TRUSTEES ANNUAL REPORT FOR THE YEAR ENDED 31 DECEMBER 2021
BACKGROUND
Ringwood Musical & Dramatic Society (RMDS) was formed in 1911 and the first production ‘The Mandarin’ was performed in February 1912. The Society was registered with the Charity Commission on 3 October 1972. A revised constitution was adopted on 22 March 2000.
The Society’s Rules make it clear that membership is not restricted to Ringwood residents, and members are drawn from all over the New Forest, Hampshire and Dorset areas. Membership is open to anyone over the age of sixteen who is interested in music and drama and in furthering the charitable work of the Society, and have paid an annual subscription which is laid down from time to time.
OBJECTS OF THE CHARITY
The Charity Commission records the Society’s formal objectives as the promotion and advancement of the education of the public and the Society’s members in the musical and dramatic art forms, by the rehearsal and performance of all types of music and drama.
To this end the Society has over the years evolved a programme of public performances which have proved lastingly popular with local audiences as well as to the members who plan, produce, direct and appear in them. RMDS is well known in the Ringwood area and beyond for its shows, plays, choir concerts and revues, This all raises the awareness of what enthusiastic and dedicated amateurs can contribute to local culture as well as generating significant funds to support local good causes.
The Trustees have taken careful regard of the Charity Commission guidance on public benefit and believe that by meeting the objects of the Charity they are fulfilling those requirements.
ACHIEVEMENTS AND PERFORMANCE
During 2021 there were still Covid-19 pandemic restrictions in the first half of the year that led to the cancellation of some of our productions.
Our cancelled productions were as follows:
April ‘Barnum’ at Ringwood School Theatre (6 Performances) June Summer Choir Concerts (3 performances) July Summer Show - Greyfriars Community Centre (5 performances)
The following productions took place but with restricted numbers and reduced audiences due to the nervousness of audiences:
October Autumn Play - Ringwood School Theatre (3 performances) November Soiree - Barrington Theatre, Ferndown (8 performances) December Christmas Choir Concerts (3 performances) Trinity Church (2 performances) and Ellingham Church Ringwood
FINANCIAL REVIEW
Whilst our public performances are not always intended solely to make a profit, the absence of the Main Show, Summer Choir Concerts, and Summer Show and the reduced numbers at the Play, Soiree and Christmas Choir Concerts led to the Society being dependent, for another year, on the willing support of members and patrons through their annual subscriptions and donations. As there were no grants available for 2021, we were unable to donate as much as in previous years to our local charities. We did, however, make charitable donations to a fledgling theatre company and other local charities as detailed in Note 4.

We need to be mindful of the trend of fewer members, patrons, donations and audience numbers. Despite this our total receipts during 2021 amounted to £29,096. We were able to make charitable donations amounting to £1,365 and, after taking into account administration expenses of £2,214, the final surplus for the year was £606. The final surplus for 2020 amounted to £8,956, however, without the Business Rate Relief Grant of £10,000 received during that year there would have been an overall deficit of £1,044.
RESERVES
The RMDS General fund is unrestricted and is available to meet the cost of any activities falling within the charity's objectives. Amounts within the General fund may be designated by the trustees for particular purposes, but any such designation may be withdrawn. On the other hand, restricted funds are maintained for moneys received on the understanding that they will be used for particular defined purposes.
STRUCTURE, GOVERNANCE AND MANAGEMENT
The Executive Committee comprises the Business Manager and nine other members all of whom are elected at the Annual General Meeting. This is the legal body able to enter into contracts on the Society's behalf, and meets at least ten times a year. The Officers of the Society are the Chairman, Vice-Chairman, Secretary and Treasurer. Under the Charities Act the Officers are the Society's Trustees, who collectively have overall responsibility for the actions of the Society. The Society's property is vested in three holding Trustees. The day-to-day running of the Society may be delegated to sub-committees. Members are expected to abide to the Society's Rules which may be amended from time to time by agreement at the Annual General Meeting.

I report to the Trustees on my examination of the financial statements of the Charity for the year ended 31 December 2021 set out on pages 4 to 6.
RESPONSIBILITIES AND BASIS OF REPORT
As the Charity’s Trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
INDEPENDENT EXAMINER’S STATEMENT
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect:

accounting records were not kept in accordance with section 130 of the Charities Act, or
-
the accounts do not accord with the accounting records.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
