BHS – Associated group policy and New Hall Hire charges document).

Now BHS has full management committee, we strongly encourage executives to continue to involve all the committee members in their planning and decision-making process.

The hierarchy in BHS committee must be agreed in the AGM, so that it is clear to both executives, committee, trustees and members how to escalate if they have any difficulties and have differences in some matters. This year we have faced some challenges which caused a lot of turbulence but it took time for them to resolve.

We urge every year during AGM whether anyone is already elected or standing for election they should disclose the conflicts of interests and any declaration of interests. If any conflicts of interests were raised then everyone should follow the conflicts of interest’s policy which we presented during last AGM. (conflicts of interest policy)

6

BHS AGM 2024

The challenges last year we faced shows gaps in our governance, and we recommend both future trustees and elected committee to work on consolidating the governance for future teams and members.

We request every elected committee management and trustees when writing any messages outside of the BHS to be respectable and responsible. If any matters already happened in BHS and if they have any disagreements then it should be discussed within the committee but not outside. If any members have any questions they can also directly ask the committee for clarifications.

We take feedback from members seriously. Though it takes time, we act on it at the earliest possible and report back to the individuals or relevant groups about the actions taken. We encourage members to communicate with any committee, executives or trustees. If any complaints, please follow the complaints procedure.

No confidence motion on any elected committee member, executives or trustees can be done at any time, by having 30 signed paid members addressing to the secretary. Then committee will call an EGM to discuss only about the no confidence issue. This was discussed and approved in the committee. (Already in the 1990 constitution).

Miscellaneous:

It’s very good to see so many of our members were standing up for local council elections, and are keen to serve the wider community. We wish them all the best in their elections. We thank everyone for providing us the opportunity to serve our samaj.

We hope that you all go through it. If any comments or suggestions, please let us know.

Namaste

Dr Subhash Kandikattu Chair of Trustees.

## **Lunch Club – Ramnik Bhai Mashru**

It is my pleasure in presenting this Lunch Club report, once again, to our Members. Our Lunch Club has been serving our respected Senior Citizens over a period of approximately 39 years started from the time when our current premises were opened in 1984 / 85. All the activities of the Lunch Club are being carried out solely on the voluntary bases and they are running on two days a week - Mondays and Tuesdays. My special thanks to Minaben Tank taking the lead in the kitchen and to Ushaben Patel who very willingly takes over the responsible as a lead cook when Minaben is not around. Along with her we have a very good, very dedicated team of ladies helping to cook the fresh food on these two days followed by washing up and cleaning. These ladies also help in tidying the kitchen, cupboards and two storerooms. Just for your information this year we took the responsibility of starting to use our steel cutlery for our meals, considering the Environment and the current requirement of the Government. I must thank Dr Kaushikbhai and Ushaben Joshi for the encouragement and participating in this work. I am very pleased to note that nowadays after the meal, lots of Gents also help in the kitchen in washing and cleaning. In the dining hall also, we have a group of young adults who help in arranging the tables, chairs and the cutlery. A third group of our seniors help to keep our library room occupied by playing cards and general

7

BHS AGM 2024

socialisation. A group of our elderly ladies keep our Mandir lively by chanting bhajans and displaying their talents in the art of communication. Therefore, Mondays and Tuesdays are the most vibrant days in the activities of the Samaj and help the members to socialise.

Apart from serving food, the Club also provides a platform for the health related / general knowledge / information talks on various subjects from the Professionals from various Departments of the Council and other Organisations. The Lunch Club also provides facility to invite and show our traditional hospitality to dignitaries from the Council and various other organisations.

My very special thanks to all those who sponsor the Lunch Club events by way of paying fixed charges and others who generously donate in cash or bring in uncooked food stuff. We also get a grant from the City Council to provide meals for the elderly. All these incomes help the Samaj to provide these meals to our elders absolutely free of charge.

Once a year, an outing is also facilitated for the Club members whereby the elders are taken to either seaside for picnics or visiting other temples. My special thanks to Bharat Bhai Seta for organising these events. Every year during the Christmas festive season, a special Xmas Lunch is also provided and enjoy the festival in a unique way.

