Minutes of Annual General Meeting, held online at 15:30 on 9th September, 2021

The AGM was attended by 47 members

President Brenda Little welcomed attendees and new IBBS members. She declared IBBS18 over.
The President suggested that the minutes of the last AGM (2019) be approved and this was agreed online by various members.
It was suggested by the President that the normal AGM agenda, in which Council officers give their individual reports, be replaced by an overarching “State of the Society” report by the Hon. Secretary, Chris Gaylarde. This report is annexed to the minutes.
The President reminded Members that it is 50 years since the Society was founded and reported that the Virtual Special Issue of IBB that includes papers resulting from IBBS18 would celebrate this anniversary. She also repeated that a second VSI was being produced, containing Biodeterioration papers and dedicated to the late Dennis Allsopp; there are already articles promised for this issue and Brenda asked contributors to keep this commitment. Papers for both issues are invited from all members. These should be submitted on the normal Elsevier IBB website, choosing the appropriate issue on the drop-down menu, before the end of this year. All submitted papers will be subject to normal IBB peer review.

5. Election of President

The outgoing President, Branda Little, announced the election of Dr Fred Passman to the post and commented on his experience, expertise, and long-standing membership of IBBS. Before handing over the AGM, she acknowledged her debt during her 4 years of Presidency to Council members, commenting especially on the help she had received from the previous President, John Gillatt, and his continued reliability with respect to all Society matters. She thanked the Hon. Secretary, Chris Gaylarde, for her efficiency in the ongoing secretarial duties and her help with Presidential matters. She also thanked Jo Verran, our FEMS representative, for her innovative contributions, especially in the area of education, and Flavia Pinzari for introducing new production techniques and generally improving the IBBS Newsletter. She encouraged “early scholar” members to consider applying for Society bursaries, pointing out that the application forms on the website had been re-written and are now much more accessible. Finally, she pointed out that the impact factor of IBB was now 4.32, having increased every year since Ji-Dong Gu took over as Editor-in-Chief.

Brenda then handed over the running of the AGM to the new President, Fred Passman.

The new President thanked Brenda for her work over the past 4 years and expressed his hope that he could build upon this. He thanked Joe Suflita for his tireless efforts in organizing all aspects of the successful conference, IBBS18, which we had all attended. Fred also thanked all the exceptional volunteers who serve, or have served, as IBBS Council members.

He requested that all Society members, both old and new, spend a little time considering how IBBS can better serve them and also consider volunteering to help achieve these goals. Our IBBS Country Representatives might be able to collect such suggestions, which are always welcome and can be sent to the Hon. Secretary (secretary@ibbsonline.org).

We have a peer-reviewed journal (IBB) that has an impact factor on a par with that of Societies with 50-100 times as many members as IBBS; Fred asked that IBBS members continue to support this journal and that they also use our Newsletter for more informal communication. Consider sending short articles about your or your organization’s activities in the fields of Biodeterioration and Biodegradation.

7. Election of new Council members

The Council recommends promotion of Nuno Mesquita and Fred Passman to Full Council Membership and the election of Fatima Menezes Bento as Honorary Outreach Secretary. Congratulations to Nuno and Fatima!

8. Presentation of Honorary Fellow status to Dr Joan Kelley.

Fred indicated that Hon. Fellow status was awarded for long-term contribution to IBBS and to the discipline of Biodeterioration and Biodegradation. Joan has been an IBBS member for more than 40 years and has acted as both Hon. Secretary and Hon. President. Fellows are nominally retired from full-time work, but often continue to be active in their field, as Joan has done, being an active member of various committees and subcommittees concerned with fuel microbiology.

Presentation of awards for student contributions to IBBS18

Fred announced the winners of the IBBS18 student awards, expressing the hope that they, and all the other students who presented work at the Symposium, would continue their work and become regular presenters at IBBS meetings.

The awards for top poster presentations went to:

Marisa Gomes - University of Porto, Portugal,

Alex J. Cunliffe – Manchester Metropolitan University, UK,

Mariane Rodrigues Lobato - UFRGS, Porto Alegre, Brazil, and

Nicole Britten – Manchester Metropolitan University, UK

Each student will receive a trophy and cash award of $500.

The awards for top oral presentations went to:

Jordin Metz - Rice University, USA, and

Alejandra Hernandez Santana – University of Oklahoma, USA,

Again, each student will receive a trophy and cash award of $500.

