Treasurer – Mrs Jane Rouse - Hon. General Secretary – Mrs Jeannette Clarke Approximately 105 members of the Society started the meeting. ## **Welcome** Mrs Browne welcomed everyone to the meeting and explained the process for voting. Mrs Browne paid tribute to the late Professor John Morehen, our former President. We will miss him and remember him fondly. The General Committee hopes to propose a new President for election soon. ## 1. **Minutes of the 164[th] Annual General Meeting held on 5 October 2020 and Minutes of the Special General Meeting held on 26 April 2021** The 164th AGM minutes were accepted as a true record with no objections or abstentions. The minutes will be signed by the Chair and returned to the Hon. General Secretary in due course. The Special General Meeting minutes were accepted as a true record with no objections or abstentions. 2. **Matters arising from the Minutes of the 164[th] Annual General** **General Meeting held on 5 October 2020 and matters arising from the Minutes of the Special General Meeting held on 26 April 2021.** The Chair asked for it to be noted that there are three long service certificates still to be presented to members following the virtual Annual General Meeting in October 2020. They had opted to receive their certificates in person, but this had been delayed due to the pandemic. Andrew Davys was presented with his 40 years’ service certificate at the rehearsal on 6 September 2021. Margaret Cooper and Alison Fretwell will be presented with their certificates as soon as possible at rehearsals. There were no matters arising from the Special General Meeting held on 26 April 2021. 3. **Consideration of the Chair’s Report** Mrs Browne asked attendees to note the report from the Chair within the printed copy of the Annual Report, which had been posted to the members in advance of the meeting. She added that having described the new Professor John Morehen Award for outstanding service, the first recipient of this Award was Dr Roy Atkins, and he was presented with his certificate at a live rehearsal on 13 September 2021. Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 3 of 32 Mrs Browne took the opportunity to repeat her thanks to members of all the Committees and especially her fellow officers, Jane Rouse and Jeannette Clarke who, together with Dorothy Martin, have provided much time and support to keep things running during this difficult year. In addition, she thanked our Web Manager, Julian Toler, who had set up all the surveys and voting mechanisms throughout the year and kept the website running. Finally, she thanked our Membership Secretary, Michael Napier, whose support with communications to all the members had been invaluable. There being no issues raised, the Report was taken as read. 4. **Consideration of the Annual Report of the General Committee** - The Chair asked if there were any matters to raise - there were none. The members had received the Annual Report and it was taken as read. 5. **To receive the Statement of Accounts** The Hon. Treasurer, Mrs Jane Rouse, was asked to present the Accounts as presented on page 20 to page 30 in the Annual Report. Mrs Rouse said that the society did make a small profit in the year. Thank you to all the members who had paid the full subscription which was very much appreciated. Mrs Rouse also thanked the Committee members and fellow officers for their great teamwork. Currently the Society’s investments are slightly higher than at the year end. The markets are very volatile because of fuel supply and inflation issues but our funds have maintained their values. Thank you to our investment advisor, Lee Turner, for his advice. The motion to accept the Statement of Accounts was proposed by Dave Lowery and Seconded by Stephen Kirby. This was then accepted and carried unanimously. 6. **To note the Subscription rates for the 166[th] Season (2021-2022)** The meeting noted the rates agreed at the Special General Meeting on 26 April 2021. |**Proposed by**

Members also have the option to take a year out and pay a Retaining subscription. ## 7. **Election of Honorary Treasurer** Mrs Jane Rouse was proposed as Hon. Treasurer by Jeannette Clarke and seconded by Dorothy Martin. This was approved and Mrs Rouse was duly re-elected with no objections or abstentions. Mrs Rouse has said that she is prepared to continue in the role for a further year, but would like to step down after this year, after having been Hon. Treasurer for several years. If anyone is willing to come forward, please contact Mrs Rouse or any committee member so that there is a transition period. Mrs Browne added she would like to thank Mrs Rouse on behalf of all the members for her dedication to the role. She asked for the members to show their appreciation in the usual manner. ## 8. **Election of Independent Examiner** The Chair reported that Baldwin Cox Limited had agreed to continue as Independent Examiner. A formal proposal from Mrs Jane Rouse, seconded by Mrs Joanne Browne