The goveming document is a Charity Commission Scheme dated 27
September 1978, which arnalgamaled two charities: the Wivelsfield
Reading Room and Inslrtute (1912) and the wAve1sf￿Id Playing Field
and Recreation Ground (1956 and 1966). Some of the Charity's
rules have been subsequently amended by agreement of the
Managing Committee and these arnendrnents have been submitted
to the Charities Commission

The managing trustses consisl of up to 8 members elected at each
annual general meeting and up to 13 representative members
appointed before rt by the local organisats'ons listed above. All
trustees ￿tIre at the start of each annual general meeting but are
eligible to be reelected or reappointed at thal meeling.

This year, a number of amerKlments have been made to the facilty. The
installation of fixings to enhan￿ a hirer experience, repainting where
required. the area to the rear of the hall has been expanded and is
awaiting further works. This year has been focussed on providing the
best building possible for our hirers, making it easy for them to hold a
bookin

venue.

The pollcy on ￿se￿Ie$ is to hold onty sufficient to cover the wear
and lear and eventual restoration of the buildings, the maintenance
and eventual replacement of other facilities, and contingencies.
There is a larger than nomal reserrfe held this year as a number of
the smaller hall enhancement projects for whlch funding has been
allocated have yet to complete.

The charity's main Sour￿ of income has been from hiring8 of the
Village Hall, Pavilion arKI Recreation Ground. The charity a180

The main items of expenditure have been the day to day running
costs of the village hall and pavilion, induding cleaning, heating,
lighting, water and insurance. Other items have been completed
this year. using grant funding. which we have been very lucky to
receive.

There are always many items that we would like to complete in order to enhance our building and
we will a￿rtays continue to complete these, as and when funds are available. This coming year,
are hoping to fence and tarmac our newly opened up rear area. and to provide facilities for our
hirers to enioy all year round. A small bar. seating area and lighting.
We will be lookirvJ to update our websrte. move over to a new booking system, and hopefvlly install
new projector within the Main Hall. ￿ngst many other things.

We will also be working very dosely with our Parish Council this year to install new facilities on the
Recreation Ground. using monies from the local housing development. alongside any further grant
funding Ihat we are applicable for.

Charity law requires the Trustees to prepare financial statements for each financial period which
give a true and fair view of the state of affairs of the Charity's financial activities and of its financial
position at the end of the year.
In preparing the financial stalements, the Trustees are required to select suitable accounting policies
and then apply them o)nsistently: make judgements and estimates that are reasonable and prudent;
state whether applicable accounting stsndards and statements of recommended practice have been
followed. subject to any departures disclosed and explained in the financial statements, and prepare
the financial statements on the going concem basis unless il is inappropriate to presume that the
Charity will continue in operation.
The Trustses are responsible for keeping prop8r accounting record8 which disdose with
reasonable accuracy al any time financial position of the charlty arKI to enable them to ensure
that the financial statements comply with applicable law. They are also responsible for
safeguarding the a&sets of the charity and hen￿ for tsking reasonable Steps for the preventlon and
detection of fraud and other irregulanties.
The Trustees confimi that the financial statements comply with the requirements of the Charities
Statement of Recommended Practice (2005) arKI the accounting provisions of the Charities Act
1993 and Regulations thereafter.
