Gleaston Recreaton Ground and Village Hall
Aim & Purpose
The Gleaston Recreation Ground and Village Hall is responsible for the maintenance of the village hall and recreation ground for the benefit of inhabitants of the village, without distinction of political, religious or other beliefs.
Objectves and Actvites
The Trustees are committed to deliver a safe and inclusive community facility that caters for all age groups within the confines of Gleaston village and the immediate surrounding area.
Central to this is ensuring that the recreation ground and associated playground and village hall are maintained to an appropriate standard and that events are organised to support the interests of the village.
Overview and Performance
The Trustees have embarked on an ambitious plan to refurbish the village hall and playground across financial years 2024 and 2025. This programme is designed to ensure that the playground remains an attractive leisure activity for all in the village, with targeted investment in equipment to meet the needs of all age groups, including provision of equipment to promote adult health. Refurbishment of the village hall has focused around reducing the environmental impact of the hall and ensure that recent increases in electricity prices are mitigated to the greatest extent possible via the installation of a solar PV system.
During the year a number of events have been organised both in the village hall and the recreation ground, with particular highlights including the summer ball and live theatre.
Hall utilisation has remained good across the year, with a range of groups utilising the village hall for regular meetings. In addition, the hall has been used to provide a warm community facility over the winter months in recognition of the recent high utility prices impacting on the financial position of many in society.
Financial Positon & Performance
This report provides a summary of the financial position of the Gleaston Green and Village Hall Committee for the 12-month period ending 31[st] August 2024.
Income
Total income raised during the period stood at £44,886 (2023 £10,400) reflecting considerable success in securing grant funding to invest in Solar PV and battery storage and a one-off gift associated with the winding up of a local village trust.
Key highlights from the year include:
-
-Net proceeds of nearly £1,700 from the 2023 bonfire and fireworks.
-
Hall hire income of £4,100 from a range of events and regular group activities over the year.
-
A one-off gift of £14,200 associated with the wind-up of Leece Village Hall
-
A grant of £17,500 from Baywind energy has been received that will be invested in a solar PV and battery storage solution
-
Two dedicated fundraising events were held during the course of the year to fund the refurbishment of the village playground, raising in excess of £1,300.
-
A range of entertainment events including the Summer Ball, Magic Show and theatre shows have been commissioned during the year providing social utility to the village. These activities have cumulatively generated a small surplus (revenue of £4,200 with costs of £4,000).
Expenditure
During the year the running costs of the hall included:
£2,669 electricity charges – the village has seen significant increases in the cost of electricity during the past two years in line with increases in the wholesale market. The installation of solar panels and battery storage (fully grant funded) will positively impact on future electricity bills and reduce our environmental impact.
£540 - Water & sewerage
£804 – insurance for village hall and public liability insurance
£380 – broadband services
£350 – village website hosting
Maintenance charges for the playground and green totalled £2,265, comprising mowing equipment maintenance, fuel costs and playground fence and equipment repairs.
The other major item of investment during the year has been the refurbishment and equipping of the former village telephone box with a defibrillator. Costs during the year totalled £3,126 and this should be commissioned shortly.

Reserves Policy
The policy of the Trustees is to ensure that a minimum unrestricted funds balance of £20,000 is maintained to ensure the ability to meet unexpected items of expenditure that may arise from time to time. The financial position of Gleaston Recreation Ground and Village Hall has improved over the course of this year, driven largely by one-off grants for Solar PV and the proceeds from the recent winding up of a neighbouring village’s committee. This has given the Trustees confidence to undertake programme of improvements in 2024/25.
Major programmes planned to be undertaken:
-
Refurbishment of village hall floor (now completed).
-
Installation of solar PV and battery system to village hall (funded via grant).
-
Refurbishment and improvement of playground to include equipment and safety surfaces, with total investment in this area expected to be approximately £32,000, ensuring a modern facility suitable for future generations.
The committee will continue to ensure appropriate financial caution is adopted.
Volunteers
We would like to formally thank the many volunteers who support activities in the village ensuring that we continue to be a vibrant community, supporting the interests and needs of all.
Structure, Governance and Management
The Trustees have all been appointed via the Annual General Meeting process and all members of the village are encouraged to stand for election as a Trustee. The Trustees comprise a diverse range of skills and experiences, ensuring that the objectives of the committee are met and we remain relevant to our community.
The Trustees meet regularly throughout the year, with additional meetings for sub-committees and event planning held as required.
