General Secretary (acting) – Mrs Joanne Browne ## **Welcome** Mrs Browne welcomed everyone to the meeting and commented that it was pleasing to be ‘in person’ rather than using a virtual platform as per the past two years. Mrs Browne also said she was delighted that since last year’s AGM we have appointed our new President, Dr Kadiatu KannehMason. Dr Kanneh-Mason had been invited to present our Long Service certificates this evening but, due to a prior engagement, she was unable to attend. Mrs Browne reminded attendees that they must be a member of the Society to vote, which would be by show of hands. 1. **Minutes of the 165th Annual General Meeting held on 4 October 2021** were accepted as a true and correct record with 88 votes and 13 abstentions. **Minutes of the Special General Meeting held on 10 January 2022** were accepted as a true and correct record with 86 votes and two abstentions. **Minutes of the Special General Meeting held on 25 April 2022** were accepted as a true and correct record with 83 votes and five abstentions. The minutes of all meetings will be signed by the Chair of the General Committee. 2. **Matters arising from the minutes of the 165th AGM and the** **Special General Meetings.** Mrs Browne noted that under matters arising from the 164th AGM, it had become known that there was an outstanding Long Service Certificate to be presented. This is for Alison Fretwell for 25 years and will therefore be presented this evening. There were no further matters arising. 3. **Consideration of the report from the Chair of the General** - **Committee** Mrs Browne took the opportunity to repeat her thanks to members of all the Committees and especially to her fellow officers, Jane Rouse and Dorothy Martin. They have provided much time and support to keep things running during this difficult year. In addition, there are several people who, although not Committee members, have contributed to the smooth running of rehearsals, namely our library team, our Membership Secretary and our Stewards, some of whom are temporary, and did an excellent job with following guidelines and our track and trace system. Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 3 of 32 ## 4. **Consideration of the Report from the General Committee** Dr John Whittle thanked the Committee for its accurate account of the Season but requested that in next year’s report we include listings of each individual work performed rather than just titles of each concert. This request was noted. ## 5. **To receive the Statement of Accounts** Our Hon. Treasurer, Mrs Jane Rouse, presented the accounts as included on pages 20 to 31 of the Annual Report. Mrs Rouse highlighted that there was a net loss on activities of £11,713 plus a revaluation loss of £19,887, giving a total of £31,600. We maintain strong financial stability with the balance sheet standing at £309k. As noted in the report, the value of investments has fallen due to the war in Ukraine and the Government’s mini budget, but the value at the beginning of October is £142k, slightly higher than the June 2020 valuation of £141k. Our portfolio is being adjusted after discussion with the Society’s advisor and will include more Clean Energy Funds. 60% of our investments remain in two multi-index and mixed investment portfolios. Looking ahead to 2022/23, we have an exciting Season planned, including Musical Seascapes, the return of Messiah in the Royal Concert Hall and Britten St Nicolas at Southwell. These are expensive concerts and we will need your support to promote them. Mrs Rouse thanked members of all the Committees for their help and advice and to Richard Laing and Jonathan Allsopp for their great professional involvement with the Choir. The motion to accept the Statement of Accounts was proposed by Dr John Whittle and seconded by Mr John Parry. This motion was accepted and carried unanimously. 6 . **To note the subscription rates for the 167th Season (2022-2023)** These rates were approved at the Special General Meeting held on 25 April 2022. The General Committee distributed a booklet earlier in the year to all members appealing for volunteers to come forward. Whilst this had been successful, unfortunately no one has come forward yet for the role of Hon. Treasurer, which is an Officer position. She stated that without a Treasurer, the Society is unable to function. Our existing Treasurer, Mrs Jane Rouse, needed to step down from the role and had stated this at last year’s meeting. Mrs Browne explained that Jonathan Hall had kindly agreed to help with the accounting side of things but is unable to take on the Officer role. Please think about volunteering yourself for election. Jane is happy to work alongside anyone who comes forward. Mrs Rouse is for the present time prepared to stand again for election but will only do this for a brief period. Mrs Browne emphasised that this was a temporary measure and should not be considered a resolution. Mrs Browne proposed that Mrs Jane Rouse be re-elected as Hon. Treasurer, seconded by Dr Michael Napier. Mrs Rouse was duly elected with 75 votes and 12 objections. Mrs Browne asked those present to show their appreciation to Jane for agreeing to this so that the Society can continue to function. ## 8. **Election of Independent Examiner** The Chair reported that Baldwin Cox Limited had agreed to continue as Independent Examiner. A formal proposal was made by Mrs Jane Rouse and seconded by Mrs Joanne Browne. The members approved this, with no objections. ## 9. **Election of General Committee Members** 1. Susan Graves - Proposer: Claire Russ, Seconder: Jill Blackwell 2. Dave Pitt - Proposer: Inge Alferink, Seconder: Stewart Rae 3. Elliot Wood - Proposer: Michael Napier, Seconder: Dave Lowery 4. Paul Morris - Proposer: David Thomson, Seconder: John Parfitt Mrs Browne explained that Susan Graves is an existing member of the General Committee but had kindly agreed to step down and be re-elected as part of our implementation of the three-year rotation cycle. This is as per our update to the Rules and Constitution during 2020. Dave Pitt had been co-opted to the Committee in June 2022 but needs to be elected as a full member of the Committee. We are pleased that two further members, Elliot Wood and Paul Morris, have come forward for election. There were no further nominations. Following a unanimous vote, all members nominated were elected. Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 5 of 32 ## 10. **Any Other Business** Dr John Whittle asked the Committee to explain why there had not been any draws for the 200 Club. Our Hon. Treasurer explained that we had decided to align the subscription with the Harmonic fiscal year end. As part of this process, we had offered refunds to those who had continued to pay. Our 200 Club co-ordinator, Sarah Morris, explained that this was now finalised, and we will be re-launching very soon. Mrs Browne asked the attendees to note that there would be two special awards presented this evening in addition to the Long Service Certificates. She asked that all attendees remain present until after all the awards had been presented. ## 11. **Long Service Certificates and other awards** Once more, and in fond memory of the late Professor John Morehen, Mrs Browne reported that the total number of years’ service being acknowledged this evening is 375. There were two further special awards announced and presented. Mrs Browne explained that neither recipient was informed of the awards in advance of this evening. Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 6 of 32 The first award presented was a **Professor John Morehen Award for Outstanding Service.** The General Committee was delighted to present this award to **Mrs Jane Rouse.** Finally, in acknowledgment of his many years support to the Society, including two stints as Chair, the General Committee presented an **Honorary Life Membership** to **Mr John Parry.** The award recipients received enthusiastic applause from those present. There being no further business the Chair of the General Committee closed the meeting at 8.52pm. Proposal for Subscriptions** The subscription rates for the 2023/2024 Season proposed by the General Committee were emailed to all members prior to the meeting. Attention was drawn to: Full: £165 and Concession: £132 The proposed rates include the hire of all music for the Season No questions were raised. 121 members of the Society attended the meeting All members present voted in favour of the subscription proposal with no abstentions. ## **Item 2. Choir Vacancies** At the time of the SGM there were a number of key vacancies and this important issue was included within the agenda for open discussion. The vacancies listed were: **Chair of the General Committee** - will be vacant from October 2023 **Hon. General Secretary** - currently vacant but Mrs Browne is ‘acting’ Hon. General Secretary. **Vice-Chair -** currently vacant but Mrs Dorothy Martin is ’acting’ Vice-chair ## **Membership Secretary** ## **Auditions Secretary** Mrs Browne informed the members, that in addition to the above, the role of Programme Compiler will be vacant at the end of this current Season. She explained that these key roles must be filled so that the Society can continue to function. She asked the members to consider coming forward sooner rather than later which will enable a handover period for the roles. Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 8 of 32 **THE NOTTINGHAM HARMONIC SOCIETY Registered Charity No 231548** ## **Annual Report of the 167th Season 2022-2023 October 2023** ## **PRESIDENT** The President for the 167th season was Dr Kadiatu Kanneh-Mason. ## **REPORT FROM THE CHAIR OF THE GENERAL COMMITTEE** I am delighted to begin my report by saying that it was wonderful to find ourselves able to look forward to our new season with a full concert programme, including our return to the Royal Concert Hall. At last October’s AGM it was a pleasure to present our Long Service Awards ‘in person’ plus our two very special additional awards: The Professor John Morehen Award for Outstanding Service to Mrs Jane Rouse and an Honorary Life Membership to Mr John Parry. During November we performed our long-awaited Musical Seascapes concert at the Albert Hall. This had been postponed in March 2020 and was certainly worth the wait; not least for the anticipation of the next costume change from both our Music Director and Soloist. Thanks to the inventive stage dressing team for all their efforts. A mention too for the Long Eaton Sea Cadets who piped our ’Admiral’ aboard and saluted in full uniform - a glorious addition to the good ship Albert Hall. Our Music Director, Richard Laing, commented: ‘it was a thrill to give life to Hamish MacCunn’s wonderful orchestration of _The Wreck of the Hesperus_ for the first time in nearly a century’. Some members of the Choir also had the opportunity to take part in the Celebration of the Music from Lord of the Rings, Game of Thrones and The Hobbit. As a member of the audience, I can honestly say that they gave an excellent performance which brought huge compliments from several people seated near to me. We then made our much-anticipated return to the Royal Concert Hall for our annual performance of _Messiah_ (complete). It was a very emotional concert and well received by a very appreciative audience. Our Family Carol Concert also did not disappoint. Our friends from Thoresby Colliery Band were also excited to return to the Concert Hall and the audience again was very enthusiastic. In February 2023, our Come and Sing day was a little different this year with music from Norwegian born composer, Ola Gjeilo. I know many really enjoyed the day and thanks to all those who helped as volunteers to make it a great success. Sincere thanks to Richard Laing for his leadership. Thanks also to Jonathan Allsopp for his accompaniment. Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 9 of 32 Spring Fantasia followed in March and although the audience was smaller than hoped for, those in attendance really enjoyed our performance. The _Hymn of Jesus_ was a challenge, but we were pleased to hear some complimentary comments about our performance from our President and our sponsors from Hopewells. Our season was almost complete with our Southwell Minster concert in May - Britten _St Nicolas._ We were delighted to have a sunny day which makes all the difference at this sublime venue. Thank you to all our Friends of Harmonic who helped with stewarding, not only with this last concert of the season, but also at the Albert Hall concerts. To wrap things up, approximately 70 members took part in the Drivetime event at the Royal Concert Hall with the Hallé. This is always an enjoyable and relaxed way to bring our season to a close. Numbers were increased this year both in terms of our own members of the core choir and others taking part. The audience figures were also much higher. Finally, a huge ‘thank you’ to everyone who has supported the Choir during this past Season as volunteers. Without these dedicated individuals the Society would simply cease to function. I should also like to thank John Filsak for coming forward to take on the role of Hon. Treasurer during January of this year. Special thanks to our outgoing Membership Secretary, Michael Napier and our Programme Compiler, Julian Toler. As my term of office comes to a close, particular thanks once again to Jane Rouse and Dorothy Martin. We now have nominations for nearly all the roles which needed to be filled and I look forward to supporting them alongside the General Committee. Joanne Browne Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 10 of 32 ## **FINANCIAL REPORT** The last financial year has been a year of two treasurers. We started the year with Jane Rouse in post; I took over in the spring. I take this opportunity to thank Jane for the support and advice she has given and continues to give, and for her work as treasurer over the years. The accounts show a deficit of £13,627. In one respect this is better than expected because of a £4,000 increase in the valuation of our investments. In another it is worse because of the larger-than-budgeted concert deficit of nearly £30,000. Although our concert expenses were some £2,000 less than expected the income from ticket sales was disappointing. The Lord of the Rings concert provided welcome extra income and we were able to bank a small amount of profit from the Family Carol Concert. Concert losses are expected and budgeted for. The word on the street is that we’re not the only organisation struggling to regain its audience postCovid. Nevertheless, if each of us sold just two tickets for each concert, our audiences at the Albert Hall and Southwell Minster would be doubled. We must expect the cost of hiring our concert venues and paying our musicians to continue to rise. The bulk of our general income comes from members’ subscriptions and shows a significant increase over the previous year now that most of us have less to fear from Covid. We have agreed a below-inflation rise for the coming year. Our investments have performed better than most over the year, thanks to our excellent financial advisor. I very much look forward to serving as treasurer and singing with this wonderful choir in the season ahead of us. ## John Filsak ## **TICKET OFFICERS REPORT** Tickets for our November and Spring Concerts are now usually sold via Ticketsource, so there is increasingly less involvement from this team. We still sold paper tickets for our Southwell concert, Britten _St Nicolas,_ along with the alternative options of using PayPal direct from our own website. Jo Parry and Anna Charly Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 11 of 32 ## **MARKETING AND PUBLICITY** _Printed literature:_ The Committee was able to work a little further ahead during this past Season in producing publicity for each of the concerts. We had some existing designs in place for Musical Seascapes, Messiah and Spring Fantasia. New designs were created for the Christmas concert and Britten _St Nicolas_ . Thanks to all who had input into helping create these materials. Thank you also to our outgoing Programme Compiler, Julian Toler, for his work on the artwork for the concert programmes over these past years. Also, to Joy Lee for continuing to produce the artwork for our Family Carol Concert. The postal marketing database and hand-delivery distribution list for flyers was used again during the Spring of 2023. This was the first time since 2019. We will be reviewing Press Advertising and Press releases during this forthcoming Season and continue to use a diverse approach to promoting our events. _Promotional emails:_ Thank you to Michael Gillie who has continued to promote our concerts