Trustees Report for the Year Ending 30 June 2023
Following the necessary abandonment of "My Fair Lady" in April 2020, the
Committee decided that the Society should come back with a bang and, boy,
did we do that! The Northcott Theatre was booked for our production of
th
"Shrek, the Musical" ft)r 21, _ 26 November 2022. This was the most
technically and financially challenglng show an amateur company could push
themselves to do.
Due to the huge set we lost the Monday night performance; however, we were
able to stage an extra matinee on the Wednesday. This became a relaxed
performance, which was a first for the Society. It was extremely well received,
along with other performances resulting in standing ovations at every
performance. Also, a first for the Society involved the assistance of the Make
Up Department at Exeter College. Led by prosthetics specialist, Amelia, they
were responsible for make-up, including changes, during the show.
Unfortunately , due to the technical complexities involved, the cost of staging
Shrek resulted in aloss of £6.5k despite excellent ticket sales.

Music" for 3 - 8 April 2023.
Auditions in January drew over sixty young hopefuls for the Von Trapp children.
The standard was extremely high, but twelve children stood out for their
musicality and charisma. Two teams; the 'Raindrops' and the 'Roses' were cast,
plus a young adult, Ava Fitzhugh, as Leisl. Within a fortnight, the entire adult
cast was selected. The level of adult talent was also high, rneaning that every
member of the cast was auditioned. We were delighted to welcome new
members to the Society, as well as 'old' faces back again, including Jamie
Hunter, as Rolf - formerly Kurt in our Production eleven years ago.
Rehearsals were a happy and exhilarating time. The Production Team were
endlessly patient, drilling the Von Trapp youngsters, which was frequently like
herding eels. Natasha Fardell (Maria) and Gareth Davies {Captain Von Trapp)
quickly formed a bond with their charges, encouraging the best out of the
family scenes. Principals and chorus alike enjoyed themselves: nuns mastered
the Latin chants and household staff and guests avidly polished their lines
alongside the family silver.

We opened on the Monday night, beginning a run of eight shows. Each one
was extremely well-received and earned a standing ovation. Glowing reports
from both NODA and the Rose Bowl representatives later served to confirm
that "The Sound of Music" was a resounding Succes5. Described by Nicholas
Goodall (Rose Bowl} as:
'A heart-warming and slick production of an evergreen musical that delighted
the House."
With ticket sales at around 75% of capacity the production resulted in a small
loss of around £2k emphasising the need to keep a tight control on costs and
also to promote ticket sales as widely as possible.
Taking into account Membership subscriptions of around £5k, including Gift
Aid, and a small amount of other income not directly attributable to either of
the shovrfs the overall loss for the year was £4,582 leaving the Society with a
bank balance of £63,236 with which to fund Carousel in 2024.
During the earlier part of the year, we were sad to lose Daryl Wood and Josiah
Carrier, who both stepped down from the Committee. However, in March we
We￿ delighted to welcome Tracy Llewellyn as our new Treasurer and Tony
Macan as President. Committee member Debbie Cole was also invited to step
into the role of Vice-chairman, which she did without delay.

## **1.1 Accounting convention** 

The financial Statements are prepared under the historic cost convention. 

## **1.2 Investment Income** 

Investment income is accounted for on the basis of cash received. 

## **1.3 Depreciation** 

Depreciation is provided at rates calculated to write off the asset over its expected useful life. (New radio mics 2016 – 10 years) Radio Mics – reduced to £1,367. 

**1.4 Membership Fees** Membership fees are accounted for when cash received. 

## **2  OPERATING SURPLUS/DEFICIT** 

Operating loss (2023) is stated after charging depreciation of Radio Mics at £702.
