Begrüßung und Vorstellung des Vorstandes** Der Vorsitzende der Friends of Douglas House, Herr Ingo Müller-Wodarg, begrüßt die anwesenden Mitglieder und Schulvertreter und dankt ihnen für ihr Kommen. Er erklärt die Versammlung für beschlussfähig, da das Quorum erfüllt ist (24 Online-Stimmen von Mitgliedern, die bereits im Vorfeld der Sitzung abgestimmt haben, sowie 6 zusätzlich anwesende Mitglieder, die noch nicht vorab online abgestimmt haben). Herr Müller-Wodarg dankt den Vorstandsmitgliedern für die gute Zusammenarbeit. Jahresabschluss 2021/2022** Silja Johnson berichtet: Im Geschäftsjahr 2021/2022 (Geschäftsjahr beginnt jeweils im April) betrugen die **Einnahmen** £58.433. Damit sind die Einnahmen gegenüber dem Vorjahr (£34.047) signifikant um etwa £24.386 gestiegen und wir befinden uns wieder auf dem Niveau der vorvergangenen Jahre, ein schönes Zeichen, dass die Covidpandemie (zumindest vorerst) zu einem Ende gekommen ist. Auch wenn wir im letzten Jahr noch auf das Sommer- und das Oktoberfest verzichten mussten, waren Feste wieder unsere großen Gewinnquellen. Der Weihnachtsbasar hat einen ganz fantastischen Gewinn von £18.692 eingefahren, was unter anderem auch darauf zurückzuführen ist, dass wir unsere beliebten Coronaaktionen (Adventskalender, Weihnachtskarten mit Motiven von Axel Scheffler) weitergeführt haben. Diese sind auch in den Weihnachtsbasargewinn miteingeflossen. Zudem haben wir mit dem Weihnachtsbaumverkauf eine weitere Einnahmequelle geschaffen, die gemeinsam mit den Adventskränzen mit £8521 im Weihnachtsbasargewinn enthalten ist. Hier kam uns zu Gute, dass Tina bereits im Vorjahr in weiser Brexit-Voraussicht alle aus Deutschland kommenden Kranzzutaten eingekauft hatte. Das wird dann im nächsten Jahr leider wieder anders aussehen, wenn wir den Import von Kerzen und Kranzrohlingen mit Brexit Gegenwind organisieren müssen. Unsere neue Springfair hat einen stattlichen Gewinn von £5600 erzielt. Die Kombination mit dem Open Day der DSL war in jedem Fall ein Erfolgsrezept, und es war deutlich, dass die DSL Community nach der langen Coronazeit wieder Lust auf Feste hatte. Besonderer Dank geht an das Festorganisationsteam Franzi, Aysel, Kerstin, Marisa und Bianca. Die Mitgliedsbeiträge sind auch wieder auf dem Niveau von vor der Coronazeit angelangt, auch wenn uns gerade zum Jahresbeginn noch die öffentlichkeitswirksamen Veranstaltungen gefehlt haben. Chiara hat unermüdlich daran gearbeitet, die bereits vorhandenen Mitglieder bei der Stange zu halten, was auch in der Tat sehr gut gelungen ist. Der Verkauf von FOD-Merchandise Produkten hat in diesem Jahr noch die dagewesene Einnahmen von £26.116 eingebracht. Unter Berücksichtigung der Ausgaben (£18.535), die damit natürlich auch gestiegen sind, haben wir hier einen Gewinn von £7.581 erzielen können, was weit über die Ergebnisse der Vorjahre hinausgeht. Ein Dank geht an das Merchandise Team Sabine und Claudia, sowie unseren Tech- und Design Wizzard Nadine, die ich hier einbeziehen möchte. Zu erwähnen gilt hier insbesondere die Einführung des Online-Shops, der den Bestellvorgang immens vereinfacht hat, sowie das Hausaufgabenheft „SchulfreundIn“, welches im Kollaboration mit Axel Scheffler erstellt wurde und vor allem an die Grundschüler verkauft wurde. Im Zusammenhang mit dem „Extraordinary Income“ £2.189 möchte ich dem Elternbeirat danken. Der Hauptteil dieses Betrages ist auf ungenutzte aufgelöste Rückstellungen zurückzuführen, aber £590 kommen auch aus einer Auktion, die der EB zu Gunsten der Friends kurzentschlossen organisiert hat, als ihnen zwei Tickets der Fußball-WM in den Schoß gefallen sind. Die **Ausgaben** betrugen im vergangenen Jahr £59.803. - ➢ Davon entfielen £36.885 auf direkte Zahlungen für Projekte an die DSL. Hiervon wurden £9835 bereits ausgezahlt. Für den Restbetrag von £27.050 wurden Rückstellungen gebildet. Finanziert wurde u.a. folgendes: - Teilfinanzierung Bestuhlung Forum (£25.000) - Neuanschaffungen im Bereich Bühnentechnik (£2.612) - Digitaler Bildschirm Lernzentrum (£2.266) - Zwei Eventzelte (£3.271) - Chor-/Gospelworkshop (£1000) - • Zuschüsse Abschlussbälle (£2.095) - Ausstattung Running Squad (£288) - ➢ Small events, £1.121 (1. Schultag, 50-Jahr-Feier, Willkommensfrühstück, Abschied Hr. Nitschke) - ➢ Abigeschenke, £1.188 (zwei Jahrgänge) - ➢ FOD Inventar (Kartenlesegeräte, Stempel, Festuntensilien) - ➢ sowie £1.573 für sonstige Ausgaben (u.a. Bankgebühren, Shopgebühren, Tüten, Kursdifferenzen, Abschiedsgeschenke, Co2-Zylinder-Miete, gemeinsames FoD-Essen) Das Geschäftsjahr wird mit einem **Verlust** von £1.370 abgeschlossen. Cash zum 31.03.2022 beträgt £56.483, teilweise als festverzinsliches Bankguthaben, ansonsten auf deutschem und britischem Bankkonto, sowie dem Paypal Konto. Der Warenbestand zum Ende des Geschäftsjahres beträgt £6430, das Kapital zum 31.03.2022 £36.929. Damit