using our email database. We currently have 412 subscribers to our mailing lists. The ‘open rate’ has increased to around 50% over the last season, so we are reaching around 200 people with each mailout. This remains an area of our publicity we could develop further. Perhaps you have some experience in digital marketing and would like to help us make more of our contacts? Choir members are welcome to join this mailing list - you can then forward the emails to family and friends who may be interested (or even better, ask them to sign up themselves). Just visit the website and use the box that will pop up after a short delay. Or just go straight to the envelope icon at the base of our homepage to subscribe there. _Social media:_ We continue to find social media to be very beneficial for promotion of our concerts. We use social media posts to promote the concerts and engage people in the following ways: Facebook (search: Nottingham Harmonic Choir), Twitter (search: @Notts_Harmonic) Instagram (search:@notts_harmonic). We currently have 888 followers on Twitter, 621 followers on Facebook and 257 on Instagram. We continue to slowly increase our reach each year. Huge thanks to Julie King and to Rachel Cropley for continuing to keep our social media updated throughout the season. Joanne Browne Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 12 of 32 ## **NOTTINGHAM HARMONIC CHOIR WEBSITE** The website primary functions are: - To promote Nottingham Harmonic Choir concerts and other related events to the public with the aim of encouraging and maximising attendance. - To provide information and help for choir members regarding - rehearsals, concerts and choir administration. - To promote the choir to potential new members, providing a contact point and joining information. Key requirements of the website are that it should be clear and easy to navigate and that the information presented should be fresh and up to date. We hope that it meets those key requirements but recognise that there is always room for improvement. The membership administration system, built into the website, but accessible only to a small number of administrators and the Membership Secretary, has continued to evolve and play an important role in managing auditions and mass mailings to the membership. The day to day updates to the website are currently being shared between Joanne Browne, Dave Pitt and Tim Oaten. Thanks very much to Julian Toler for continuing with managing the web hosting and maintenance of the site. Dave Pitt ## **MEMBERSHIP SECRETARY** Membership of the Society has maintained good levels this Season despite the trials of the past three years. The Season closed with 183 members. Of these, four have taken a year out. Thirteen members resigned or failed to renew their membership during the Season. We are however pleased to report that we welcomed 19 new members to the Choir plus two returning members. The membership breakdown, including those taking a year out at the end of the Season, was: 66 Soprano 63 Alto 17 Tenor 37 Bass Michael Napier Annual Report 2022-2023 - 167th Season of The Nottingham Harmonic Society October 2023 page 13 of 32 ## **FRIENDS OF NOTTINGHAM HARMONIC CHOIR** I am delighted to report that some of our Friends were able to join us at various times during this past Season. Several assist as Stewards and we continue to be grateful for their valuable help. Newsletters are posted to our Friends in September together with their membership card and the Annual Choir Newsletter. The custom has been to include some terrible jokes, amusing facts and puzzles! We have several members living in different parts of the UK and, although not always able to attend our concerts, they like to stay in touch with Harmonic. At last, after cancellations for various reasons, we were finally able to hold our Friends’ Garden party this year on Sunday 25 June. We were very fortunate with the weather despite the ominous forecast. In fact, if anything it was too hot. Some folks are never satisfied! We all enjoyed catching up with old friends helped along with a plentiful supply of refreshments. Please do encourage your friends and family to consider joining the Friends. There is a minimum annual donation of £20 per person. Friends receive discounts on tickets to our Albert Hall and Southwell concerts and free programmes for all concerts. Lusia Coulson ## **LIBRARY REPORT** The number of choir members borrowing music has increased, and currently stands at approximately 180. Sourcing the music has been a challenge this season. Fortunately, a new music library, NewSPAL, based in Surrey, opened in late 2022. They had scores of both the McDowall _Ave Maris Stella_ and Vaughan Williams _Fantasia on the Old 104[th] Psalm._ These two pieces, and the Gjeilo Sunrise Mass, were all hired from three different sources as the local library was unable to provide the number of copies that we required. The two pieces of Gjeilo music for Come and Sing were not available at any library, so the scores were borrowed from four different choral societies. We still did not quite have as many copies as intended, but fortunately some people already owned the music, so we reached the required number of attendees. It is certainly worth asking whether participants have their own copies for future Come and Sing events. Thank you to the many choir members who order their music on time, rub out their pencil markings and return their scores promptly after each concert. And as always, many thanks to the Library Team for their invaluable help and support throughout the year.