Update on IBBS19 planned provisionally for 2023/4. The President reported that IBBS19 is in the planning stages, with the venue currently being selected. The details will appear on the IBBS website (and in the Society Newsletter) by early 2022.
The end of the meeting was announced by the President, Dr. Fred Passman.

Secretary’s report to the IBBS Annual General Meeting

held online on Thursday 9th September 2021 at 15:15 UK time

1. Council

1.1 Meetings

There have been 7 meetings of Council since the last AGM in 2019, all held online. In 2020, meetings were in March, June, and September. In 2021, they were in January, March, and August, with a supplementary, emergency meeting held in May to discuss the future of IBBS18.

1.2 Finance

The Society’s finances remain good.

1.3 Newsletter

Two Newsletters have been produced during this year, in March and July. There will be one more before the end of the year. In 2020 there were 3 editions. All are available on the Society’s website. My thanks to Managing Editor Flavia Pinzari, who has improved the quality of the newsletter substantially.

1.4 Council Membership

At the 2019 AGM, President Brenda Little was reelected to Council and all members agreed to continue for the rest of the following year. There was no AGM in 2020. IBBS Council members up to this AGM, apart from myself, were: Brenda Little, President; Fred Passman, President elect (coopted); John Gillatt, Webmaster; Jeremy Webb, Treasurer; Jonathan Butler, Deputy Treasurer; Nuno Mesquita (coopted), Membership Secretary; Asunción de los Rios and Ana Garcia Ruiz, joint Scientific Programme Officers; Flavia Pinzari, Managing Editor of Newsletter; Joanna Verran, FEMS representative; Joe Suflita, organizer of IBBS18; Ji-Dong Gu (co-opted), Editor of IBB; Beata Gutarowska and Thomas Warscheid. I would like to thank them all for the work they have put in during the last year, without which the Society would not have run as smoothly as it does. At this AGM, Fred Passman will take over as President and Brenda Little will become Immediate Past President. I should like to acknowledge my great debt to her personally, for her friendship and help with my duties, and on behalf of the Society for her immense participation in all aspects of the running of IBBS.

The Council members standing down by rotation at this AGM are Beata Gutarowska, Asunción de los Rios and Ana Garcia Ruiz.

Council recommends the election of Fred Passman and Nuno Mesquita to full, rather than co-opted, membership, and the election of Fatima Bento to serve as Outreach Secretary.

2. Country Representatives

One more Country Representative has been appointed, Torben Lund Skovhus from Denmark. Guang Huang, from Macau, has been recommended by Ji-Dong Gu. We currently have 25 countries represented by 27 IBBS members. The names and contact details of the representatives can be found on the website. I should like to thank them all for their input to Society activities.

3. Web Site

The web site has been revamped by Sally Hawkes of Kinetix Events and is running well with John Gillatt acting as Webmaster. We are enormously indebted to him for keeping the site updated, currently with Sally’s help.

4. Constitution

There have been no changes to the Constitution.

5. Membership

There are currently more than 200 members.

6. Honorary Fellows

Joan Kelley has been awarded an Honorary Fellowship, to be ratified at this AGM.

7. IBBS Bursaries

There have been no applications this year.

8. Scientific Meetings

I wish to thank Joe Suflita for the enormous amount of energy he has expended in the organization of IBBS18, helped by our President, Brenda Little. This online conference is a new enterprise for the Society and, as such, has thrown up many challenges, which Joe has tackled with success and continued good humour. Its success is indicated by the fact that more delegates have registered than any other Symposium., as well as by its description, by one of them, as a "logistical triumph". Thanks also go to Sally Hawkes of Kinetix.

9. Thanks

Once again, my sincere thanks to Council. Above all, I must thank our President Brenda Little for her considerable work behind the scenes, as well as in public. Jeremy Webb must also be recognised for his hard work on the Society’s accounts and I should like to thank Nuno Mesquita for his contributions to the Society as a whole, not just as Membership Secretary. Flavia Pinzari continues from strength to strength as Managing Editor of our Newsletter and John Gillatt remains the “go-to” person for all queries about the Society past and present. Our incoming President, Fred Passman, has already become involved with Societal proceedings, with some very positive changes. The continued effort and support of all the Officers and Council members is essential in maintaining the Society’s activities in the fields of biodeterioration and biodegradation.