ist unser Guthaben wider Erwarten nur leicht abgeschmolzen, was auch mit der überaus erfolgreichen Springfair zu tun hat, die kurz vor dem Ende des Finanzjahres noch einen großen Gewinn eingebracht hat. Somit stehen auch im jetzigen Geschäftsjahr bereits Gelder für Investitionen in größere Projekte zur Verfügung stehen, die wir teilweise bereits großzügig für die Renovation des Computerraumes bereit gestellt haben. Dank an den Buchprüfer Markus Nagel. ## **5. Entlastung Schatzmeister/Vorstand** Die Schatzmeisterin und der Vorstand werden einstimmig entlastet. ## **6. Wahl und Entlastung des Buchprüfers** Der Buchprüfer Markus Nagel wird einstimmig entlastet. Er wird einstimmig als Buchprüfer wiedergewählt. ## **7. Veränderungen innerhalb des Vorstandes** Wahlen: Nadine Wunderlich und Ingo Mueller-Wodarg stellen sich turnusgemäß nach drei Jahren zur Wiederwahl zur Verfügung. Franziska Herrenknecht stellt sich als neues Mitglied des Festorganisationsteams zur Wahl. Sie wurde bereits durch den Vorstand co-optiert. Frau Herrenknecht stellt sich kurz vor. Frau Wunderlich, Herr Mueller-Wodarg und Frau Herrenknecht werden ohne Gegenstimmen als Mitglieder des Vorstandes bestätigt bzw. neu in den Vorstand gewählt. ## Verabschiedungen: Aus dem Vorstand scheiden auf eigenen Wunsch folgende Mitglieder aus: - Claudia Keller (Merchandise); im Vorstand seit Juni 2019 - Marisa Koennecke (Festorganisation); im Vorstand seit Oktober 2020 - Aysel de Vries (Festorganisation); co-optiert in den Vorstand im November 2021 Herr Müller-Wodarg bedankt sich bei allen ganz herzlich für Ihren Einsatz in den vergangenen Jahren. ## **9. Report of the Board of Trustees** ## **Financial Year 1 April 2022 to 31 March 2023** The 50[th] financial year of the Friends of Douglas House ended very successfully. This year’s income amounts to £70,250 which is £11,817 higher than the previous year’s income and £36,203 above that of 2020/21. Expenses amount to £57.619, so the year ended with a profit of £12,631. We look back at what was the first ‘normal’ year after the pandemic during which we were able to again offer all regular large school events, the Summer Fair in July 2022 followed by Octoberfest (Oct 2022), Christmas Fair (Nov 2022) and Spring Fair (March 2023). In addition, we were able to organise and contribute to smaller events including our Welcome Breakfast for parents at the start of the school year (Sept 2022) and St Martin festivities (Nov 2022). So, the 2022/23 financial year saw us fully return to our activities and fulfil both pillars of our goals, fundraising and bringing the school community together. None of this would have been possible without the considerable contribution by so many. We would like to thank the Leadership Team of the school, the German School Association, the pupils and their representation via the SV, the parent association, the helpful teams in Douglas House, in the library, the kitchen staff, the wonderful caretaker team, the teaching staff and, last but not least, Axel Scheffler and Roland Vetter for their generous support of the Friends’ activities. ## **Activities in the last Financial Year (in chronological order)** - Presents to students who passed their Abitur - Annual General Meeting - Summer Fair - Catering and welcome at first day of school for year 1 pupils including a present - Breakfast with the Friends to welcome new parents - Octoberfest - St. Martin festivities - Creation and sale of DSL Advent Calendars (with support by Axel Scheffler and Lindt) - Creation of Advents Wreaths (with support by numerous volunteer helpers) - Christmas Fair with raffle, sale of Advent wreaths - Spring Fair with flea market and Easter egg hunt - Continuous sale of DSL logo textiles and merchandise products - Coffee mornings will sale of books and merchandise The Board held 7 ordinary meetings. All Board meetings were held in person in the Douglas House Board Room, with the possibility to connect remotely via Teams. The Annual General Meeting took place on 16 June 2022 as an in-person event. This is an increase compared to last year by £11,817. The Christmas Fair benefited from the very successful sale of Advent wreaths and the popular raffle. A huge thanks to all our sponsors of the 2022 raffle! Due to weather conditions the Christmas Fair was held indoors and proved to again be very successful financially. The Online Shop continues to be very popular for purchasing from our ever-growing range of merchandise products leading to an income of £22,474 in this financial year. Considering the costs of £14,973 for new merchandise, we made a profit of £7,501 with the sale of merchandise, which is similar to the profit from sale of merchandise obtained in 2021/22. In this financial year our **expenses** amount to £57,619. Out of these, expenses amounting to £36,718 are allotted