was approved with no objections or abstentions. ## 9. **Election of General Committee members** 1. Stephanie Gozney - Proposer: Joanne Browne Seconder: Dorothy Martin 2. Muriel Kettlewell - Proposer: Christine Taylor, Seconder: Donovan Cattell The members nominated were elected to the General Committee. There were no objections or abstentions. Five vacancies remain unfilled. There are two co-opted places available that will be used for specific reasons. These can be used anytime after the AGM. The next General Committee meeting will be held on Wednesday 6 October 2021. ## 10. **Library streamlining** Further to the agreed SGM vote to streamline music hire, there was an additional proposal to consider. The proposal was to accept a fully inclusive subscription to members which includes all music hire for each season. Student’s music hire would be free alongside their membership. The proposer is Joanne Browne and the Seconder is Jane Rouse. The Chair invited comments or questions. Nicki Ryrie raised a point about having the payment for music consolidated within the subscription if the member buys their own copies. Mrs Browne described that the payment would be heavily subsidised and will not be implemented until the 2022-2023 Season. There will also be consideration of an opt-out payment. We will continue to review this point. The proposal was approved by the members. There were three objections and two abstentions. Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 5 of 32 ## 11. **Any Other Business** The Chair announced that the membership had been canvassed over several weeks to submit items for discussion. No points had been raised in advance of the meeting, however, Colin Anderson raised a point at the meeting. His concern was about the time remaining for rehearsals prior to the next concert and the potential quality of our performance. Mrs Browne explained that the format of this event was still under review and will be discussed at General Committee and Programme and Artistes meetings during the next two weeks. There will be updates on this subject for members after these meetings. ## 12. **Long Service Certificates** Mrs Browne paid tribute to all those members noted to receive a Long Service certificate. She praised them for their commitment sustained over so many years of continuous service - they total 440 years! All certificates will be presented at the earliest opportunity at rehearsals in person. The Long Service recognition was met with enthusiastic applause for all recipients. The single item of business on the Agenda was for the election of a new President following the death in March 2021 of our previous President, Professor John Morehen. ## **Election of President** The proposal was to elect Dr Kadiatu Kanneh-Mason for the role of President of The Nottingham Harmonic Society. Proposer: Mrs Joanne Browne, Seconder: Mrs Dorothy Martin Total membership eligible to vote - 154 The proposal was accepted with 98 votes. There were no objections or abstentions. Dr Kadiatu Kanneh-Mason was duly elected and we look forward to welcoming her to a rehearsal as soon as this can be arranged. Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 7 of 32 ## **THE NOTTINGHAM HARMONIC SOCIETY Registered Charity No. 231548** ## **Minutes of the Special General Meeting** held on Monday 25 April 2022 at 8.40pm at The Nottingham Emmanuel School ## **Proposal for Subscription Rates** The subscription rates for 2022/23 Season proposed by the General Committee were emailed to all members prior to the meeting. Attention was drawn to: Full: £155 and Concession: £124 The proposed rates include the hire of all music for the Season, as agreed at the SGM on Monday 26 April 2021 and subsequently at the AGM on Monday 4 October 2021. We would also like to extend the option for existing members to pay a Retainer subscription for this year of £20 if they do not wish to participate in rehearsals but continue as a member. ## **Proposal for term of office of our President** At the SGM held on Monday 10 January 2022, the members elected our new President, Dr Kadiatu Kanneh-Mason. At the time of the election we still needed to discuss and agree the term of office with Kadiatu. Within our Rules we state: The President of the Society shall be elected at an AGM or at an SGM for a term of up to five years and upon election shall become an Honorary Life Member of the Society. The President my be elected to serve a second or subsequent terms of up to five years each. The General Committee therefore proposed a term for our President, Dr Kadiatu Kanneh-Mason, which will run until 31 October 2026. This is slightly less than five years from January 2022 but will allow the position to be reviewed at the AGM in October 2026. No questions were raised. Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 8 of 32 ## **THE NOTTINGHAM HARMONIC SOCIETY Registered Charity No 231548** ## **Annual Report of the 166[th] Season 2021-2022** ## **October 2022** ## **PRESIDENT** The President for the 166th season was Dr Kadiatu Kanneh-Mason (elected January 2022) ## **ANNUAL REPORT FROM THE CHAIR OF THE GENERAL COMMITTEE** I am delighted to begin this report by saying that it was a huge pleasure for us to be able to return to live rehearsals at the start of the 166th Season. We were not entirely sure where we would be able to rehearse and were immensely grateful to the Church of the Good Shepherd for providing a home for us during September 2021. Of course, we were distancing and implemented lots of mitigations, but at least we could sing together in person at last. At this point I should like to thank the team of stewards (some of whom were temporary), for following the mitigations and track and trace system which allowed us to notify close contacts should a Covid-19 case arise. There were lots of others who helped in the background with seat labelling etc., so thank you to all who assisted. Our first recipient of the Professor John Morehen Award for outstanding service was Dr Roy Atkins. It was a pleasure to be able to present Roy with his certificate at our rehearsal on 13 September 2021. I was also able to present Long Service Certificates in person at autumn rehearsals. There were some difficult decisions taken by the Programme & Artistes’ and General Committees about our forthcoming concerts. We were by no means certain about what we could do in terms of performances and, regrettably, we decided not to proceed with our usual _Messiah_ and Family Carol Concerts at the Royal Concert Hall. On reflection, it was the right decision, with the continuing uncertainties moving into Christmas 2021. During November we were very fortunate to be able to hold our Gloria! event and I think all will agree that it was a perfect opportunity to perform to our Friends and families. It was great to catch up with Organist Simon Hogan again. It was also very emotional to perform the abridged _Messiah_ concert at the Albert Hall. Richard had every confidence in our abilities for performing the Hallelujah Chorus unrehearsed and we didn't let him down. During December our usual rehearsal venue had to cease lettings so we were grateful to have the use of the facilities at the High School and Beeston Parish Church. We also had to quickly find a new venue for the Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 9 of 32 Brahms _Requiem_ Come & Sing Day in February. Thanks are due to the Becket School who warmly welcomed us and provided an excellent facility for this event. Tickets were sold on the understanding that distancing measures would be in place, and those who attended appreciated this feature. Sincere thanks to Richard for his leadership and his anecdotes on Brahms. Thanks also to our soloists and accompanists for the day. Our next concert was a change to our original programme; the Verdi _Requiem_ allowed us to perform to a very high standard, given the issues with the pandemic and our distancing measures. The concert was met with great enthusiasm from our audience and we were delighted that our new President, Dr Kadiatu Kanneh-Mason, was able to join us. The 166th Season finished with our return to Southwell Minster for our Seasonal Reflections concert. Again, it was a very emotional experience, enhanced by the sun shining through the west window at the very start of the performance. Jonathan Allsopp was finally able accompany us in a concert for the first time since joining us. Thank you to our concert management team, Gill and David Wright and Jill Blackwell. We were pleased to welcome our President and some of our Sponsors. This concert was dedicated to our former President, the late Professor John Morehen, and we were pleased to have the company of his wife Marie and her family. Thank you to Richard and Jonny for bearing with us due to the disruption of rehearsal venues. Huge thanks to all who have supported the Choir during the Season, be it Committee members, Stewards and additional helpers - you have all played your part in keeping the show on the road. Thanks also to Julian Toler for all his hard work with the programmes and website and also to Michael Napier for keeping up with the ever changing membership status and for co-ordination of auditions for our 13 new members and the ever-popular re-auditions! I cannot complete this report without thanking my two fellow Officers - Jane Rouse, our Hon. Treasurer and Dorothy Martin, who has stepped in as acting Vice-Chair. Their help and support is very much appreciated. We look forward with even more optimism for this coming Season. We are delighted to be returning to performing _Messiah_ and the Family Carol Concert at the Royal Concert Hall following a three year break. We also look forward to our other scheduled concerts at the Albert Hall, Nottingham and Southwell Minster. ## Joanne Browne Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 10 of 32 ## **FINANCIAL REPORT** Last year I reported a surplus of £29,281 which included an investment revaluation