TRUSTEES’ REPORT FOR THE YEAR ENDED 31 DECEMBER 2024

The trustees present their report and accounts for the year ended 31 December 2024. The accounts have been prepared in accordance with accounting policies set out in note 1 to the accounts and comply with the charity’s scheme, applicable law and the requirements of the Statement of Recommended Practice, “Accounting and Reporting by Charities” 2015 FRS 102).

Objects of the charity

The charity, known as Hutton Rudby Village Hall, is an unincorporated organisation governed by a Charity Commission Scheme dated 17 September 2001, as amended on 9[th] May 2018 and 22[nd] May 2023.

The charity’s object is the provision and maintenance of a village hall and recreation ground for use by the inhabitants of Hutton Rudby and the surrounding neighbourhood without distinction of political, religious or other opinions in order to improve the conditions of life for the inhabitants. The trustees believe that they comply with their duty with regard to public benefit in Section 4 of the Charities Act 2011.

The charity is operated entirely by volunteers and is governed by a committee of management comprising the trustees of the charity. There are two subcommittees of the committee of management. The finance committee meets to review financial matters in detail and advise the committee of management thereon. The operations committee deals with dayto-day decisions of the charity.

Rudby Parish Council is custodian trustee for the charity. The land surrounding and on which the village hall is built is vested in the custodian trustee in trust for the charity. The charity scheme requires that the trustees must retain this land for use for the object of the charity. The land may only be sold if the committee decide it is no longer required for use as a village hall or recreation ground and the decision is confirmed by a resolution passed at a meeting of the inhabitants of the area of benefit.

Review of activities and Financial Review.

The year 2024 has been one of continued change and improvement for the hall. The trustees have continued to be forward thinking and looking to enhance the hall, it’s facilities and its reputation as a venue for the local and wider communities. The Hall Operations team, under Ian Granville, have carried out a great deal of work in terms of updating the policies and procedures related to the running of the hall, and carrying out more detailed work in areas such as fire safety, risk analysis and developing the adult and child safeguarding policy.

Usage of the hall for regular groups continues to grow, as does individual or one-off bookings, improving income. The wedding weekend bookings have started to recover after a hiatus due to Covid. This has been aided with the hall hosting several Asian pre-wedding celebrations, which has increased both our catchment area and diversity of bookings. The increased bookings income, along with the Friends events donations, have put the hall back into an operating profit.

A local coffee van has been given consent to open on the hall grounds twice a week creating a focal point for both residents and visitors; this may be extended to other small vendors based in our community. This will, in future, also provide a low level of income to the hall. Discussion is still ongoing with the parish council regarding the installation of EV charging points with the hall car park being one option under consideration,

The website is now in use, and with an online booking system, it has enhanced the user experience and has streamlined invoicing, booking management and accounting and has taken some of the load from the booking and finance team.

The overall condition of the hall and grounds is very sound and continues to be improved. The new pool of expertise involved in all aspects of the Trust, and the increasing regular usage gives confidence that the Trust will continue to fulfil all its objectives well into the future.

STATEMENT OF TRUSTEES’ RESPONSIBILITIES

The trustees are responsible for preparing the Trustees' Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in England and Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that year.

In preparing these financial statements, the trustees are required to:

The trustees are responsible for keeping adequate accounting records that disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the Charity (Accounts and Reports) Regulations 2008 and the provisions of the trust deed. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