directly to DSL projects; further £1,552 are other expenses for the benefit of the DSL, expenses for small events and presents for the Abitur students, the Year 1 and 5 as well as new students. Administrative expenses (bank charges, hire of gas cylinder for draught beer) amount to £1,219. Other expenses amount to £1,011. Last year’s provisions were fully used. New provisions for projects that have been agreed but not yet paid will be made in the amount of £20,556. Despite funding numerous large projects, we end the financial year with profit of £12,631. With new, large projects envisaged for funding in the coming financial year, this surplus will be spent in foreseeable future. As before, a part of the Friends‘ money is being held in an interest paying savings account. The other part is held on two current accounts in Germany and the United Kingdom. In addition, the Friends have a PayPal account which proves useful for paying membership fees and for textile and other merchandise orders. Our capital at the end of the financial year 2022/2023 amounts to £49,561. Thus, we still have a generous balance, but expect to reduce this by funding one or several large projects for the school. ## **Membership** In the financial year 2022/23 the Friends of Douglas House had 125 paying members (sole membership or family membership). Income from membership fees has decreased slightly to £2,500. Marketing, Social Media & Website| Our Constitution requires that Board members be put up for re-election every 3 years. Board members who were elected 3 years ago are Sabine Mühlauer, Chiara Straka and Tina VossBerthold. All three have agreed to put themselves up for re-election this year. Christina Holzhauer was co-opted during the course of the year and is therefore being put forward to be elected to the Board on 08 June 2023. She has already played a pivotal role in the events team and started the Creative Workshops where parents are invited weekly on Wednesday mornings to craft new products which are put up for sale at school events. ## **Review** In this year we supported, or promised to make money available for, numerous projects of the school or the students, including: - Part-financing of the renovation of the PC-Suite - Part-financing of the new Primary School playground - PCR machine and accessories for Biology Department - LED lamps for the Arts Department - Workshops for Technology Working Group (Technik-AG) - Large chess board for school grounds - Contributions towards the Abitur and Year 10 dance balls - Prizes for reading competition ## **Outlook** We look forward to continuing to bring large events to the school, to help promote the school to the outside world and to provide support towards learning and wellbeing of all pupils. We plan to again have an Octoberfest (07 Oct 2023), Christmas Fair (02 Dec 2023) and Summer Fair (06 July 2024) alongside smaller events. We have a planned Disco evening for over-18s taking place on 19 May 2023 and will evaluate for spring 2024 whether to organise the Spring Fair again or an alternative event. Every event requires a large team of volunteer helpers, we are mindful of not over-stretching them. We will continue to adjust our activities to fit the changing times and wishes of the community. We will continue to adjust our range of textiles on offer and also offer new products. Our merchandise will continue to feature the official school logo and also include ranges with Axel Scheffler drawings. We continue to work closely with the school’s Communcations Officer (Silke Müller) on various aspects, including how to further promote the Friends and school, and we will continue to reach out to parents via the available communication channels. We see effective communication as key to further promoting awareness of our work and to further integrating our activities into the school and community life. As always, it is possible for parents to submit applications for funding provided that a large group of students will be the beneficiary. The application form can be found on our website. We would like to profoundly thank all those parents, teachers, students and colleagues at the school who have supported our work, either by actively taking part in our events or by donations of any kind! For the coming year we very much look forward to our continuing great cooperation with all groups at the school and community and to our contribution towards the success of the DSL. Based on the receipts and bookkeeping entries I was able to check and understand the annual account5 lincl. profit and 1055 statement and balance sheet) a5 of 31.03.2023 without any problems. The receipts are Clear￿ and properly arranged. This made the auditing of the receipts and bookkeeping entries very easy. All expenditures for the Gemien School London were clearly booked and evident.