gain of £26,287, but, due to Covid, we had no concerts in that season and therefore no concert losses. This year, it has been so enjoyable to sing together again and to perform in four concerts. The cost of staging concerts continues to rise and audiences, understandably, have been slightly reluctant to return, so the results this year reflect these factors. The overall deficit of £31,600 this year comprises an investment revaluation loss of £19,887, a concert loss of £21,306 and a general surplus of £9,593, which helps towards the concert loss. The various committees approved this concert loss at the planning stage - we wanted to share our enthusiasm with everyone, singers and audiences alike, and encourage a return to live music. It is important that we continue to put on concerts that are challenging and enjoyable for members, and appealing for our audiences, without putting a strain on the Society’s resources. It is not, however, always possible to achieve this. We are looking forward to returning to the Royal Concert Hall in December as well as performing at the Albert Hall and Southwell Minster. We acknowledge that these concerts will be expensive but our reserves are still strong and will support these decisions. I also hope that our audiences will rediscover us! As we would expect, our investment values have fallen due to the war in Ukraine and the difficult economic conditions, but the valuation is still above that of June 2020. I would like to thank our financial adviser for his continuing advice and recommendations. Finally, as this is my last season as Treasurer, I wish to say how much I’ve enjoyed being an Officer of this great choir and I have worked with many talented, enthusiastic people on various committees. Thanks go particularly to Joanne Browne and Dorothy Martin, who have been a constant source of wise counsel and support during these unusual times. ## Jane Rouse ## **TICKET OFFICER’S REPORT** Tickets for our abridged _Messiah_ concert at the Albert Hall were sold via TicketSource for the first time and this worked very well for us and the audience. We repeated this for the Verdi _Requiem_ concert. This was set up by our Hon. Treasurer and the Chair of the General Committee. For the Southwell concert, Seasonal Reflections, we sold paper tickets via various sources and used our website for people to purchase via PayPal. Many thanks to Anna for her help with the Southwell ticket sales to members. ## Jo Parry Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 11 of 32 ## **MARKETING AND PUBLICITY** As we began returning to performances, the Committee worked on the publicity and programmes for each of the concerts held during the 166th Season. We were able to utilise the existing designs for the Gloria! event which had been postponed in May 2020. The same applied to both the _Messiah_ and the Southwell concerts. The March concert required a new design altogether and this was very well received by the members and audience. Thanks to Trevor Lee for the design which had a striking impact. Thank you also to Julian for his hard work on the artwork for the concert programmes. The postal marketing database and hand-delivery distribution list for flyers and posters will be used this coming Season. Jackie Appleby and Jonathan Hall and I will be reviewing our press and advertising. Michael Gillie has been helping to promote our concerts this past year. Between 40% and 50% of our emails are usually opened, so we are reaching around 170 people with each mailout. The Southwell concert had a 60% open rate. This remains an area of our publicity we could develop further - perhaps you have some experience in digital marketing and would like to help us make more of our contacts? Choir members are welcome to join this mailing list - you can then forward the emails to family and friends who may be interested (or even better, ask them to sign up). Just visit the website and use the pop-up box to subscribe. Joanne Browne ## **SOCIAL MEDIA** During this past Season we found social media has been very beneficial for promotion of our concerts. We use social media posts to promote our concerts, and engage people in the following ways: Facebook (search: Nottingham Harmonic Choir), Twitter (search: @Notts_Harmonic) Instagram (search: @notts_harmonic). We currently have 883 followers on Twitter, 531 followers on Facebook and 250 on Instagram. We continue to slowly increase our reach each year. Our website: www.nottinghamharmonic.org, is a brilliant source of information, links, news, and so much more, about our choir. This link can also be shared to friends by email or social media to spread news of our forthcoming event and Concert details, as well as purchasing tickets for some future events. Julie King and Rachel Cropley Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 12 of 32 ## **NOTTINGHAM HARMONIC CHOIR WEBSITE** The website continues to perform its primary functions well. These are: - To promote Nottingham Harmonic