Trustees’ Annual Report for the year ended 31 December 2024
This is the Annual Report for The Hampshire Field Club and Archaeological Society, charity number 243773, with its registered address at 8 Kingfisher Close, Hamble, Southampton SO31 4PE.
The Trustees are: President - Professor Michael Fulford Hon. Secretary - Philippa Harrap Hon. Treasurer - Valerie Archibald Julia Sandison Richard Selwood
The Society has a central core, and five sections which look after different interests. Decisions are made by Council which represents all interests. There is a governing Constitution, which was last updated in May 2023. Trustees are recruited from Society members and others interested in the heritage and landscape of Hampshire.
Each section of the Society arranged lectures on, and visits to sites and subjects of interest. Conferences were arranged on selected issues to promote study and engage the membership in recent research. Participation in a Local History Symposium raised awareness of local issues and the Society’s profile. The Archaeology section enabled visits to archaeological excavation sites that were not generally open to the public, and privileged access and tours to buildings and monuments were also arranged by the other sections.
The charitable purposes of the Society are:
(a) to promote the study of and research into Archaeology, History, Historic Buildings, Landscape, Geology and Natural History within the county of Hampshire, and to publish the results appropriately.
(b) to encourage the preservation and conservation of Buildings, Historic Remains, Historical Records and all other Objects of Importance for the Subjects specified and Areas of Importance for the Subjects specified in the County.
During the year these charitable purposes were met by lectures, visits, conferences, research projects and publications.
Our Editorial Board worked hard to complete two volumes of Hampshire Studies (78 and 79) as well as the biannual newsletter. Hampshire Studies, Archaeology in Hampshire and the newsletter are available on our website.
A Hampshire Papers Study Day was held in association with the History Department MA Course at the University of Winchester. It featured authors of Hampshire Papers who discussed how they approached researching and writing. This engagement introduced the Society and its objectives to a new audience of future historians and promoted historical research and publication.
The Hampshire Graffiti Research project has continued.
The Hampshire Historian of the Month is a research project started in 2021 to celebrate the centenary of the Institute of Historical Research, to document historians
with Hampshire connections. The project has continued and four years of records are now available to browse online.
We offered a grant of £1,600 to the Winchester Archaeology and Local History Group towards a report on the stonework at the College of St Elizabeth. The Society also received a very welcome bequest from the estate of a former member, Susan Kenyon, and is still deliberating how this should be appropriately allocated.
When planning the Society’s activities for the year, the Trustees have considered the Charity Commission guidance on public benefit. Places at lectures, conferences and on visits are available to the wider public. Our research and publications are widely available to promote the history, heritage and landscape of the county.
The Society balanced its receipts and payments for the year, and in addition it received a bequest of just over £10,000. It has £80,000 in bank accounts and savings accounts at the end of the year. The Society’s policy is to maintain reserves that would cover at least two years’ gross expenditure, and sections maintain the level of reserves that they consider necessary

1 ACCOUNTING CONCEPTS
The Accounts have been prepared on the basis of the guidance from the Charity Commission relating to Small Charities, and summarise all receipts and payments made in the year.
2 BEQUEST
HFC&AS was the recipient of a bequest from a former member, Susan Kenyon.
3 HAMPSHIRE STUDIES
The total receipts from sales and developer contributions, and payments for printing, distribution and online publication, for Hampshire Studies were:

4 ARCHAEOLOGY IN HAMPSHIRE The 2024 payment was for the report for 2022.
5 HISTORIC ENGLAND These Accounts do not reflect movements in the HFC Publications bank account in respect of the funds held as an agent for Historic England relating to sales of Monographs nos 2-8. The balance owed to Historic England at 31 December 2024 was £nil and at 31 December 2023 was £10.50. No further payments will be due. 6 DENDROCHRONOLOGY FUND When the Hampshire Buildings Survey Group was wound up, it transferred its remaining funds to the care of the Historic Buildings section in 2019, to be ring-fenced for dendrochronology grants. During 2024 there were no payments or receipts, leaving a bank balance at 31 December 2024 of £1,615. These transactions and balances are not included in the funds of the Historic Buildings section.

Respective The charity's trustees are responsible for the preparation of the accounts. The charity’s
responsibilities of trustees consider that an audit is not required for this year under section 144 of the
trustees and examiner Charities Act 2011 (the Charities Act) and that an independent examination is needed.
It is my responsibility to:
e examine the accounts under section 145 of the Charities Act,
e to follow the procedures laid down in the general Directions given by the Charity
Commission (under section 145(5)(b) of the Charities Act, and
e to state whether particular matters have come to my attention.

Basis of independent My examination was carried out in accordance with general Directions given by the examiner’s statement Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.
