## **Minutes of 2024 AGM:** 

The minutes from the meeting held on 7[th] November 2024 had been circulated, Paul Robbins proposed and Marion Cuthbert seconded that the minutes were accepted as an accurate record. Those present unanimously agreed and a copy was signed by Paul Robbins. 

## **Matters Arising from 2024 AGM:** 

Hosepipe for the Bloomers, Marion will discuss this with them in the next few days. 

The drain at the end of the carpark has again recently overflowed. Wessex Water have now confirmed that the drain sits on property which belongs to the hall and therefore it will become our responsibility for clearing any future blockages. We were advised that it was expanding foam that had caused this blockage but after investigation, Mike Emsley discovered it was actually a giant mushroom growing in the drain. This has now been removed. 

## **Report by The Chair:** 

Hello and thank you all for coming out this evening. It has been another busy and productive year for the Hall and its dedicated team of volunteers. 

Marion has once again taken the lead in organising and super vising two working parties, which were very well attended. Thanks to these efforts we have now completed painting both the small hall and the kitchen. Over the past two years we have managed to redecorate the main areas of the Hall. However, some areas such as the toilets, back corridor and the Legion Room are still on our list of future products. The redecoration has been made possible in no small part due to the generous support of Winterstoke Decorating Supplies, who have once again provided us with a significant quantity of paint for our endeavours. 

We have repurposed the wall space in the foyer, transforming it into an area for displaying works by local art groups and individual artists. I am sure you have all enjoyed the regularly changing artwork on display. The initiative has not only enhanced the appearance of the foyer but has also provided some additional funds for the Hall, as artworks sold are subject to a commission basis. 

Significant work has been carried out to refurbish the space at the rear of the small hall, making it a safe and useable area for those who require a secure outdoor environment. This project was made possible with the assistance of funding from Hutton Parish Council, with the Hall contributing the remaining required funds. 



Additionally, a mural has been kindly painted, brightening up the seating area. Special thanks to Keith for organising and painting the mural. 

Our hirers are increasingly diverse, with groups ranging from martial arts to more relaxed activities such as chair yoga. In line with expanding our offerings, the Hall has recently purchased a table tennis table to encourage participation from anyone interested in playing. Marion will be sharing more details about this. Our Music nights continue to be wells supported, attracting an increasing number of talented musicians from both the local area and Hutton itself. These events, together with our Bar, continue to generate a respectable income for the Hall. If anyone is interested in volunteering to cover a shift at the bar, please contact either myself or Marion so we can arrange appropriate training. 

Once again, I would like to express my gratitude to all volunteers who keep the Hall running and who have done so much to improve our ongoing viability. 

Presentation of the Chairman’s Cup: 

Finally, I have the pleasure of presenting the Steve Cope Cup for services rendered to the Hall. This year I am pleased to award it to Mike Emsley for his continuing support of the Hall. 

## **Treasurer’s Report 2024-2025 and Presentation of Audited Accounts:** 

For the year end at 31[st] August 2025 the accounts showed a balance of £10,980 compared to the previous year £12,959. We do have a contingency fund which will cover any unplanned /unexpected repairs (flooring, roof etc) which is held in a savings account. 

The total income for 2024/2025 was £42,196 which includes Hall Hire £29,891 and 2 grants £6000.Used for back of small hall, fencing, safe area. Total Expenditure was £35,045. Again, the bulk of our expenditure is Utilities which cost £15,499 [ Last year £17,609]. We have continued to reduce the cost of Utilities with careful use of the thermostats and timers but ensuring that the hall is warm for our users during the winter months. 

Our profit for the year was £7150 but I would like to point out that if HVH didn’t have the £6000 in grants, our profit would only be £1150 [Last year was £100]. 2004 -2005 was a fairly stable year with no unplanned expenditure. So, although we are in a better position than last year, we must still remain cautious. 

The accounts for 2004-2005 have been audited and agreed. I have a copy of the accounts here tonight if anyone would like to see them. 

## **Booking and Facilities Report** 

Our occupancy rate for regular hires is good. Our only available regular slots are Monday and Tuesday afternoons. The weekends are left open for parties and events. 

We have twenty - one regular hirer groups. In the year to the end of August we also had fifty-eight events or parties booked. 

We have a jigsaw swap [or donate] area and books providing more services to hall users. 

The bar is available for hire at events [for a fee] when we have volunteers to run it. This is a solid income stream for the hall. Please speak to myself or Paul if you think you might give it a go. 

We now have a table tennis table. When the small hall isn’t booked, we can let the space for £10.00 to play. The hire of bats & balls will be extra. Payment will be due before use. There is now a bike rack at the front left-hand side of the building. 

The Christmas Decorations were put up today-my thanks to the volunteers who got us ready for Christmas. 

As Paul said we are supported by volunteers- without you the hall wouldn’t run. I have recently gained two volunteers for dealing with the alarm occasionally. 

## **Retirement of current HVH Management Committee** 

Now, the existing Committee ceased, and Paul Robbins vacated the Chair. The Secretary was now putting forward the names of the everyone who has volunteered to offer their services. In accordance with Hutton Village Hall Management Constitution,7 members are to be elected to the New Committee and 



the same plus one as a minimum for Group Representatives. Members that agree to take a role within Management Committee are Trustees – this complies with Charity Commission requirements.

All volunteer representatives were proposed as committee members by Paul Robbins and seconded by Marion Cuthbert, the vote En masse was carried unanimously.

The vote for the nominees was unanimous, having been proposed by Peter Foord and seconded by Sue Felts.

Anthony Lay will retain overall responsibility for completing the  Charity Commissions Annual return. Kath Sparks will continue to assist Mike Emsley at the Music Nights etc. 

Other Business. 

John Chatburn alerted the meeting to the fact that the school will be holding a Christmas fete starting at 3.30 so we will need to consider use of the chain at the entrance of the car park to ensure hirers have access to parking. 

A churchgoer at St. Marys has indicated that as a regular churchgoer he is entitled to use the hall carpark as the land is owned by the church. The church does own the land but the hall leases and pays rent to the church and only hall users are therefore entitled to park there. This can be relaxed if there is no effect on user groups needing to use car parking spaces. 

John Bailey has volunteered to remove the fresh compost pile that has appeared in the corner of the hall car park. This will enable us to tidy the corner which will make it a more attractive area. 

Tina asked for an update on the events relating to the 50[th] Anniversary of the hall in 2026. 

A barn dance is planned and there is a suggestion that as we already have a regular charity barn dance that month, perhaps it could be run as a joint venture. Marion will take this forward. A treasure hunt around the village is planned possibly early June 6[th] or 7[th] . 

We will be looking at the floor in the main hall after the winter months with a view to obtaining some quotes to strip and clean the floor only, with the badminton lines being painted after the work is carried out.
