REPORT OF THE MANAGEMENT COMMITTEE
FOR THE YEAR ENDED 31 JUL Y 2024
Chalm)4n's Report 2024
This year, The Oast The8tre lost of its keenest and. in one case. longest supporters: Ron Adamson and Geoff Daniels.
For many, Ron was The 08sI Theatre= nothing was loo much for him to do or think aboth. He did everything he coulé to
keep the theatre in full working order. He designed the large advertising board that stsnds outside the front door. As a mark
of respect. The Roundel wll be renamed 'Ron's Room. and 8 plaqLJ8 to this effect placed on one of its doors. As Margaret
Adamson remarked. 'Ron was in 8t the start and stayed lo the finish..
Geoff Danids made his mark on the theatre a5 Technical Director. He was not any old Technical Diftclor.. he ané the role
became one. Geoff was involved wth all asptscls of presenting 8 show. offering advlce and hands-on help with sel design
and ils constructKJn. Ivjhling design and a thousand other issues th8t create o professional show. Geoff was also on lights.
for many Oasl productions.
The Contributions made lo The Oast over the year5 by Geoff and Ron are immense. Both wll be sadly missed. The the8lre
couldn t have done what it did without them.
L8sI y8ar. the Ch8lm)an rgmark8d that The Management Committee needed 'new bk)od'. In 2024 il got some.. Bob
Maddison, Bizz Potlock. Barry Nich(Al8, M8ndy Hulston and Derek Rose were co-OPt9d onto the Management Committee.
It is ants'¢ipated that all will be fully adopted at the 2024 AGM.
In July 2024. The Management Committee agreed lo redecorate the Bar Lounge, both sets of toilets and lo ¢le8n 811 carwts
and the 4uditorium seals. The redecoration of The Bar Lounge was fnade w>ssible by a very geneious donation from
Margaret Adamson. Cleanirg and redecoratlno were scheduled lo be completed by the end of August.
In January 2024, The Oasl grateful￿ 8c¢epted a £5.000 donation from The Hayes Hayers who were unfortunately forced
to dose. Most of this donation will fund sound and lighting improvetnents in The Janel Young Studio and improve Wi-Fi
connections wthin the theatre. These initiatives are in the planning stage. The rest of the Isonalion paSd for the18rge monitor
already installed in The Bar Lounge. Many thanks to who plan for and install such technologies.
The report now reinfor￿$ a wint madè at the start of The Drama Rerort, relatirbg to audience numbers. It is fantastic that
our well-known shows are so so1￿lY supported, returning sold our runs for many ol them. Sad5y. the lesser-known
productions are often disappointingly supported. The Chairman urges the membershipto 5UPPOrt all thatth? theatre slage5'.
the membership rnay be 5UTprised as to how profession818nd uplMlSng the unknown can be.
Whilst the theatre slfjll has problerns rewiling volunteers. we can b8 Positive and upbeat about the contributions made by
our loyal, diligent and enlhusiasts'c volunteers. Many have given hours of unpaid help. In a thousand drfferent ways. to make
the theatre ￿8t it is. Thank you. one and all.
The foyer was given a minor makevover. Out went the old Front of House pulpS1'. In ¢ame a new, sleek, low-level, four drawer

smart, black frames.
A nwEssary fire inspection was carri8d out an external agency. Ils findlngs arg being considered by the Management
Committee. Ther8 is nothing intrinsically wrong wth The Oast's fire procedures, dOcuMer￿ 8nd equipment but some minor
issues will need addressing soon.
Front dooi security was enhanced by adding a magnellc catch lo the entry procedure.
In March 2024. the Iheatre entered sever81 plays for The Southem Counties Droma Festival. Our successes can be read

Rfver Drama Report
River Drama is a drama group for peO￿e with Downs syndiome and it continues to thrive al The Oast The8tre on Saturday
aftemoons during lerm-lime. The trustees of the charity extend its th8nks to th& Oast for their on-going support.
During the year the Injstees made the difftull decision to discontirbue the Child￿n,$ group. Numbers had fallen lo
unsustainable levels and despite widespread advertising we were unsuccessful in attracting new children lo join us. In
¢￿traSt. we were continually having to turn adults away because of lack of room in our aéult group. From January 2024
we became an adLsIt onby group and now run Iwo longer sessions for over 18s only. We have been delighted lo welcome
new aduh members and look forward lo welcoming one or more for tssler sessions in Septemb8r 2024. We currentty
have 26 members.
As ￿11 as our usual Saluiday afternoon sessions we run a programme of addition81 events throughout the year. including
a Disco, Christmas and Summer theatre trips and Academy We8k which is held in the summer holidays and is now well
estsblishe(181 Hadlow Primary School.
River Drama is valued by its members for the social connections il provides, the opportunity to perfomi and shine in front
of a supportive aud￿nCe, and as a regular weekend aclivjty which can be sadly lacking, especially for those living in soch81
care settings.
As we look forward to our 30th Anniversary in 2025 we are delighted that the charity is finanaally in good shape,. we have
a full rota ol skilled lutors who are able to engage and inspire our students, and most importontly a full register of students
who wish lo be with us for droma on Saturday afternoons.
Hopp•rs Report
This season. Hoppers ￿mained as one group. The children preferred il this way. finding it easier to maintain friendships
ithin a single unit. Numbers in the groLtp have remaingd at around eighteen with a few changes in membership. The group
is always very popular and oversubscribed. Therefore. in September. there will be a second group. This will allow those
who have been on the wailing list longer than a year to join an¢J yet kè8P 8ach group small.

Technical Group
This season the Oast technical team has supported a wide range of shows with excellent lighting, sound ond video. Several

Members of the team are more than happy lo Ir8in anyone if they are interested.
Many thanks to 811 the sound, lighling and video designers and opèrators who enabled the team lo support the high-quality

Major additions lo the technical area were the mtiwng head lights used to great effect in many shows last season. as well

have limited budgets for props hires for their producllons.
Th8 theatre continued to receive donated items which were photographed before putting away. Th8se items were tt*n
ready lo be used on the Oasl stsge or hired out tr) other societies and schools. The department always advises Oasl

The numbers of active volunteers has also fallen. 11 is proving difficult lo prOV￿e a full-service during shows. The volunteer
lunctions are being performed by fewer indimduals which. as our chairman polnled out at the last AGM. is really
unsustainable.
Thls p8r8graph appeared in last yearfs report last and Is here repeated il verb8tim." °One issue that doesn't seem to go
away is that some member5jusI do not see the need lo have to renew their membership online each year. I have mentioned
thi5 on many an occasion, but I must r8State that it is due to a need Ic• eompty with GDPR and email protocols. If sorneone
does not renew online for a period of three years, the system wll automatically remove them from the membership list. We
also need to kèèp our database up to dale so we need to ask people to log in once a year and make sure their information
is up to dale. It is a very simple thing lo do and, if anyone has any diffieulty 811 they Med to do is ask..
Membership rates were raised at Ihe beginning of this year. Despite numerous notices to this effect many people dld not

One issue Ih8t has becom8 more of a problem as a result of raising the annual subscription, is that some actors feel thal

both in terms of Its duralion and amount. One or two membership secretaries in the past have unoffiually allowed a 50%

Please bear in mind that The Oasl does not charge an appearance fee, actots are gwen free copies of scripts. refreshments
