Trustees’ report 2022/23
Welcome everybody to this AGM of the association. For those new to the Charitable Trust I would just like to remind you of our governing instrument. Our purpose is to provide and maintain a village hall and sports and recreational facilities for the residents of the four parishes of Wickham Bishops, Great Totham, Great and Little Braxted. The charity was founded on 10[th] January 1928, over 95 years ago.
There have been some changes to the Board of Trustees since the 2022 AGM.
Resignations and appointments
In December 2022, Ian Wiley, a publicly nominated Trustee, resigned. Ian made a most valuable contribution in leading our selection of investment managers and in our adoption of a reserves policy. He also initially led the project to build a new website incorporating a new online booking system. We are very grateful for this contribution during his term with us.
Ann Goody, representative for the Wickham Bishops Bridge Club, stepped down in October and has been replaced by John Rayment. Our thanks are extended to Ann for her commitment to our charity and we welcome John as a new Trustee.
In November this year, Gordon Greenleaf, our President, decided the time has come to wind down and he has stepped back from representing the Social Club. Gary Rolfe has taken over from Gordon and we welcome Gary to this role. Gordon continues to be our President.
Management of the Charity
First of all I would like to thank Nicole Carter, our Secretary, for the professionalism and enthusiasm with which she carries out her role.
The four Committees have been fully operational during the year. They are Property and Facilities Management, Finance and Investments, the Fund Raising Committee and the resurrected Committee for Strategy.
I would like to thank David Croom, who chairs the Property and Facilities Management Committee, and who, alongside the rest of his committee members, ensures our properties are well maintained.
Stewart Wallace is the chair of the Strategy Committee and he has brought a lot of energy and also new ideas for our focus.
Roger Lyons has provided the management, voluntarily, of our old website for many years and we are very appreciative of his services.
The new website went live on 1 October 2023. Nicole Carter, Ken Matten, Jane Williams and I worked flat out to achieve the launch of the new website and online booking system. We were also very fortunate to acquire the expertise of Anthony Groves. Tony volunteered to become our Webmaster and he also provided an invaluable contribution to this project. Huge thanks are extended to all those involved in this project.
I would also like to thank Nicole Carter for her expertise in getting messages out onto social media.
I continue to chair the Finance Committee and Nicole Carter, Ken Matten and I jointly manage the Fund Raising Committee.
I would also like to thank Margaret Macgregor for being the Booking Clerk until 30 June, a role she had held for almost 15 years, and for her ongoing role as Cashier.
Last but not least, I give thanks to Robert Brown who, voluntarily, provides his services as an electrician.

All the Trustees are volunteers and I would like to reiterate my thanks to all for their time and support.
In addition to the volunteers mentioned above, on behalf of the Charity, I would like to thank Andrew Goodwin, director of Meadow Brook Services Ltd, and his colleagues for the monitoring and maintenance of the Hall, and also to thank John Bewley who provides janitorial services for the Hall.
Fund raising
The Fund Raising Committee ran a successful Quiz Night at the end of June. I thank Ken and Sue Matten and Nicole Carter for making this happen. I would also like to record my thanks to Joan Cummins, a volunteer, who ran the scoreboard.
The Jazz Club donated another £2,569 this year and we all extend our thanks to Peter Hughes who runs these events.
Financial performance
The accounts for the year ended 30 September 2023 show a £7,073 deficit for the year. Whilst Hall bookings were up 29% on the previous year, there was a large increase in heating costs for the Hall of £9,300 compared with those for 2022. This was a direct result of escalating gas prices being felt by everybody. Our electricity costs remained in line with those for 2022 because of an ongoing contract which did not fall for renewal until the next accounting year. Following a change in investments, income for the year at £5,307 was an increase of 154% over that for 2022, before management charges. However, this was offset by a loss of £5,343 incurred on switching investments, resulting in a negative realised return on investments of £3,635 for the year. This was an overall improvement on that for 2022. The portfolio is monitored regularly by the Finance Committee members.
Independent Examiner
I would also like to thank Bambi Harrison for being our Independent Examiner of the accounts again this year.
Up-coming events
The next Jazz event, with Wickham Bishops New Orleans All Stars, is being held in the Hall on 16th December, and the Drama Club are holding this year’s pantomime, Dick Whittington, on Friday 5th and Saturday 6th January in the Hall.

Independent examiner's report to the trustees of the Beacon Hill Sports Association
I report on the accounts of the Trust for the year ended 30 September 2023, which are set out on pages 1 to 3.
Respective responsibilities of trustees and examiner
The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.
It is my responsibility to:
-
examine the accounts under section 145 of the 2011 Act;
-
to follow the procedures laid down in the general Directions given by the
-
Charity Commission under section 145(5)(b) of the 2011 Act; and
-
to state whether particular matters have come to my attention.
Basis of independent examiner's report
My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.
Independent examiner's statement
In connection with my examination, no matter has come to my attention:
(1) which gives me reasonable cause to believe that in any material respect the requirements:
-
to keep accounting records in accordance with section 130 of the 2011 Act; and
-
to prepare accounts which accord with the accounting records and comply
-
with the accounting requirements of the 2011 Act
have not been met; or
(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
