TRUSTEES’ REPORT FOR THE YEAR ENDED 31 DECEMBER 2025

The trustees present their report and accounts for the year ended 31 December 2025. The accounts have been prepared in accordance with accounting policies set out in note 1 to the accounts and comply with the charity’s scheme, applicable law and the requirements of the Statement of Recommended Practice, “Accounting and Reporting by Charities” 2015 FRS 102).

Objects of the charity

The charity, known as Hutton Rudby Village Hall, is an unincorporated organisation governed by a Charity Commission Scheme dated 17 September 2001, as amended on 9[th ] May 2018 and 22[nd ] May 2023.

The charity’s object is the provision and maintenance of a village hall and recreation ground for use by the inhabitants of Hutton Rudby and the surrounding neighbourhood without distinction of political, religious or other opinions in order to improve the conditions of life for the inhabitants. The trustees believe that they comply with their duty with regard to public benefit in Section 4 of the Charities Act 2011.

The charity is operated entirely by volunteers and is governed by a committee of management comprising the trustees of the charity. There are two subcommittees of the committee of management. The finance committee meets to review financial matters in detail and advise the committee of management thereon. The operations committee deals with dayto-day decisions of the charity.

Rudby Parish Council is custodian trustee for the charity. The land surrounding and on which the village hall is built is vested in the custodian trustee in trust for the charity. The charity scheme requires that the trustees must retain this land for use for the object of the charity. The land may only be sold if the committee decide it is no longer required for use as a village hall or recreation ground and the decision is confirmed by a resolution passed at a meeting of the inhabitants of the area of benefit.

Review of activities and Financial Review.

The last year has continued to be one of continued improvement for the hall. The Trustees have continued to endeavour to enhance the hall, it’s facilities and its reputation as a venue for the local and wider communities. The Hall Operations team, under Ian Granville, have carried out a great deal of work in terms of continuing to keep updated the policies and procedures related to the running of the hall and carrying out more detailed work in areas such as fire safety, risk analysis and developing the adult and child safeguarding policy.

One notable event in February was the visit of the BBC Radio Four panel live broadcast of “Any Questions” This was very successful and we hope it will encourage more, similar events.

Usage of the Hall for regular groups continues to grow as does individual or one-off bookings improving income, the Wedding Weekend bookings are starting to recover after a hiatus due to Covid, this has been aided with several Asian pre-wedding celebrations which have increased both our catchment area and diversity of bookings. The increased bookings income along with the Friends events donations which have helped keep the hall in an operating profit. A local coffee van, Indian food vendor and the County Library now use the car park for providing services to the community. Discussion is still ongoing with the Parish Council regarding the installation of EV charging points with the hall car park one option being considered.

The website with an online room booking system has enhanced the user experience and has streamlined invoicing, booking management and accounting taking some of the load from the booking and finance team.

The overall condition of the Hall and grounds is very sound and continues to be improved. The new pool of expertise involved in all aspects of the Trust, and the increasing regular usage gives confidence of the Trust continuing to fulfil all its objectives well into the future.

STATEMENT OF TRUSTEES’ RESPONSIBILITIES

The trustees are responsible for preparing the Trustees' Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in England and Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that year.

In preparing these financial statements, the trustees are required to:

The trustees are responsible for keeping adequate accounting records that disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the Charity (Accounts and Reports) Regulations 2008 and the provisions of the trust deed. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

The trustees are responsible for the maintenance and integrity of the charity and financial information included on the charity's website. Legislation in the United Kingdom governing the preparation and dissemination of financial statements may differ from legislation in other jurisdictions.

I report on the accounts of Hutton Rudby Village Hall and Recreation Ground for the year ended 31 December 2025 which are set out on pages 5-11.

The charity’s trustees consider that an audit is not required for this year (under section 144(2) of the Charities Act 2011 (the 2011 Act)) and that an independent examination is needed.

My examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records.

It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you, as trustees, concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.

The accounts have been prepared in accordance wi th the Charities Act and Sta tement of Recommended Practice FRS102.

1.1 Incoming resources

All incoming resources are included in the SOFA when the charity i s entitled to the income and the amount can be quantified. 1.2 Resources expended

All expendi ture i s accounted for on accrual basis and has been classified under headings tha t aggregate all cos ts related to tha t category. 1.3 Tangible fixed assets and depreciation Tangible assets costing more tha n £500 are capi ta l i sed. Tangible fixed assets other tha n freehold land are s ta ted at cost less depreciation.

Depreciation i s charged at the following rates: Fixtures , fi ttings and equipment 20% straight l ine Heating Systems 10%, Office Equipment 20% and Biomass Boiler 5%

No charge i s being made on land and buildings at present. This will be reconsidered annually.

1.4 Investments

£110,000 i s invested in Quilter plc (formerly Old Mutua l Weal th). The value at 31 December 2025 was £122,599. No revaluation of the fund i s included in the accounts .

1.5 Accumulated funds

Restricted funds are subject to specific conditions by donors as to how they may be used. The purposes and uses of the restricted funds are set out in the notes to the accounts . 1.6 Donations and Legacies

The Friends of Hutton Rudby Village Hall donated £9600 from events held (2024 - £8000).

15 Related parties

Rudby Parish Council, who is a custodian trustee for the charity, granted funds of £215,000 towards the building fund. The Charity has made payments towards the grant from Rudby Parish Council, either by way of a grant, or by assisting in the maintainance of the Village Play Park.
