The Trustees present their report and accounts for the year ended 30 June 2023 

## **Constitution and Objects** 

The Charity was established by a Declaration of Trust dated 1[st] November 1970 and registered with the Charity Commission in 1971. 

The Charity is established to or for the benefit of the poor and needy or to or for the benefit of such other charitable institutions, societies and objects as the club shall in duly constituted meeting from time to time direct.

## **Organisation** 

The Trustees oversee the application of the income of the Charity in conjunction with the Rotary Club of Ely Club Council. The Club Council is elected annually and in 2022/23 met monthly to conduct the business of the Club. 

Within the Club are committees with responsibilities for different fund raising and other objectives. The committees are: 

Community Service and Vocational service Community– charged with organising the annual Aquafest event  and  the Christmas  Collection.  The  sub-committee  recommends  to the  Club  Council  grants  to beneficiaries, usually of a charitable nature. 

Vocational– organises careers advice in conjunction with local schools and arranges visits by members to interesting businesses in the area. 

International and Foundation– International -arranges fund raising events to support overseas causes. Foundation-raises funds in support of the Rotary Foundation which aims to achieve world understanding and peace through local, national and international humanitarian, educational and cultural programmes. 

General. This year all funds are recorded as general funds and transferred to Foundation or International, unless the fundraising was specific for one cause. One specific donation this year was to the Arthur Rank Hospice Charity by way of a concert by the London Welsh Male Voice Choir at the Cathedral. 

## **Review of the Year’s activities** 

The Club had a very successful year and the attached accounts show that a total of over £26459 (2022 £17,349) was raised at various events and donations £24,446 (2022 £13,782)  was donated to charities and good causes in the year. 

The Trustees regularly receive copies of the monthly Club Council minutes and have the opportunity to comment on any proposed donation or other aspects. 

The Aquafest Committee is now a joint affair with the Hereward Club and no costs of this have passed through these accounts. 

The Trustees are satisfied that the objects of the Charity have been met during the year and that the operation and financial results of the Charity are also satisfactory. 

## **Public Benefits from the objects and activities** 

The benefit from the community service activities is to help local charities and individuals, who can justify that  the funds will to be expended locally. The Aquafest event gives enjoyment to the people of Ely and its environs and the Christmas Collection brings the spirit of Christmas to all the streets of Ely. 

The vocational committee helps the members understand the working of companies which they visit and the RYLA award gives a local apprentice the opportunity to learn management skills in a fun way. This year we did not find a suitable candidate.

The international committee raise funds for overseas events and has the benefit of helping people abroad in less fortunate conditions than our own. It also has the benefit of advising the public who come to the events of the different problems abroad. This year we purchased a Shelter Box for disasters and donated to the Pakistan Appeal. 

Foundation is Rotary International own charity and again funds are raised for this separately from local or overseas fundraising. The benefit is to enable Rotarians to advance world understanding, goodwill and peace through the implements of health, the support of education and the alleviation of poverty. Most members gift aid funds directly to the Foundation Account at RIBI. This figure is shown as income and payment to Foundation 

## **Charities and Risk Management** 

The committees have considered the risk to the Charity and believe that they have all relevant matters under control and have followed the normal guidance to Charities as given by the Charity Commission. On Behalf of the Trustees

## **INDEPENDENT EXAMINERS REPORT TO THE TRUSTEES OF THE ROTARY CLUB OF ELY BENEVOLENT FUND** 

We report on the accounts of the Charity for the year ended 30 June 2023 which are set out on pages 5 to 7. 

## **Respective Responsibilities of Trustees and Examiner** 

The Charity’s trustees are responsible for the preparation of the accounts and consider that an audit is not required for this year (under section 144(2)) of the Charities Act 2011 (the Act) and that an independent examination is needed. 

It is our responsibility to: 

- Examine the accounts  (under section 145 of the Act); 

- To follow the procedures laid down in the General directions given by the Charity Commission (under section 145(5)(b) of the Act; and 

- To state whether particular matters have come to my attention. 

## **Basis of Independent Examiner’s Report** 

Our examination was carried out in accordance with the General Directions given by the Charity Commissioners.  An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records.  It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a “true and fair view” and the report is limited to those matters set out in the statement below. 

## **Independent Examiner’s Statement** 

In connection with my examination, no matter has come to our attention: - 

1. which gives me reasonable cause to believe that in any material respect the trustees have not met the requirements to ensure that; 

   - proper accounting records are kept (in accordance with Section 130 of the Act); 

   - and 

   - accounts are prepared which agree with the accounting records and to comply with the 

   - Accounting requirements of the Act; or 

2. to which, in our opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

The Aquafest Committee is now a joint affair with the Hereward Club and no costs of this have passed through these accounts. 

The Trustees are satisfied that the objects of the Charity have been met during the year and that the operation and financial results of the Charity are also satisfactory. 

## **Public Benefits from the objects and activities** 

The benefit from the community service activities is to help local charities and individuals, who can justify that  the funds will to be expended locally. The Aquafest event gives enjoyment to the people of Ely and its environs and the Christmas Collection brings the spirit of Christmas to all the streets of Ely. 

The vocational committee helps the members understand the working of companies which they visit and the RYLA award gives a local apprentice the opportunity to learn management skills in a fun way. This year we did not find a suitable candidate. 



**3. THE ROTARY CLUB OF ELY BENEVOLENT FUND**

The international committee raise funds for overseas events and has the benefit of helping people abroad in less fortunate conditions than our own. It also has the benefit of advising the public who come to the events of the different problems abroad. This year we purchased a Shelter Box for disasters and donated to the Pakistan Appeal. 

Foundation is Rotary International own charity and again funds are raised for this separately from local or overseas fundraising. The benefit is to enable Rotarians to advance world understanding, goodwill and peace through the implements of health, the support of education and the alleviation of poverty. Most members gift aid funds directly to the Foundation Account at RIBI. This figure is shown as income and payment to Foundation 

## **Charities and Risk Management**

## **INDEPENDENT EXAMINERS REPORT TO THE TRUSTEES OF THE ROTARY CLUB OF ELY BENEVOLENT FUND** 

We report on the accounts of the Charity for the year ended 30 June 2023 which are set out on pages 5 to 7. 

## **Respective Responsibilities of Trustees and Examiner** 

The Charity’s trustees are responsible for the preparation of the accounts and consider that an audit is not required for this year (under section 144(2)) of the Charities Act 2011 (the Act) and that an independent examination is needed. 

It is our responsibility to: 

- Examine the accounts  (under section 145 of the Act); 

- To follow the procedures laid down in the General directions given by the Charity Commission (under section 145(5)(b) of the Act; and 

- To state whether particular matters have come to my attention. 

## **Basis of Independent Examiner’s Report** 

Our examination was carried out in accordance with the General Directions given by the Charity Commissioners.  An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records.  It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a “true and fair view” and the report is limited to those matters set out in the statement below. 

## **Independent Examiner’s Statement** 

In connection with my examination, no matter has come to our attention: - 

1. which gives me reasonable cause to believe that in any material respect the trustees have not met the requirements to ensure that; 

   - proper accounting records are kept (in accordance with Section 130 of the Act); 

   - and 

   - accounts are prepared which agree with the accounting records and to comply with the 

   - Accounting requirements of the Act; or 

2. to which, in our opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
