## **GODMERSHAM AND CRUNDALE RECREATION HALL REPORT OF THE TRUSTEES**
## **FOR THE YEAR ENDED 31 DECEMBER 2025**
The Trustees present their annual report and financial statements for the year ended 31 December 2025.
## **1. Structure**
The charity which is registered with the Charity Commission under number 226915 is established under a Vesting Deed dated 14 December 1938.
## **2. Governance and Management**
During the year, the following were Trustees of the charity:

## **3. Objectives and Activities**
The objects of the charity as stated in the governing document are:
Recreation hall for the purposes of physical and mental recreation and social moral and intellectual development through the medium of reading and recreation rooms, library, lectures, classes, recreations and entertainments or otherwise as may be found expedient for the benefit of the inhabitants of the parishes of Godmersham and Crundale and their immediate vicinity.

## **4. Review of the Year.**
## (a) Christmas Lights
It has very much been a year of highs and lows but fortunately more highs than lows. One of the undoubted highs was the purchase of replacement exterior Christmas lighting. The new string lights
emphasise the building silhouette with dramatic effect. The team worked hard to get not only the new lights installed but all the usual Christmas lights in the hedges and on the trees as well. The efforts brought much praise from around the village. The plan for the new lights was also to encourage their use for weddings and other events where we have often received requests for outside lights. Certainly an expensive addition at over £400 but another feature which enhances the hall for potential hirers.
Our thanks as ever to Godmersham estate for the gift of the Christmas tree. It wouldn’t be Christmas without it!
## (b) The Christmas Grand Fayre
This was the second time we have held a Christmas Fayre. We were able to put previous equipment purchases to good use and utilise experience from last year to help the event run smoothly. As before we shared the day with Chilham Craft Fair. Once again we were hit with atrocious weather, but we had a good turn out even so and Father Christmas and his elves were in much demand. Lots of positive feedback particularly as to what a good community event it was for all the family.

What will be the third Christmas Fayre is already in the diary.
## (c) Folk in the Barn
Folk music promoters Folk in the Barn have been to the hall twice this year. Ever popular and really good music, for the summer visit we decided to lay on a BBQ as well as a bar. The treasurer accepts full responsibility for thinking 10 burger buns would be ample only to have a queue across the field wanting food. Frantic trips to Wye coop clearing their shelves solved the problem of supplies and everybody was fed and watered. Our takings for the day was a record and not only that but testament to how well the committee can work in extremis to get the job done.
## (d) The Lows
It has been a year of expensive repairs. With the hall now in its twelfth year it is inevitable that things will need replacing but it is regrettable that things need replacing all at the same time. The Klargester bearing decided enough was enough and BT felt that now was the time to move over from cable to fibre with the burglar alarm which required new equipment. Not to be left out the heat source pump also considered it was time for a new motor. All expenses which had to be found if we were to continue functioning. Happy to say we managed it, helped with some generous donations.
## (e) Cleaning the Lights
After some twelve years the lights in the hall ceiling were in need of cleaning and general maintenance. By good fortune we were able to borrow a scaffold tower and this item is only included to record the daring do of committee members who ascended the heights.

## (f) New Groups
Two new groups have started at the hall. We now have a group of spinners who are continuing an ancient craft with amazing alacrity and a parent and toddler group which has been much needed for a long time. We wish them all well.
## (g) Dr Gerry Flack
We were all saddened by the passing of local resident Dr Gerry Flack who was known personally by many in the villages. It was pleasing that his wake after the funeral was held in the village hall.
## (h) Corporate Bookings
These have held up well during the year with KCC and NHS using the hall for a wide variety of conferences, seminars etc. They have been joined by the Church of England with Canterbury using us for courses and lectures. Other firms and organisations have continued to make use of our facilities, notable amongst them Kent Lions, Martial Arts Tournament, antiques valuation to name but a few.
## (i) Cultural Diversity
It has been particularly satisfying that Godmersham has been able to maintain its appeal to a broad spectrum reflecting a healthy cultural diversity. We have been used for a wide range of religious festivals by a variety of faiths. It is good that we can demonstrate that all are welcome.

## (j) CCTV Cameras
In an effort to reduce costs and increase efficiency we have centralised into one security contract the maintenance of all security cameras, intruder alarms and fire equipment plus related alarms. The CCTV network has also been upgraded to provide superior coverage.
## (k) Donations and Grants
We have been very fortunate to receive a grant of £500 from our local Ashford Borough councillor, Geoff Meadon, towards the kitchen refurbishment. This is in addition to gifts from local residents to help with our repair costs.
## (l) Cleaning Contract
This was reassessed during the year to ensure that we are getting value for money whilst maintaining high standards.
## (m) Field Maintenance
The parish field is one of the hall’s greatest assets when attracting potential hirers. We continue to share the maintenance costs and look forward to the wild flower meadow.
## **5 . F U T U R E P L A N S**
## (a) Sub committees: -
- (i) To organise social media for events
- (ii) To monitor health and safety issues and related maintenance work.
- (iii) To continue to upgrade and improve web site.
- (b) Other Development Aims

- (i) Develop joint project with Parish Council to install playground equipment for local children.
- (ii) Develop links with local toddler group to increase children’s party bookings.
- (iii) Publicise the hall for corporate and wedding bookings.
- (iv) Develop film, comedy, theatre and music events.
- (v) Undertake Grand Christmas Bazaar
- (vi) Develop “Bump till 6” boot fair type sale of children’s clothes and toys.
- (vii) Inter village sports day.
## **6. Risks and Mitigation**
1. Damage to the building structure and contents: Covered by annual insurance.
2. Public liability: Covered by annual insurance.
3. Fire precautions: Extinguishers serviced annually.
4. Burglar and fire alarm: Serviced regularly.
5. Sewage system: Serviced regularly.
6. Kitchen equipment: Ovens and hobs steam cleaned. Dishwasher regularly serviced.
7. Accounts: Examined annually
8. Hall bookings: Maintained on remote server.
9. Hall security: Site covered by CCTV accessed remotely.
10. Hall cleanliness standards: Inspected weekly.
11. Health and safety risk assessment: Updated annually.
12. Heat to air pump: Serviced annually.
13. Renew electricity supply contract and assess means to cover additional costs: Assess hire charges to users.
## **7. Reserve Policy**