My special thanks to Bharat Bhai Seta for taking care of the maintenance and other utilities requirements of the kitchen. My thanks also go to the Executive Committee for their co-operation, help and assistance, and also to those who help in purchasing necessary items for the kitchen as and when required in smooth running of these activities.

## **Hindi Classes - Gauri Chaudhary**

We had 7 months of successful Hindi classes with a turnaround of kids barring between 13-22 at mes. Kids have enjoyed and learned how to speak and write Hindi. Unfortunately, the teacher had to move away from Peterborough, and we struggled to find a teacher. We have found one and hoping to start the classes again in May. There is great feedback around Hindi classes and parents and kids are keen to join back.

## **Gujara. Classes – Rasila Panchal**

Gujara Class report: Since we started Gujara classes last year, children have made lots of progress. We now have some teenagers who have joined in too. We cover recognion of leCers, words beginning with leCers, make sentences and enjoy worksheets given for homework to do with their parents. We mostly concentrang on speaking Gujara rather than learning to write. We also have fun acvies like food/fruit tasng, invite Dharmesh Bhai to talk about the important fesval days, learn prayers, art and craM acvies for Diwali and other fesval days, etc. We would like more parents to encourage their children to join in to learn our mother language which is so important.

## **Garba Classes – Rasila Panchal**

Garba Performance Last year was amazing with our garba performance at Peterborough Fesval, BreCon Fesval, Millfield Fesval and of course Diwali Celebraons. All ladies who parcipated had great me coming out for weekly pracce, enjoyed the social interacon, felt like a weekly workout

to improve strengthen muscles and in return improve mobility. We would love to connue with this and would love to have more people join in.

We also organised Garba lessons leading up to Navratri for those non Gujaras who want to enjoy doing Garba at Navratri. Those who aCended, enjoyed these classes and found them useful and felt more confident doing the steps at Navratri

## **Alzheimer’s Support Group – Rasila Panchal**

Alzheimer’s Support Sessions As you’re all aware, Demena is on the rise within all communies. A lot of the me diagnosis missed due to not being aware of signs and symptoms. In some cases families feel they’ll be judged, may feel embarrassed, have language barrier, find it difficult to access to GP’s or not aware of what support is available along with many other barriers they may be facing. Having listened to many carers about this, I have started up by-weekly support sessions at BHS. We have huge support from Peterborough Alzheimer’s Centre who try and aCend these sessions. They oMen bring along other professionals whose experience and informaon is invaluable. Carers have benefited from these and have managed to gain support for themselves and for their loved ones with demena. During these sessions carers can mingle, share strategies they use, share/direct others who need support, sit and have refreshments, etc. I have recently compiled a booklet with informaon about Demena in English and Gujara and in the process of adding informaon in Hindi, Tamil and Telugu languages too along with contact details for various support avenues. Do try and come to these sessions.

## **New building project – Rock Road**

We are very much aware of the serious concerns regarding the update on new building on our present site. Unfortunately, Peterborough City Council’s administration keeps changing and the final decision seems to keep on delaying.

For a few months last year, PCC were doing asset reconciliation exercise across all their sites in Peterborough and were going to provide us with a list of alternative sites but at the end of this process only 2 sites were identified as a potential match for our needs. We explored both these 2 options and the whole committee went to view one of the sites but due to the access it was deemed unsuitable.

We have been promised the units 5,6,7 of the New England Complex. However, the exchange of the contract has been postponed until after the local election on 2[nd] May 2024. Mr Shailesh Vara MP has been talking to PCC as well. So far at the time of writing this report on 30[th] April 2024 this is what we know.

As the charity’s trustees you are responsible for the preparation of the accounts. You consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.

It is my responsibility to:

- examine the accounts under section 145 of the 2011 Act;

- to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and

- to state whether particular matters have come to my attention.

## **Basis of independent examiner’s report**

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you, as trustees, concerning any such matters. The procedures undertaken do not provide all the evidence that would be required if an audit had been required and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.

## **Independent examiner’s statement**

In connection with my examination, no matter has come to my attention:

(1) which gives me reasonable cause to believe that in any material respect the requirements:

- to keep accounting records in accordance with section 130 of the 2011 Act; and

- to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act

have not been met; or

(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
