Minutes of Annual General Meeting of the Trustees held on Monday 20th May 2024 at 7.30pm

1.Present:

Barry Sawford BS (Chairman), Trevor Jolly TJ (Treasurer), Sue Harrison SH (Secretary), Mandy Penfold MP (Trustee), Paul Robertson PR (Footloose and Gardening Club), Ray Burgess RB (Chess Club), Margaret Rowarth MR (Bridge Club) and Pauline Robertson PR (Footloose).

Apologies for absence: Apologies received from Loraine Roselli – WI.

2. Minutes:

The minutes of the Annual General Meeting held on Monday 15[th] May 2023 were approved as a true record and signed.

4. Chairman’s Report:

Hall Improvements

There have been a number of improvements to the Hall over the past 12 months. Firstly, there have been new fitted new hardwood doors to the front and side as as a new boiler room door. The Wi-Fi has been installed and is available to group leaders for use during events. It will not be for general use.

Brickwork has been repointed. The heating system has been upgraded with a larger pump and enlarged heat exchanges as well as moving the thermostat. This has improved heating in all rooms over the cold period.

Owing to leakage in the pro-kitchen window, this has been replaced.

Finally, we have a new Notice Board replacing the previous rotten one. This is for use by all Hall user groups and the local community for promoting local events. Thanks to the Parish Council for their support with the Notice Board.

In-House services

The general duties of our cleaner Malgorzata and caretaker Kim have continued to support our groups and private functions and I would like to give thanks to them both.

Unfortunately, Malgorzata is currently on extended sick leave which leaves us needing a cleaner in the short to medium term so if anyone has any contacts, please let us know.

Hall Bookings

Our regular user groups have been steady, with a couple of new ones joining this year. Private events have dipped over the past few months so we will monitor other halls to see if this is a general trend.

Trustees

A big thank you to our trustees who over the past 12 months have given time and support to the Hall. We are asking that if you know of anyone who would be interested in joining the management team, please let us know.

5. Treasurer’s Report:

Copies of the accounts were handed out to all who attended the meeting. The report is reproduced below.

The accounts for the year to 31.3.24 are shown, with the previous year to 31.3.23 for comparison.

Overall, there was a deficit for the year of £3,112. We carried out a number of projects on our “to do “ list, leading to a spend on repairs and maintenance of £16,324 (£3,742 in 2023).

Our income from hires continued to increase, up to £31,984 (£27,459 in 2023). Our expenditure totalled £36,732 (£20,253 in 2023). Our non-repairs expenditure increased to £20,407 (2023 £16,510), reflecting steeply higher energy costs and general inflationary pressures.

We received grants of £1,385 from the PC, a donation of £200 from the Thursday Café and £50.00 from the sale of our keyboard.

Our Balance sheet shows Reserves of £22,437. This is largely represented by the bank balance of £22,546. We continue to hold our charibond investments.

We remain in a sound financial position, thanks to our many regular users, but are conscious that we need to maintain a sizeable buffer to continue with our maintenance programme.