Choir concerts and other related events (Come & Sing and Drivetime Choir) to the public with the aim of encouraging and maximising attendance. - To provide information and help for choir members regarding - rehearsals, concerts and choir administration. - To promote the choir to potential new members, providing a contact point and joining information. Key requirements of the website are that it should be clear and easy to navigate and that the information presented should be fresh and up to date. We hope that it meets (and exceeds) those key requirements. The website has been maintained in readiness for future use supporting choir members and promoting future concerts and events to the public. The membership administration system, built into the website, but accessible only to a small number of administrators and the Membership Secretary, has continued to evolve and play an important role in managing auditions and mass mailings to the membership. The management of the website is now in the process of being shared with Dave and Tim. I hope they enjoy being involved in the process as much as I do. Julian Toler ## **MEMBERSHIP SECRETARY** It has been a difficult year with all the mitigations in place, but our membership has remained reasonably stable given the circumstances. Some members were not yet ready to return to live rehearsals and performances so they opted to extend their retainer status. The Season closed with 178 members of whom 21 are taking a year out. Fourteen members resigned during the past Season. We are however pleased to report that we welcomed 13 new members to the Choir during the Season. The membership breakdown, including those taking a year out at the end of the Season, was: 65 Soprano 62 Alto 16 Tenor 35 Bass Michael Napier Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 13 of 32 ## **FRIENDS OF NOTTINGHAM HARMONIC CHOIR** I am delighted to report that some of our Friends were able to join us at various times during this past Season. There were a few who attended our Gloria! event and the abridged _Messiah_ concert and some helped with stewarding. We also had a good attendance for the Verdi concert and the Seasonal Reflections concert. Many thanks indeed for your support and to those who helped with stewarding. Your valuable help is very much appreciated. At Easter I sent out a letter together with various treats and the usual bad jokes. Sadly, the Annual Garden Party for Friends of Harmonic had to be cancelled due to my ill-health. I sincerely hope that next year we can finally get together. I would like to encourage choir members to ask their family, friends or work colleagues to join us to increase membership. There is a minimum donation of £20 per person, but there is no maximum amount! Friends receive concessionary tickets, free programmes and are welcomed into every aspect of our rich and fulfilling musical and social life and of course the most important factor, the honour that they are supporting one of the premier choirs in the East Midlands. Lusia Coulson ## **LIBRARY REPORT** Music has been hired for three concerts and the Come and Sing during the 166th Season. Due to the continuing pandemic limiting members’ attendance at both rehearsals and concerts, the P&A Committee reviewed the viability of the existing Spring Fantasia programme for March 2022. It was decided to postpone this programme and perform the Verdi _Requiem._ It was fortunate that there were sufficient Verdi _Requiem_ scores at the local music library (NPALS), and these were provided in good time for the start of rehearsals in January. During the following months, the service from NPALS was disrupted due to staffing changes and hiring sufficient copies of music for the Southwell concert was very problematic. We will continue to monitor our library resources and use alternatives for music hire when necessary. In the autumn of 2021, we were asked by Emmanuel School to vacate the storeroom we had previously been using for choir music. A team of helpers moved the music to a new storage facility in early January 2022. Many thanks to all who helped with the move, and to William Browne of Hallmark Tapes for providing the storage facility. We have reviewed the stored music and intend to sell any surplus scores to choir members during next season. Annual Report 2021-2022 166th Season of The Nottingham Harmonic Society October 2022 page 14 of 32 The new system for ordering hired music online has worked well, eliminating the handling of cash and order forms, and providing an accurate record for tracking the hired copies. Choir members have responded well to library requests, with most members placing their orders and returning their music on time. Throughout next season, I am planning to use separate online forms to order music for each concert, rather than asking members to complete a single form for the whole season. The individual forms will be simpler to complete and will allow for flexibility in case concert programmes are changed.