The trustees aim to keep approximately three months running cost, amounting to £6K as unrestricted reserves. At 31 December unrestricted reserves amounted to (to be inserted)
## **8. Statement of Trustees’ Responsibilities**
The Trustees are responsible for preparing the financial statements for each fiscal year which give a true and fair view of the state of affairs of the charity and of the income and expenditure of the charity for that period. In preparing those financial statements, the Trustees are required to:
- Select suitable accounting policies and then apply them
- consistently.
- Make judgements and estimates that are reasonable and prudent.
- Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.
The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the company and hence for taking reasonable steps for the prevention and detection of fraud or other irregularities.

Review of the Year.
(al Christmas Lights
It has very much been a year of
hlghs and lows but fortunately
morè highs than lows. One of the
undoubted highs
was
the
purchase
replacement
exterior Christmas Ilghting. The
new string Ilghts emphaslse the
bullding sllhouette with dromatlc
effect. The team worked hard to get not only the new lights Installed but all the usual
Chr15tmas lights In the hedgès and on the trees as well. The efforts brought much pralse
from around the vllloge. The plan for the new Ilghts was 01sQ to encourage their use for
weddlngs ond other events where we have often recelved requests for ovtslde lights.
Certainly on expenslye addltlon at over £400 but another feature whi¢h enhances the holl
for potential hlrers.
Ovr thanks as ever to Godmersham estate for the glft of the Chrl$tmas tree. It wouldn't
be Chrlstmas wlthoul Itl
(b) The Chrlstrnas Grand Fayre
Thls was the second tlme we have held a Chrlstmas Fayr•. We were
able to put prevlous equlpment pvrchases to good use and utlllse
experlence from last year to help the event run smoothly. As before
we shared the day wlth Chllham Craft Falr. Once agaln we were hit
wlth atrociovs weather, but we had a good turn out even so and
Father Chrlstmas and hls elve5 were in much demand. Lots of posltlve
feedback partlcularly as to what a good comrnunlty event it was for
all the f omlly.
What will be the thlrd Christmas Fayre is already in the diary.

Folk In the Barn
Folk muslc promoters Folk In the Barn have been to the hall twlce this year. Ever popular
ond really good music, for the summer vlsit we decided to lay on a B8Q as well as a bar.
The treasurer accepts full responsibility for thinking l O burger buns would be omple only
to have a queue across the field wantlng food. Frantic trips to Wye coop clearing their
shelves solved the problem of supplies and everybody was fed and watered. Our takings
for the doy wos a record and not only that but lestument to how well the commlttee can
work In extremis to get the lob done.

It has been u year of expenslve repolr& With the ha51 now in its twelfth yéar It Is inevltoble
that things will need replaclng but It Is regrettable that thlngs need replacing all at the
same tirne. The Klargester beorlng declded enough was enough and 8T felt that now wos
the Ilme to move over from cable to flbre with the burglor alarm whlch requlred new
equlpment. Not lo be left out the heat source pvmp also considered It Wa5 time for a new
rnotor. All expenses whlch had to be found if we were to contlnue functioning, Happy to
say we monoged it, helped with some generous donations.
(e) Cleanlng the Llghts
After some twelve years the Ilghts In the holl celllng were In
need of cleanlng and general mointenance. By good fortune
we were able to borrow a scaffold tower and thls item 15
only Included to record the darlng do of commlttèe member5
who ascended the helghts.

New Groups
Two new groups hove started at the holl. We now have a group of spinner5 who are
continuing an anclent craft with amazing alacrity and a parent and toddler group which

(g) Dr Gerry Flack
We were all saddened by the posslng of local resident Dr Gerry Flack who was known
personally by many in the villages. It was pleasing that hls wake after the funeral was
held in ihe vlllage hall.
(h) Corporate Bookings
These hove held up well during the year wlth KCC and NHS using the hall for a wlde
varlety of conferences, seminors etc. They have been joined by the Church of England with
Canterbury uslng us for courses and lectures. Other firms ond organisatlon5 have continued
to make use of our faclllties, notable amongst them Kent Lions, Martial Arts Tournament,
antiqves voluation to name but a few.
Cultural Diversity
It hos been partlcularly satisfylng that Godmershom hos been able to maintain Its oppeal
to a broad spedrum reflectlng a healthy cultural dlversity. We have been used for a wide
range of r•llgious festivols by a varlety of falths. It Is good thal we can demonstrate that
all are welcome.
CCTV Cameras
In an effort to reduce costs ond Increase efflclency we have cenlralised into one securlty
Contro the maintenance of all secvrlty cameras, Intruder alarms and flre equipment plus
related alarms. The CCTV network has 0150 been upgraded to provlde superlor coverage.
(k) Donatlons and Grants
We have been very fortunate to receive a grant of £500 from our local Ashford Borough
counclllor, Geoff Meadon, towards the kitchen refurblshment. Th1$ Is In addltlon to glfts
from local resldents to help wlth our repalr costs.
Clèanlng Contract
This wa5 reassessed during the year to ensure that we ore getting value for money whilst
malntalning high standards.

The parish field 15 one of the hall's greatest assets when attracting potential hirer5.
We continue to share the maintenance costs and look fonyard to the wlld flower
meadow.
